How to Sync an Offline Password Manager Across Your Devices Without Cloud Storage

A practical guide to synchronizing a KeePass-compatible KDBX database directly between computers and phones with Syncthing, including setup, platform limits, backups and conflict recovery.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use a KeePass-compatible manager that stores an encrypted KDBX file, then synchronize the folder containing that file directly between your devices with Syncthing. Each device opens its own local copy; no password database is uploaded to a cloud-storage provider. The devices must be online together for changes to move between them.

This arrangement is dependable only when every device can open the same database format, you keep an independent backup, and you have a plan for edits made while devices are disconnected. iOS requires particular caution because Syncthing’s project does not plan official iOS support in the foreseeable future.

How the cloudless arrangement works

An offline password manager and a synchronization tool do different jobs. KeePassXC, for example, stores entries in an encrypted database file. Its native formats are KDBX 3.1 and KDBX 4, according to the KeePassXC documentation. The file is protected by the database password and, optionally, a key file.

Syncthing watches a folder on each participating device and exchanges changed files between those devices. Syncthing’s FAQ describes the model this way: “Therefore Syncthing does not upload your data to the cloud but exchanges your data across your machines as soon as they are online at the same time.” Read the full statement in the Syncthing FAQ.

The result is a set of encrypted local copies. Your computer, phone or tablet opens its local KDBX file; Syncthing handles file transfer separately. This is not a one-click password-manager feature, and it is not a backup system. You must verify that the app on each device can read the synchronized file and decide how you will recover from conflicting or damaged copies.

Choose compatible apps and files first

Use one database format everywhere

Select a desktop password manager and mobile companion that can open the same KDBX database. A database that opens on a computer is not automatically usable by every mobile app. Check the app’s current documentation for KDBX 3.1 or KDBX 4 support, attachment handling, custom fields and any limits on plugins or advanced entry types.

Install the desktop application and the mobile application before moving your important credentials. Open a test KDBX database in each app and confirm that you can view, create and save an entry. If an app converts the file or omits fields, stop and resolve that compatibility issue before synchronizing a real vault.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Keep the database in its own folder

Create a dedicated folder containing the encrypted database. Do not place CSV exports, plaintext backups or printed recovery notes in the folder that Syncthing shares. An export made for migration is not protected like the KDBX database and would be copied to every paired device.

Give the file a clear name, such as passwords.kdbx, and avoid maintaining several active databases unless you have a deliberate reason. Multiple similarly named files make it easy to open an old copy and mistake it for the current vault.

Decide whether to use a key file

A key file can add a separate piece of unlocking material. KeePassXC recommends keeping it separate from the database where practical and warns against using a key file without an actual password. The key file is itself sensitive: someone who obtains it may possess an important part of the database-unlocking material, while losing it can make the database impossible to open.

Compare the available transfer methods

Approach Automatic updates Cloud storage Main trade-off
Syncthing between devices Yes, when the configured devices can connect No cloud upload according to Syncthing’s FAQ Requires platform/client setup and a procedure for simultaneous or offline edits
Manual USB drive or file transfer No No Simple concept, but every change must be copied deliberately; removable media can be lost or fail
Shared cloud folder Usually, through the provider Yes Easier integration, but it does not meet a no-cloud requirement

Compare methods on six practical questions: can every device run a compatible client, must the devices be online at the same time, what happens after two offline edits, where are historical versions kept, how much setup is acceptable, and whether the method actually satisfies your definition of “without cloud storage.” A direct device-sync service does not guarantee recovery or resolve every concurrent edit automatically.

Step-by-step: set up Syncthing for a KDBX database

1. Create and test the encrypted database

  1. Install your chosen KeePass-compatible desktop manager.
  2. Create a new encrypted KDBX database or select an existing one. Use a long, unique database password; KeePassXC’s guidance on encrypted local storage and backups is in its Getting Started Guide.
  3. Save the database in the dedicated folder you intend to share.
  4. Open it again from that location, create a harmless test entry, save, close and reopen it. This confirms that the file path and password work before another device is involved.

2. Install a supported Syncthing flavor

Install Syncthing or a supported community flavor on each device that will hold a local copy. Syncthing’s official documentation describes community flavors, including Android. Availability, permissions and background behavior vary by operating system, so check that the client can read and write the dedicated folder and remain active often enough for your workflow.

There is no official Syncthing support for iOS planned in the foreseeable future, according to the project’s FAQ. An iPhone or iPad may still be usable with a third-party app and a different transfer path, but you must verify that the chosen password-manager app can access the resulting local KDBX file. Do not assume that an Android or desktop procedure transfers unchanged to iOS.

3. Pair the devices by device ID

  1. Open Syncthing on the first device and note its device ID.
  2. On the second device, display its device ID and add the first device as a remote device; then accept the pairing request on the first device.
  3. Repeat for each additional device. Confirm the identifiers carefully so you do not share the folder with an unintended machine.

The official Syncthing Getting Started guide documents the pairing and folder-sharing workflow. Use the client’s current labels, since community builds can arrange these controls differently.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

4. Share only the database folder

  1. On the device that contains the working database, add the dedicated folder to Syncthing.
  2. Share that folder with the paired devices, choose a local destination on each device, and approve the share on those devices.
  3. Check the resolved path on every device. The password manager must be pointed at the local KDBX file inside that path, not at a stale copy elsewhere.

Do not share your entire home directory or a folder that contains unencrypted exports. Restricting the share reduces accidental disclosure and makes it easier to audit what Syncthing can copy.

  • Brand Yourself - Brand the flash drive with your company's name and provide company's overview, policies, etc. to the newly joined employees or your customers

5. Let the initial copy finish

Keep the devices available until Syncthing reports that the folder is synchronized. Open the database only after the complete file has arrived. A partially transferred or still-changing KDBX file should not be treated as a usable vault.

On each device, open the local file with the same database password. If a key file is required, place the approved copy on that device through your planned secure method and select it when prompted. Verify that the entry count, groups and a few non-sensitive test values look correct before adding important credentials.

6. Make a test change on one device

  1. Add or edit a noncritical test entry on device A and save the database.
  2. Wait for Syncthing to finish transferring the change.
  3. On device B, confirm that the updated entry appears after reopening or refreshing the database as required by that app.
  4. Make a separate test edit on device B and confirm it returns to device A.

This test exposes permission problems, wrong file paths, mobile background restrictions and format incompatibilities while the database contains nothing essential.

7. Adopt a one-writer routine

Before editing, check that the device has the latest synchronized copy. When practical, close the database on one device before opening it for editing on another. Avoid changing the same vault on two devices that are disconnected; the resulting files may diverge and require a merge.

8. Establish backup and recovery before relying on it

Make an independent backup of the encrypted database and, if used, the key file. Keep version history or another recovery path so that an accidental deletion, corruption or unwanted edit does not propagate to every synchronized copy. KeePassXC’s documentation and FAQ emphasize backups and caution that USB thumb drives can break or be lost; see its documentation.

How to handle edits made while devices are offline

Why two copies can diverge

Suppose a laptop and phone both contain the same database, then lose contact. You add an entry on the laptop and change another entry on the phone. Each device now has a valid but different KDBX file. When connectivity returns, a file synchronizer cannot safely infer every intended database-level change from two independently edited binary files.

Do not keep editing while you are unsure which copy is current. First preserve both files. Copy each divergent database to a separate recovery location and give the copies unambiguous names that include the device and date. Never overwrite the originals while deciding what to keep.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Merge on a desktop when necessary

KeePassXC documents a database merge operation for Windows, macOS and Linux. Use a desktop copy to combine the divergent databases, inspect the resulting entries, and save the merged database as a new file. Keep the pre-merge copies until you have checked passwords, attachments, groups, custom fields and recent changes.

The merge operation is a recovery procedure, not permission to edit concurrently every day. A merge may preserve both versions of an entry or expose duplicates that require a human decision. After validating the merged file, replace the synchronized working copy according to your normal process and allow Syncthing to distribute it.

iOS recovery may require a desktop step

KeePassium’s support documentation says that KeePassium does not currently merge databases itself. Its database merge guide therefore points to a workflow in which divergent copies are handled elsewhere, such as on a desktop. Keep the original iOS and desktop files until the merged result has been opened and checked.

Security model and sensible safeguards

Encryption protects the stored database, not every surrounding action

The KDBX file remains encrypted while stored, but the database password, key file, unlocked app session and device itself still need protection. Use a strong, unique database password and the operating system’s screen lock. Avoid leaving an unlocked vault visible while a synchronized device is unattended.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Syncthing removes the need to place the database in a cloud-storage account; it does not make an unencrypted export safe. Treat every device that receives the folder as an authorized vault endpoint. Remove a lost or retired device from the pairing and delete its local copy when your recovery policy allows.

Protect and recover the key file

A key file should normally be kept separately from the database where practical, as KeePassXC advises. “Separate” does not mean “unrecoverable”: maintain a protected backup that authorized users can retrieve. Test that backup by opening a duplicate database copy, rather than discovering during an emergency that the key file is unreadable or mismatched.

Keep backup generations outside the sync folder

Syncthing mirrors changes, including an accidental deletion or a corrupted file that is saved and then propagated. Store at least one backup generation outside the synchronized folder and retain more than the newest copy when the data is important. A removable drive can be useful for a manual backup, but do not treat a single thumb drive as durable storage; KeePassXC specifically warns that such drives can fail or be lost.

Platform-specific considerations

Windows, macOS and Linux

Desktop systems are the easiest place to create, inspect and merge KDBX files. KeePassXC’s merge capability covers Windows, macOS and Linux. Use the desktop as your recovery workstation even if your everyday edits happen on a phone.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Android

Syncthing’s documentation lists community Android flavors. Confirm that the selected flavor can run in the background, access the chosen folder and complete transfers under the phone’s battery and permission settings. Then verify that the Android password manager opens the exact local KDBX path Syncthing updates.

iOS and iPadOS

Syncthing’s official FAQ says the project has no plans for official iOS support in the foreseeable future. A cloudless iOS arrangement therefore depends on a compatible third-party transfer app and a password manager that can open the transferred file. Test opening, saving and returning a change before placing your primary vault in the workflow. KeePassium documents synchronization options and app-specific limitations in its data synchronization guide.

Troubleshooting checklist

The file never appears on the other device

  • Confirm both devices are paired using the correct device IDs and that the folder share was accepted on both sides.
  • Check that Syncthing is running and that the devices are online together; transfers cannot occur while one device is unavailable.
  • Verify the shared folder path and permissions. The password-manager app may be looking at a different local copy.
  • Check whether the mobile operating system has stopped the Syncthing flavor in the background.

The password manager reports an invalid or unreadable database

  • Wait for the initial synchronization to finish before opening the file.
  • Confirm that every app supports the KDBX version and features used by the database.
  • Ensure that the database password and key file are the correct pair. A missing or altered key file cannot be repaired by resynchronizing.
  • Open a preserved backup copy on a desktop to determine whether the synchronized file is damaged.

Changes appear to disappear

  • Check which local file the app opened and compare its modification time with Syncthing’s status.
  • Stop editing on all devices and preserve each copy if two devices were offline during edits.
  • Use the desktop merge process when appropriate, keeping the originals until the result is verified.

Syncthing reports a conflict

Do not delete a conflict copy automatically. Treat each copy as evidence of a possible edit, preserve it outside the working folder, and compare the entries in a desktop manager. After choosing or merging the correct changes, save one validated database and let that file become the synchronized version.

A maintenance routine that prevents avoidable loss

  1. Before an important edit, check that the device has synchronized recently.
  2. Use one active editor at a time whenever possible.
  3. Close or lock the database after editing and allow the file transfer to complete.
  4. Periodically open a backup copy and confirm that both the database password and key file, if any, still work.
  5. Review the list of paired devices and remove hardware you no longer control.
  6. After operating-system or password-manager updates, repeat the harmless-entry test before making a major vault change.

Manual transfer remains a valid alternative when only occasional updates are needed. Copy the encrypted KDBX file deliberately, verify its checksum or timestamp by your own process, and retain the previous version. It is slower and easier to forget than automatic synchronization, but it avoids assuming that every platform can run a Syncthing client.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

When this approach is the right fit

Direct synchronization is a good fit if you want encrypted local files, have a manageable number of devices, can keep them online together periodically, and are willing to maintain backups and resolve rare conflicts. It is less suitable if you need effortless access from many unmanaged devices, cannot test mobile file access, or require automatic historical recovery without maintaining it yourself.

The essential distinction is simple: Syncthing moves encrypted database files between authorized devices; the password manager encrypts and opens those files; backups and merge procedures protect you when synchronization alone cannot. Build and test all three parts before storing credentials that you cannot afford to lose.
