1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesA task is too vague when you cannot tell what result is expected or how anyone will judge it complete. It is too large when it bundles enough distinct outcomes, steps, dependencies, or people that it cannot be planned and finished as one workable piece. There is no universal task count or hour limit: judge the assignment against its purpose, deadline, capacity, and dependencies.
How to tell whether a task is too vague
A clear task gives the person doing it enough information to act without guessing at the goal. A polished title alone is not enough. Look for an identifiable problem, an expected outcome, boundaries, constraints, and a way to recognize completion.

- The action is broad but the output is missing. Words such as “improve,” “handle,” or “look into” do not say what action to take or what should exist afterward.
- The purpose or boundary is unclear. The recipient cannot tell what problem the work solves, what is included, or what should remain out of scope. The GOV.UK Service Manual describes scoping a transaction as deciding “what the transaction does and does not do, and which problem it solves for users.” That guidance concerns government services, but the coherence principle also helps with workplace assignments. GOV.UK’s scoping guidance was published on 9 December 2016 and last updated on 1 May 2019.
- People would disagree about whether it is finished. If the requester and recipient would accept different results, completion criteria have not been agreed. NASA’s software-engineering guidance recommends establishing acceptance criteria with the customer early and reviewing them as understanding develops. This is software guidance, not a universal process requirement, but the habit is useful for any deliverable that needs approval. NASA’s Software Engineering Handbook calls software acceptance criteria a key element in software planning.
- The constraints are unstated. A task may be clear in principle but impossible to act on without knowing the relevant deadline, people, skills, tools, budget, or rules.
How to tell whether a task is too large
Size is a contextual judgment, not a fixed number of subtasks, hours, or deliverables. A task may be too large to assign or complete as one piece when it combines unrelated purposes, contains multiple deliverables or phases, depends on other work, or exceeds the time and resources available.

- It combines separate problems. If the work serves several purposes that do not belong together from the recipient’s or user’s perspective, split it into coherent assignments. GOV.UK warns that an overly broad transaction can obscure the problem being solved. It also cautions against scoping so narrowly that the user’s overall need is not met, so preserve the larger outcome when dividing the work.
- It has several deliverables or phases. If you cannot estimate or assign the work until you identify its component tasks, make that breakdown first. Microsoft describes a work breakdown structure as an outline of the phases, tasks, and subtasks needed to produce deliverables. Its practical advice is to break the goal into “the individual, actionable tasks.” Microsoft’s Project Online guidance is project-oriented, but its breakdown method can also help with a large individual assignment.
- Dependencies or coordination dominate the work. Work that spans teams, stakeholders, locations, or multiple deliverables may require sequencing and coordination that a single task description conceals. Digital.gov uses these dimensions when describing project scale; they are prompts for planning, not a mandatory checklist or threshold for everyday tasks. Digital.gov’s HCD discovery-operations guidance uses project-scale categories in the context of research projects.
- The plan does not fit capacity. Even a coherent assignment is too large for its current deadline or owner if the necessary time, people, or skills are unavailable. The CDC’s SMART Framework says goals and action plans should be doable given the time and resources. Its guidance is aimed at youth advisory council action plans, but the feasibility question transfers well to ordinary planning. CDC’s SMART Framework is dated 28 August 2024.
A practical way to scope the work
- Name the outcome. Ask what problem the work solves and what result should exist when it is complete. Distinguish the longer-term goal from the immediate deliverable.
- Set boundaries and constraints. State what is included and excluded. Record relevant limits such as time, budget, available people, skills, rules, and tools.
- Define observable completion criteria. Agree what evidence, review, or approval will show the result is acceptable. For software or other formal deliverables, NASA’s guidance is to agree acceptance criteria and acceptance activities with the customer early, then revisit them as understanding changes.
- Check feasibility. Compare the requested work with available time, resources, owners, and dependencies. Microsoft recommends considering duration, timing, responsibility, and whether work depends on or blocks other work; the CDC framework likewise emphasizes realistic time and resources.
- Break the work into actionable steps. Organize the goal into logical phases, tasks, and subtasks. If a proposed subtask still contains multiple outcomes or cannot be acted on, split it again. Check that the breakdown still serves the original scope.
- Sequence the steps and set realistic deadlines. Identify dependencies, assign an owner to each action, and allow time for work that must happen first. CDC recommends smaller actions and deadlines; Microsoft’s guidance makes dependencies and blockers part of planning.
- Renegotiate if the plan does not fit. Agree explicitly whether to reduce scope, move the deadline, add capacity, or deliver in stages. These choices involve trade-offs: do not assume scope, schedule, resources, dependencies, and quality can all stay unchanged. Microsoft warns that scope additions affect schedule, budget, and resources.
Questions to ask before accepting or assigning a task
- What problem are we trying to solve, and what result should exist at the end?
- Who will use or approve the result, and what would make it acceptable?
- What is included, what is excluded, and which constraints matter?
- What smaller actions will help reach each main goal?
- What time, skills, people, and other resources are available?
- Which steps depend on other steps, and who owns each action?
- If the work will not fit the deadline, should we reduce scope, move the deadline, add capacity, or stage delivery?
Choose the adjustment that fits the problem
When work does not fit, make the trade-off explicit with the requester or team. The right adjustment depends on what must be preserved and what can change.

| Adjustment | What changes | Best fit |
|---|---|---|
| Reduce scope | Fewer deliverables or a narrower outcome; the deadline and available capacity may stay the same. | Some requested work is optional, separable, or can be deferred without undermining the main purpose. |
| Move the deadline | The schedule changes while the agreed scope and capacity are retained. | The outcome matters as requested, but the work cannot be completed responsibly by the current date. |
| Add capacity | More people, time, skills, or other resources become available; coordination and dependencies may also change. | The scope and deadline are important and additional capacity is feasible. |
| Stage delivery | The outcome is delivered in planned phases, with sequencing and acceptance conditions for each stage. | A useful portion can be completed and reviewed earlier while later work continues. |
Whichever option you choose, keep the acceptance conditions clear. A smaller first delivery should still solve an agreed part of the problem, rather than merely being a fragment that cannot be used.

Some work systems use terms such as “story,” “epic,” “Definition of Ready,” and “Definition of Done.” These belong to agile delivery contexts; they are not required labels for every work assignment. Outside a formal method, plain language is enough: describe the result, boundaries, owner, dependencies, deadline, and what counts as complete.
