How to Take Periodic or Conditional Website Screenshots With Zapier

Use Zapier to decide when a website screenshot runs, a screenshot API to capture it, and a final action to store or send the image.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Zapier can schedule a workflow or let it continue only when a condition is met, but the screenshot itself comes from a screenshot API or integration. A typical Zap uses Schedule by Zapier for recurring captures, or an app trigger plus Filter for conditional captures, then sends a request to a screenshot service and passes its result to storage or email.

How the workflow fits together

Think of the Zap as three separate jobs: decide when to capture, request the rendered image, and deliver that image somewhere useful. Schedule by Zapier or an app trigger handles the first job. A screenshot provider handles the second. A final Zapier action—such as a file-storage or email step—handles the third.

  1. Trigger: a schedule for recurring captures, or an event from another app for conditional captures.
  2. Gate or route: optionally use Filter to stop runs that do not meet a rule, or Paths to send different outcomes to different actions.
  3. Capture: call a screenshot API, usually with Webhooks by Zapier or a provider integration.
  4. Deliver: map the returned image representation into the destination action and test the full chain.

Zapier’s reviewed documentation describes scheduling, filters, paths, and webhooks; it does not document a built-in Zapier action that independently renders a website screenshot.

Set up recurring website screenshots

1. Add a Schedule by Zapier trigger

Create a Zap and choose Schedule by Zapier as the trigger. Its documented interval choices include hourly, daily, weekly, monthly, and custom intervals. For a custom frequency, provide the start date and time as prompted. The schedule uses the timezone set in your Zapier account.

Do not treat the selected minute as an exact execution guarantee. Zapier says, “Zapier does not guarantee your Zap will trigger at the precise minute you set,” and says scheduled runs should occur within a few minutes of the set time. See Zapier’s Schedule Zap workflows to run at specific intervals.

2. Add the screenshot request

Use a dedicated screenshot-service integration if it meets your needs, or add Webhooks by Zapier and configure the request required by your screenshot provider. The request needs the target page URL and may accept options for full-page capture, viewport, image format, or a specific element. Check the provider’s current API documentation for the exact method, endpoint, authentication, and payload.

For example, Browserless documents a POST request to its screenshot endpoint, including URL, full-page, and image-type options. Its Zapier recipe shows a Schedule by Zapier trigger followed by a Webhooks POST action. Treat the provider’s API documentation as authoritative if its request schema changes.

3. Send the result to its destination

Add a destination action such as file storage or email, then map the screenshot step’s output to the field that destination accepts. The response may be binary image content or an encoded representation such as base64; the correct mapping depends on the screenshot service and the receiving action. Browserless’s Zapier recipe describes base64 as an option for attaching a capture to email or a file-upload step.

Test from the trigger through the final destination, not just the screenshot request. Confirm the saved or attached result opens as an image and shows the expected part of the page.

Capture only when a condition is met

Use an app trigger and Filter to gate a capture

Choose the app event that signals a possible change or condition, then place a Filter by Zapier step after it and before the screenshot request. Configure the filter using a field available from the trigger or a preceding search. The Zap proceeds only when the field data satisfies the rule; if the rule fails, the run stops before the screenshot request.

Filters support typed comparisons and multiple criteria grouped with AND or OR logic. Test at least one sample that should pass and one that should fail. Zapier’s current help documentation says Filters are available on paid plans; check Zapier’s filter guidance for current setup details and eligibility.

Use Paths when outcomes need different actions

Choose Paths by Zapier when different conditions should lead to different next steps—for example, capture one page for a critical status and notify a team for another status. A Filter is the simpler choice when a failed rule should simply stop the run. Zapier evaluates path branches in the order shown in the editor, and path rules are based on sample data during testing. See Zapier’s scheduling and workflow documentation and its filter guidance when configuring these steps.

Model weekday or change-based captures carefully

For recurring weekday captures, use an available schedule configuration or gate the schedule with a documented weekday condition. Do not assume a schedule runs at the exact minute. For a “capture only when the page changes” workflow, first identify an upstream event or comparison step that exposes a change signal; the screenshot service captures the page but does not, by itself, establish that it changed. Then use a Filter or Paths rule on that signal before requesting the screenshot.

Choosing a screenshot API route

ScreenshotNeo is the first service to try: it removes cookie banners, popups, and chat widgets before capture, bills only clean shots, and its paid plans start at $5 for 3,000 screenshots. It can be called directly with one GET request; this is useful when your Zap’s webhook action can issue the request and pass its response onward.

For a documented Zapier webhook pattern, Browserless publishes both a screenshot endpoint and a Schedule-plus-Webhook recipe. ScreenshotOne documents an HTTPS screenshot API and lists a Zapier integration. Compare the setup route and response mapping against your destination rather than assuming every integration returns an image in the same shape.

Or skip the browser setup

ScreenshotNeo is a screenshot API and MCP server for developers. The request below captures the target URL as a WebP image; the API also supports PNG, JPEG, or PDF. Replace the URL as needed and keep your API key private. See the ScreenshotNeo API documentation for request options and response behavior.

curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://stripe.com -o shot.webp
import requests
r = requests.get("https://api.screenshotneo.com/v1/shot", params={"access_key": "YOUR_API_KEY", "url": "https://stripe.com"}, timeout=90)
open("shot.webp", "wb").write(r.content)
const q = new URLSearchParams({ access_key: 'YOUR_API_KEY', url: 'https://stripe.com' });
const res = await fetch(`https://api.screenshotneo.com/v1/shot?${q}`);

Cookie banners, popups, and chat widgets are removed before the shot. Bot checks, blank pages, and failed loads are never billed. An MCP server lets AI agents take screenshots. The Free plan includes 1,000 screenshots a month with no card; paid plans start at $5 for 3,000. Sign up free for ScreenshotNeo.

Credentials, payload limits, and reliability

  • Protect API keys. Zapier Webhooks supports request headers and Basic Auth, but credentials entered in webhook step fields may be visible to people who can access the Zap. If the API uses OAuth2 or API keys and you want credentials held in an app connection, compare API by Zapier. See Zapier webhook guidance and Zapier’s app and workflow help for current details.
  • Mind request size and rate limits. Zapier documents a 5 MB maximum webhook action payload and rate limits. Large or full-page images may need a different response-handling approach; check whether your provider can return a link or another representation suitable for the next action.
  • Use HTTPS. ScreenshotOne advises HTTPS for API calls because unencrypted HTTP may expose access keys and other sensitive request data.
  • Test the complete delivery path. A successful API response does not guarantee the next app accepts that exact image representation. Verify the saved file or email attachment.
  • Do not promise exact timing or zero failures. Zapier’s schedule is approximate, while page loading and service responses depend on the target page and provider. No performance or uptime figure is established here.

Troubleshooting common failures

  • The Zap runs but no screenshot is produced: inspect the webhook method, endpoint, URL encoding, and required authentication against the screenshot provider’s current API documentation.
  • The Filter stops every run: check that the selected field is populated in the trigger sample and that the operator and expected value use the right data type. Test both passing and failing examples.
  • The wrong Path runs: review branch conditions and their editor order, then retest with representative sample data.
  • The image is missing or corrupt in email/storage: the response may be binary while the destination expects an encoded value, or vice versa. Confirm the screenshot API’s response mode and remap it to the destination’s accepted attachment/file field.
  • A webhook request fails at larger image sizes: check the documented 5 MB Zapier webhook action payload maximum and rate limits; reduce capture scope or use a provider response form the destination can consume.
  • The screenshot shows a consent overlay or popup: check whether the chosen provider supports handling that overlay, and whether its relevant cleanup option is enabled. Verify the resulting image before relying on the workflow.
  • The scheduled run appears late: confirm the account timezone and allow for Zapier’s documented few-minute timing window rather than expecting an exact-minute run.
  • An API key appears exposed: restrict access to the Zap and review whether credentials can be stored through an app connection instead of a visible webhook field.
