Use a full environment sync only when staging is the complete source of truth and you can pause live publishing. If the live site has newer posts, pages, orders, comments, users, or form submissions, use a selective content transfer instead. A full database replacement can erase those records; an export/import of chosen content keeps unrelated production data in place.
Antihost offers managed WordPress hosting with free migration, one-click staging and a 14-day free trial.
Whatever scope you choose, make dated backups of both sites, keep WordPress and plugin code compatible, replace staging URLs with the live URL using a serialization-aware tool, refresh permalinks and caches, and test media, navigation, forms, scheduled posts, and redirects before declaring the release complete.

Choose the right synchronization method
There are two fundamentally different operations. A full sync moves an environment; a selective transfer moves content. Treating them as interchangeable is the most common cause of lost production data.
| Decision point | Full staging sync or database replacement | Selective post/page transfer |
|---|---|---|
| What moves | Depending on the host, database and files/settings, including posts, pages, menus, media, plugins, and themes. WordPress.com describes this as syncing media files, plugins, themes, and database content. | Chosen posts and pages, normally through WordPress Export/Import or a content-migration tool, with associated media handled separately or by the tool. |
| Effect on newer live data | High risk: records created after the staging copy can be overwritten by the imported database. | Lower risk: unrelated live records remain, but relationships, custom fields, taxonomies, and attachments must be checked. |
| Best use | A coordinated release where staging is authoritative and publishing is paused for the cutover. | A content-only release on an active site or a site where production activity must continue. |
| Operational work | Database/file migration, URL replacement, permalink refresh, cache clearing, and a complete post-cutover test. | Export/import, media handling, relationship checks, URL verification, and testing of the selected content. |
Use a full sync when staging is the source of truth
Choose this route when staging contains every change that should exist on production and the production site can enter a short maintenance window. It is appropriate for a coordinated redesign, a plugin or theme release, or a launch where the entire database and file set must match.

Use selective transfer when production is still changing
Choose Export/Import or a migration tool when live editors are publishing, customers are placing orders, visitors are submitting forms, or support staff are adding users. Selective transfer avoids replacing the whole production database, but it does not remove the need to check page hierarchies, featured images, reusable blocks, custom fields, and links.
Prepare both environments before moving anything
Inventory production changes
Compare the date of the staging copy with the current live site. Record every item created or changed on production since that copy:

- Users, roles, form entries, newsletter sign-ups, and support tickets.
- WooCommerce orders, refunds, subscriptions, coupons, and customer accounts.
- Media uploads, menus, widgets, custom post types, taxonomies, and plugin settings.
- Scheduled posts and any background jobs that may run during the cutover.
If any of these records matter, either choose selective transfer or schedule a maintenance window and plan a site-specific merge. Do not assume a later database import can automatically merge two independently edited WordPress databases.
Freeze or schedule publishing
For a full replacement, announce a short freeze, disable editorial access if practical, and stop traffic-generating jobs that write to the database. Note the exact start time. For selective transfer, publishing can continue, but avoid editing the same post, page, menu, or media item on both environments during the export and import.
Match code, server, and configuration
Before transferring content, align WordPress core, PHP, active plugins, themes, database character set, and important configuration values. A database copied into an environment with older or incompatible code can produce fatal errors or silently omit fields. Confirm the target has the same custom post type registrations and taxonomies before importing content that uses them.

Back up staging and live, and define rollback
Create a dated database export from each environment and copy the uploads directory and relevant configuration. Keep the backups outside the web root and verify that they can be read. A rollback plan should identify:
Recommended Free Tools
- Which database backup restores production to its pre-release state.
- Where the production uploads and configuration copy are stored.
- Who can put the site into maintenance mode and restore the files.
- How DNS, CDN, page cache, object cache, and scheduled jobs will be returned to their previous state.
Do not delete the pre-release backup until the new site has passed content, checkout or form, navigation, and monitoring checks. A backup that has never been tested is not a reliable rollback.
Full synchronization on a managed WordPress workflow
Managed hosts often provide a “push,” “pull,” or “sync” control. The exact labels and exclusions vary by host and plan, so read the confirmation screen carefully. WordPress.com’s documented staging workflow can synchronize media, plugins, themes, and database content, including posts, pages, and menus.
- Open the staging/production control. Confirm which environment is the source and which is the destination. Reversing them can replace staging with production or production with stale data.
- Review the scope. Check whether the operation includes files, uploads, database tables, plugins, themes, menus, and media. Note any excluded tables or settings.
- Confirm the production freeze. Make sure editors, order processing, forms, and scheduled jobs will not write new records while the sync runs.
- Start the sync and wait for completion. Do not close the control panel or change DNS while the host is copying files and database data.
- Apply the live URL and environment settings. Some hosts rewrite the site URL automatically; verify it rather than assuming it did.
- Refresh permalinks and caches. Re-save the permalink setting or run the command described below, then clear page, object, and CDN caches.
- Run the verification checklist. Test representative posts, parent and child pages, images, menus, forms, search, scheduled content, redirects, and canonical URLs.
If the host cannot exclude live-generated records, do not use a full push on an active store or membership site. Export the required content instead or obtain a merge plan from the host.

- Export staging. Run
wp db export backup-staging.sql. Store the resulting file securely and record the timestamp. - Copy files. Move the staging
wp-content/uploadsdirectory and any theme or plugin files that are part of the release. Preserve permissions and ownership expected by the web server. - Put production in maintenance mode. Stop editorial and transactional writes before changing the production database.
- Import on production. Run
wp db import backup-staging.sql. This command reads the target database credentials fromwp-config.php; it does not create the database itself. The database and user must already exist and have the required privileges. - Replace the staging URL. Run
wp search-replace 'https://staging.example.com' 'https://example.com' --all-tables, substituting the actual domains. Use a serialization-aware search-and-replace operation; a plain text replacement can corrupt serialized options and widgets. - Flush rewrite rules. Run
wp rewrite flush. This rebuilds permalink rules after the database and domain change. - Clear caches. Run
wp cache flushand clear any page-cache or CDN layer through its own control panel. - Check configuration. Verify
siteurl, home, HTTPS settings, cookie domain, cron behavior, email delivery, and environment-specific API keys. Never copy staging credentials or test endpoints into production unintentionally.
The WP-CLI database import reads the credentials in the target’s wp-config.php; it will fail if the database is missing, inaccessible, or incompatible. A successful import message also does not prove that uploads, serialized options, or external integrations are correct.
Transfer only selected posts and pages
Selective transfer is safer for an active production site, but “one post” may depend on more than one database row. Check its featured image, inline media, author, categories, tags, custom fields, reusable blocks, linked pages, and any custom post type data before exporting.
- Prepare the target. Install matching plugins and register the same post types, taxonomies, blocks, and fields on production. Otherwise imported content may lose metadata or appear as an unknown type.
- Export from staging. Use WordPress’s Export function and select the relevant content type and author/date criteria. Download the XML file and inspect it before importing; WordPress Developer Resources advises checking that the export actually contains all intended posts and pages.
- Import on production. Use the WordPress Importer and upload the XML. Assign authors deliberately, enable attachment downloading when appropriate, and keep the importer’s completion report.
- Handle media. If attachments are not downloaded automatically, copy the required files and recreate attachment records with a migration tool. Verify that imported images are in the correct uploads location and display in their respective posts or pages.
- Rebuild relationships. Check parent/child page settings, menus, internal links, featured images, galleries, custom fields, and taxonomy assignments. Selective imports can create duplicate media or leave links pointing to staging.
- Replace remaining staging URLs. Run a targeted, serialization-aware search-and-replace only after confirming the scope. Avoid replacing a staging hostname globally if it appears in documentation, code samples, or an integration that should remain separate.
- Test and publish. Open the imported URLs while logged out, confirm metadata and images, then clear caches and submit the content to the normal editorial workflow.
For a small number of pages, manual recreation can be safer than importing a large XML file when the pages use complex builder data, private metadata, or plugin-specific relationships. Preserve the original staging content until production has been verified.
Replace URLs without corrupting WordPress data
A staging copy normally contains its staging hostname in site settings, post content, image metadata, menus, widgets, plugin options, and serialized arrays. Replace it with the production hostname after the database is in the target environment. WP-CLI’s documented example is:

Use HTTPS and the exact hostname and path used by each environment. If WordPress is installed in a subdirectory, include that path. Review the command’s table scope before running it: custom tables may need replacement, while unrelated integration tables may need to be excluded. Take a database backup first so an incorrect hostname or path can be reversed.
After replacement, inspect the page source and browser developer tools for mixed-content requests, staging API endpoints, webhook URLs, and canonical tags. Update environment-specific keys manually; a hostname replacement cannot know whether a third-party service should point to staging or production.

Images and attachments
Check the physical uploads path, file permissions, attachment URLs, responsive image sizes, and any off-site storage configuration. Open an older image, a newly imported image, a featured image, and an image inside post content. A page can appear correct in the editor while its front-end image still points to staging or a missing file.
Menus and page hierarchy
Confirm that navigation menus exist, are assigned to the intended theme locations, and contain the correct page IDs. Verify parent and child relationships and test menu links while logged out. A selective import may create a page but not add it to an existing menu; a full database move may carry over a menu that references a page no longer present.
Permalinks and redirects
Run wp rewrite flush after a full move, or visit Settings → Permalinks and select Save Changes on a managed interface. Test the exact public URL, trailing-slash behavior, category and author archives, pagination, feeds, and any redirects from old staging or legacy URLs. Refresh caches only after rewrite rules and redirects are correct.

Verification checklist after the transfer
- Open representative posts and pages in an incognito window and confirm titles, body content, authors, dates, taxonomies, and featured images.
- Check parent/child pages, navigation menus, widgets, breadcrumbs, search results, XML sitemaps, canonical URLs, and robots directives.
- Open images and PDFs from both old and newly imported uploads; confirm there are no 404 or mixed-content errors.
- Submit every important form and confirm delivery, spam handling, confirmation pages, and CRM or webhook destinations.
- For stores and memberships, verify checkout, account access, order history, subscriptions, payment callbacks, and transactional email without creating accidental live transactions.
- Check scheduled posts, cron tasks, cache warming, CDN behavior, analytics, consent tools, and error logs.
- Search the database and rendered HTML for the staging hostname, test API endpoints, and temporary credentials.
- Keep the maintenance window open until these checks pass; then monitor logs and traffic for errors and roll back if critical content or transactions fail.
Common failure modes and fixes
New production posts disappeared
This usually means a full database replacement was run after production activity continued. Restore the pre-release production backup, export the required staging content selectively, and merge only after identifying conflicting post IDs, slugs, authors, and metadata.
Free tools Windows power users keep installed
One-click scans. No signup required.
Imported pages show the wrong layout or missing fields
Install and configure the same theme, builder, custom-field, and taxonomy components before importing. Re-register custom post types and run the importer again only after removing or reconciling partial duplicates.
Images return 404 errors
Confirm that files were copied to the correct uploads year/month directories, ownership permits web-server access, attachment records use the live hostname, and any object-storage or CDN settings target production. Re-run a media import only after taking a backup to avoid duplicate attachments.
Links still point to staging
Run a serialization-aware search-replace with the exact staging and production URLs, then inspect menus, widgets, custom fields, scripts, canonical tags, and plugin settings for values stored outside the tables you searched.
Every URL returns a 404 after import
Flush rewrite rules, verify the correct permalink structure, confirm the web server is routing requests to the production WordPress directory, and purge stale caches. Check that the imported posts are published rather than private or scheduled.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Database import fails
Check the credentials and privileges in wp-config.php, confirm the target database exists, compare character sets and server versions, and inspect the import log for packet-size or timeout errors. Split an oversized dump only with a method that preserves SQL order and transaction integrity.
Special care for WooCommerce and other live-generated data
Orders, comments, users, form submissions, subscriptions, and inventory are not ordinary editorial content. A staging database may contain test orders or users while production contains real transactions. Do not overwrite production with staging merely to publish a page. Use selective export/import for editorial changes, or obtain a documented merge procedure that preserves production records and resolves ID and stock conflicts. Pause only the specific jobs that could write during a full cutover, and confirm payment, email, and webhook endpoints are production-safe before reopening the site.
Quick Recap
Decision checklist
- Choose full sync only if staging is authoritative, production writes can be paused, and a tested rollback exists.
- Choose selective transfer if production contains newer or transactional data that must remain.
- Back up both databases and uploads before either operation.
- Match code and registrations before importing content.
- Replace URLs with a serialization-aware command, then flush rewrites and caches.
- Verify media, hierarchy, menus, forms, scheduled content, redirects, and logs before ending maintenance.
