Track a fixed set of comparable hotels using the same dates, occupancy, room and rate conditions on every booking site. Record the full mandatory price, currency, availability and time of each check. That turns a collection of headline rates into useful evidence—and helps distinguish a real price gap from a different room, promotion or booking condition.
Set up a fair comparison
A rate comparison is only meaningful when the offers describe a stay a guest could actually book under comparable conditions. Google Hotel Center’s price policy likewise calls for matching the selected check-in and checkout dates and occupancy, and for showing the complete price with mandatory taxes and fees.

Choose a relevant competitor set
Start with properties a guest might realistically choose instead of yours. Consider location and access, property type, service level, room capacity, amenities, guest rating and the occasions each hotel serves. A nearby property is not automatically a useful comparator: its relevance may differ by season, guest segment or demand occasion.
Keep the set manageable enough to check consistently. Review it periodically, and note why a property is included or removed. If you manage different segments or seasons, maintain separate sets rather than treating every hotel as a direct substitute in every situation.

Select dates that answer a business question
Include a mix of high- and low-demand periods, weekdays and weekends, near-term stays and dates farther ahead. Add dates tied to local events when they matter to your market. For each comparison, keep check-in, checkout and length of stay fixed; when measuring movement over time, repeat the same search rather than changing the itinerary.
A single observation is a snapshot. It may reflect a temporary offer, an inventory change or a sellout, so retain dated observations before changing your own pricing strategy.
Fix the guest and rate conditions
Use the same number of guests and, where possible, the same room category and occupancy. Record whether breakfast or another meal is included, whether the rate is refundable, its cancellation deadline, payment timing, and any member, loyalty, mobile or country-specific eligibility. Label a restricted rate clearly: a members-only price is not equivalent to a public rate available to every shopper.
Compare the complete price, not just the headline
For each offer, capture the nightly rate and total for the full stay, plus the currency and mandatory taxes and fees. Google’s Hotel Center policy says mandatory charges collected by the hotel or partner belong in the total price, regardless of when they are due. Optional extras should not be treated as mandatory; display conventions can vary, so preserve the price breakdown shown on the booking path.
Confirm that the room is available at the quoted price and that the offer can proceed toward booking. If a rate changes between the search results and the final booking page, record what changed and which page showed it. For a suspected undercut, take another observation or verify the booking path before treating the difference as durable.
Build a repeatable tracking workflow
- Create the comparison list. Record each hotel, why it belongs in the set, and the booking channels to check, including your own direct site and your own OTA listings.
- Set a standard search. Choose dates, stay length, guest count, room category and rate conditions. Write down the conditions so another staff member can repeat the search.
- Check each channel consistently. Use the same itinerary and conditions on each selected booking site. Record missing results, sold-out properties and unavailable room types instead of silently omitting them.
- Save the observation. Store the source page or URL, capture date and time, stay dates, occupancy, room and rate details, displayed price, mandatory fees, currency, availability and any eligibility restriction.
- Verify unusual changes. Repeat the search or follow the booking path when a rate appears materially different, then record the result rather than overwriting the original observation.
- Review patterns, then decide. Compare your price with the range and movement across the comp set. Use your own pickup, inventory, booking pace and revenue goals alongside competitor observations; another hotel’s public rate does not reveal its costs, demand, inventory or pricing objective.
Spreadsheet fields to include
- Hotel and booking channel
- Source URL or page identifier, and the time checked
- Check-in, checkout, length of stay and number of guests
- Room category, meal inclusion and cancellation/payment terms
- Rate eligibility, such as member, mobile or other restricted access
- Nightly price, stay total, mandatory charges and currency
- Whether the offer was available at the observed price
- Notes on changes, missing results or verification
Use a controlled template, dated snapshots and a named owner. Without them, staff may compare different itineraries or replace earlier observations, making trends difficult to interpret.
Track your own channel parity as well
Compare your public direct rate with your own OTA and distributor listings under matching conditions. A difference can come from a promotion, member or mobile rate, taxes, currency conversion, a room or rate mismatch, or a stale page or feed. A parity alert is a reason to investigate the underlying offer, not proof of what caused it.

When to move from a spreadsheet to rate-shopping software
A spreadsheet is suitable when the comp set is small and staff can reliably check the same dates and channels. Consider rate-shopping software when recurring manual checks are difficult to maintain, the property needs broader market coverage or historical trends, alerts would help the team act, or several properties need a shared view.
Hotel Compete describes daily updates, comparisons across rate types, some brand-site shopping, OTA parity checks, forward-date shopping and competitive-set management. Treat matching as an optional workflow, not an automatic response: first verify contract terms, applicable market rules, rate eligibility and the like-for-like comparison. Vendor claims about business outcomes are not independent evidence of results.
How to evaluate a rate shopper
- Coverage: Does it include the booking sites and direct channels your guests use in your geography? Ask which properties or channels are excluded.
- Offer matching: Can it account for occupancy, room type, stay length, meals, cancellation terms, loyalty or mobile eligibility and total fees?
- Freshness and history: How often are near-term and farther-out dates checked? Are timestamps and prior observations retained?
- Competitive-set controls: Can you use different sets by season or segment, remove properties and understand missing observations?
- Alerts and workflow: Can staff set useful thresholds, see the source and comparison conditions, and route findings to the right person?
- Integration and export: Can results reach your revenue-management system, channel manager, dashboards or spreadsheet without losing the conditions behind each rate?
- Verification and total cost: Compare the product against known searches and a manual booking-path check. Confirm current coverage, implementation requirements, contract terms and pricing directly with the provider.
Troubleshoot misleading price differences
The competitor looks cheaper, but the stay total is higher
Check mandatory taxes and fees, currency and stay length. Compare the complete stay total and retain the fee breakdown instead of relying on the first nightly figure.
The lower rate is not available to every guest
Check whether it requires membership, a mobile device, a particular country or another eligibility condition. Mark the restriction and compare it only with an offer under equivalent conditions.

The pages show different rooms or cancellation terms
Match room category, occupancy, meal inclusion, refundability, cancellation deadline and payment timing. If the site does not expose enough detail to establish a match, mark the observation as not comparable rather than calling it an undercut.

A rate disappears or changes during the check
Record the time and the page where the rate appeared, then repeat the search or confirm the final booking page. Keep both observations; availability and public prices can change, and one snapshot does not establish a lasting move.
A parity tool flags a discrepancy
Recheck your direct and OTA offers using the same dates, occupancy, room and rate conditions. Inspect promotions, fees, currency, eligibility and possible stale content before deciding that there is a genuine parity issue.
Use competitor rates as context, not a pricing instruction
Keep the observations tied to their source, timestamp and booking conditions. Look for repeated patterns across relevant competitors and channels, then weigh them against your own demand and inventory. The purpose of tracking is to make a better-informed decision, not to match every lower public price automatically.
