For a routine personal day, tell your manager which leave category you plan to use, when you need it, and any handoff or coverage detail that matters. Submit the request through your workplace’s usual process. You generally do not need to volunteer the private story behind an ordinary leave request—but medical, caregiving, or other protected leave may require enough information to start the right process. Rules depend on your location, leave type, and workplace policy.
First, identify what kind of time off you need
“Personal day” is everyday language, not a single legal category. A planned annual-leave or PTO day, an unexpected sick day, and time off related to a serious health condition or caregiving need can have different notice, approval, and evidence rules. Check your employer’s leave policy and local requirements before assuming that rules for one type apply to another.

| Situation | What to communicate | Process to check |
|---|---|---|
| Planned annual leave or PTO | Leave category, date or duration, and relevant handoff details | Normal request and approval channel |
| Unexpected absence, such as illness | That you cannot work, the leave category if known, and expected timing when you can provide it | Usual call-in or absence-notification procedure; any evidence rules |
| Potentially protected medical or caregiving leave | Enough information to identify the kind of qualifying need and its timing; a diagnosis may not be necessary | Applicable statutory leave process, notice rules, and any certification requirements |
The table is a practical distinction, not a universal statement of legal rights. For example, New Zealand’s Privacy Commissioner addresses annual leave, while U.S. Department of Labor guidance covers FMLA, and Australia’s Fair Work Ombudsman discusses sick and carer’s leave.

State the leave type, the date, and any work detail your manager needs to plan. You do not have to invent a reason or offer personal background just to make a routine request sound legitimate. The U.S. Department of Labor’s FMLA notice fact sheet even gives an example of an employee requesting a personal day in writing to a supervisor; use your employer’s normal channel, whether that is a leave system, email, or another process.

Example:
Hi [Manager], I’d like to use [PTO/annual leave/personal leave] on [date]. I’ll make sure [urgent task or handoff] is covered before then. Please let me know if you need anything else for the request.
Keep the handoff specific and useful: name the affected task, where its status is documented, or who can handle an urgent item if relevant. Those details help with planning; they are not a substitute for any formal request requirements.

If the absence is unexpected, notify rather than over-explain
For a same-day absence, prioritize prompt notice and the workplace’s call-in rules. You may not know how long you will be out yet; say what you know and when you expect to update your manager.

For U.S. FMLA specifically, the Department of Labor says foreseeable leave generally requires 30 days’ notice when possible. If the need arises with less notice, or is unexpected, notify the employer as soon as possible or practical and follow usual call-in procedures unless unable. These timelines apply to FMLA, not automatically to ordinary PTO requests or workplaces in other countries. See the Department of Labor’s guidance on talking to an employer about family and medical leave and its FMLA employee notice fact sheet.
If your manager asks why, set a courteous boundary
For routine annual leave, you can answer without disclosing the private circumstances. New Zealand’s Office of the Privacy Commissioner says employees do not need to tell an employer why they want annual leave, particularly when the matter is personal, private, or confidential. That guidance is specific to New Zealand and annual leave; contract terms and the circumstances of the work relationship may matter.

It’s a personal matter, and I’d prefer to keep the details private. I’m requesting [leave type] for [date] and will follow the usual process.

If the request is delayed or the question feels unclear, ask what information is needed to process it and why. In New Zealand, the Privacy Commissioner says an employer should explain why it collects information, how it will be used, and the consequences of not providing it. For other locations or leave categories, check the applicable policy and law rather than treating this as a global rule. The agency’s page, “Can my employer ask why I want time off?”, was updated in November 2025.

For medical or caregiving leave, share the qualifying need—not necessarily a diagnosis
A routine PTO request and a potentially protected absence are not the same process. In the United States, the Department of Labor says an employee does not have to tell an employer a diagnosis to request FMLA leave, but must give enough information for the employer to recognize that the leave may qualify. In that context, simply saying “sick” may not be enough. The appropriate detail depends on the circumstances; an example could be saying that you need leave to care for a parent after surgery.
If the employer requests medical certification, that is distinct from asking you to name a diagnosis in your initial conversation. The Department of Labor says certification may provide sufficient facts about the qualifying condition. Follow the applicable leave process and ask HR or the designated leave contact what information or forms are required.
Evidence rules vary elsewhere, too. Australia’s Fair Work Ombudsman says an employer can ask for evidence for sick or carer’s leave, usually a doctor’s certificate or statutory declaration. This does not establish the rules for other countries or for ordinary annual leave. In the UK, the Information Commissioner’s Office has guidance on handling sickness and injury records, but notes that its guidance is under review following changes made by the Data (Use and Access) Act; consult the current page and applicable workplace process for details.

When a one-day request points to a longer-term need
If the absence is recurring, connected to an ongoing health or caregiving need, or may require an accommodation, use the relevant HR or statutory leave process rather than trying to handle every instance as an informal personal day. You can still keep details appropriately bounded; ask the designated contact what information is needed to assess eligibility and administer the request.
