When a message or call asks for money, credentials, sensitive information, or a change to payment details, employees should pause, verify through a separate trusted channel, follow normal approvals, and report the attempt. That rule applies whether the request arrives by email, text, phone, video call, or a document.
Why AI changes scam training
Generative AI can help criminals create polished, personalized messages, images, cloned audio, and video for phishing, impersonation, and financial fraud. The FBI and its Internet Crime Complaint Center (IC3) describe these techniques in their guidance on AI-enabled financial fraud and AI-assisted cybercrime.

That makes old visual shortcuts unreliable. Good grammar does not establish that a message is genuine, and an executive’s familiar voice or face is not authorization to skip approval procedures. Teach staff to assess the requested action and its context, then verify the request independently.

What employees should notice
Warning signals are reasons to verify, not proof that a message is fraudulent. Teach employees to pause when a request involves:

- Gift cards are valid online and in store for merchandise, training, grooming, PetSmart PetsHotel and Doggie Day Camp.
- Physical gift cards are delivered active via mail.
- Redeem online and instore at any PetSmart location.
- This item is not eligible for refund, resale, or return.
- No fees will be applied to the gift card after purchase (including dormancy, service or other fees). Funds do not expire but your gift card may have a ‘valid thru’ date. If funds remain after this date has passed, please call PetSmart customer service for a replacement card.
- Urgency, secrecy, or pressure to act before normal checks can be completed.
- Money, credentials, sensitive information, or a change to payment or bank details.
- An instruction to bypass an approval process or use an unusual channel.
- A link, phone number, or other contact method supplied in the suspicious message.
Do not make misspellings, awkward phrasing, or visibly distorted faces a required sign of fraud. AI can produce convincing language and media; some scams may have no obvious tell. A familiar voice, face, email style, or apparent seniority should never override established controls.
Teach one repeatable response
Give employees a short rule they can apply across channels:
If a message or call asks you to send money, share credentials or sensitive data, or change payment details, pause. Do not use its links or contact information. Verify the request using a known, independent channel and follow the normal approval process. Report suspicious attempts through the company’s designated channel.

Adapt the rule to the organization’s payment approvals, help desk process, incident reporting system, and applicable regulatory requirements. U.S. agency guidance informs the recommendations here; employers elsewhere should use their local reporting and legal requirements. There is no single universal reporting workflow established for every employer.
Build the training around real work
1. Map high-risk actions and roles
Identify who can approve or send payments, change vendor details, reset accounts, disclose customer or company information, or access credentials. Use role-specific scenarios so employees practice the decisions they actually face. Staff who handle invoices need examples involving payment changes; help desk teams need scenarios about identity checks and password resets.
2. Teach the pause-and-verify routine
For a sensitive or financial request, employees should end the suspicious interaction and contact the purported sender through a phone number already on file, an internal directory, a vendor record, or an established workflow. Confirm the request and then complete the usual approval steps. Do not reply to the suspicious message or rely on contact details it provides. The FTC’s small-business cybersecurity guidance recommends confirming questionable requests using a known-good number.

3. Make reporting and containment clear
Specify where employees should report suspicious email, texts, calls, and meeting invitations, and what information to preserve. Make the reporting route prominent and non-punitive so people can raise a concern or disclose a mistake promptly. If someone clicked a link, shared information, approved a request, or sent money, they should report it immediately and follow company instructions for password changes, device isolation, payment escalation, or incident response. The FTC advises businesses to provide a way to report suspected phishing and to follow company procedures, including immediately changing compromised passwords.

4. Practice with controlled scenarios
Use realistic examples without shaming participants. Ask employees to explain what they would do, which trusted channel they would use, and which approval applies. Scenarios can include:
- A polished vendor invoice announcing a new bank account.
- An urgent executive request for a wire transfer.
- A voice message claiming a payment is overdue.
- An unexpected multifactor authentication approval request.
- A video meeting participant asking for confidential data.
- A link to a convincing but unexpected login portal.
Debrief the verification decision, not whether someone spotted an AI artifact. Phishing simulations can help staff practice, but a simulation score by itself does not establish readiness for every AI-enabled scam.

5. Measure behavior and refresh the lessons
Track participation, whether employees report suspicious attempts, adherence to verification and approval procedures, and recurring points of confusion. Refresh examples when threats, tools, or business workflows change. NIST’s SP 800-50 Revision 1, published in September 2024, describes a customizable cybersecurity and privacy learning program built around behavior change, evaluation, and improvement.

Awareness cannot carry the full burden of preventing fraud. Pair it with procedures and technical safeguards that make the safe action practical:
- Require independent confirmation and appropriate approvals for payment or bank-detail changes.
- Use multifactor authentication (MFA), as the FBI recommends, and train employees not to approve unexpected authentication requests.
- Use email authentication and other protections recommended by the FTC to help defend against impersonation.
- Give employees an accessible reporting channel and a documented response path for suspected compromise.
Choose a training approach that fits the organization
Training can be run in-house or supported by a managed platform. The sources support customizable learning and simulations, but do not establish a tested vendor comparison or pricing evidence. Choose based on whether the program can reflect real approval workflows, offer accessible practice, make reporting easy, and support evaluation and regular updates.
| Approach | Potential fit | What to assess |
|---|---|---|
| In-house training | Organizations able to maintain and deliver role-specific lessons themselves. | Staff time to create scenarios, deliver training, collect feedback, and refresh material. |
| Managed training platform | Organizations seeking external delivery or simulation support. | Ability to tailor scenarios to actual workflows, accessibility for staff, reporting options, evaluation, update cadence, and total administrative effort. No vendor comparison or pricing is established by the sources cited here. |
