How to Switch AI Assistants Without Losing Prompts and Workflows

A practical plan to back up prompts, memory, chat history, project instructions, and files—and understand what ChatGPT, Claude, and Gemini can actually import.

You can switch AI assistants without abandoning your useful work, but an account export is not a one-click account transfer. Before cancelling your old service, save its export, make a portable brief of the context you want to keep, and inventory projects and files separately. Then use the destination’s supported import route and test your key workflows before relying on it.

What to preserve before you switch

Treat a move as four separate portability tasks. Chat history, memory, reusable prompts and project instructions, and uploaded files are different kinds of data; an import that handles one may not carry the others.

  • Chat history: useful conversations and their text, which may remain only as an archive or reference rather than becoming native searchable history in the new assistant.
  • Memory and response preferences: durable facts about your work, preferred tone, formatting, and recurring needs. A summary is easier to review and reuse than an entire chat archive.
  • Prompts and project instructions: reusable templates, project goals, terminology, workflow steps, and current status. Save these separately rather than assuming they are embedded in chat exports.
  • Files and attachments: source documents, spreadsheets, images, and other materials. Keep original files where possible; a conversation import may not carry attachments or generated files.

Make the backup before cancelling. Export delivery can take time, and some services do not let you import their archive into another account.

Make a portable copy of your context

Request and inspect the account export

Download the old assistant’s account export and check that the ZIP or other archive contains the conversations and data you expect. OpenAI says ChatGPT exports can take up to seven days to arrive, and the download link expires after 24 hours; download it while signed in to the account that requested it. Deleted ChatGPT conversations cannot be restored by an export. See OpenAI’s export instructions.

Keep the original archive as a backup until you have checked the new setup. An archive remains useful for reference even if the destination has no native import for it.

Write a portable context brief

Create a short document with the material you actually want the new assistant to use:

  • your reusable prompts and preferred response style;
  • active project goals, current status, important terminology, and recurring workflow steps;
  • facts or preferences you intentionally want remembered; and
  • pointers to essential files, including where the originals are stored.

You can ask the old assistant to draft this brief, but review it yourself for accuracy, omissions, and sensitive information before importing or pasting it elsewhere. A generated summary is a starting point, not a guaranteed complete record.

Inventory projects and files separately

For every project you plan to continue, record its custom instructions, essential chats or prompt templates, and the source files it depends on. ChatGPT describes Projects as combining chats, uploaded files, and custom instructions; its project-only memory also keeps context within the project rather than drawing on personal memories and chats outside it. An exported chat alone does not recreate that project. See OpenAI’s Projects guide.

Choose the import route that matches what you saved

The documented options differ in what they carry and what the result looks like. Check the destination’s current help page before switching, since interface paths and availability can change.

Destination or route What it can carry What it does not mean
ChatGPT export used in another personal account An exported conversation file can be uploaded in a new chat as reference. OpenAI does not support merging accounts or moving conversations into another account’s ChatGPT history; this is not a full account migration. OpenAI explains the conversation-transfer limitation.
Claude memory import A reviewed summary can be pasted into Settings > Memory; Claude extracts key information into memory entries that you can review. It is experimental and may not incorporate every imported memory. Claude’s export of user information and chat history cannot be imported into another personal Claude account. Anthropic’s memory import and export guide.
Gemini memory import Gemini provides a prompt to use with the previous AI; paste the resulting memory summary into Gemini. A memory summary is separate from a full history archive. Google described these consumer features as rolling out in its March 26, 2026 announcement. Google’s Gemini switching announcement.
Gemini chat-history import Upload a ZIP through Settings; Google’s help says ZIP files up to 5 GB are supported, and imported chats transfer their text. Project files cannot be imported through this route, and generated images and files from the previous app are excluded. Upload needed files separately. Google’s Gemini import instructions and limits.

Rebuild and test your workflows

  1. Set up the destination: use its native memory or history import for the asset type it supports. For files and project instructions, follow the destination’s own upload and project setup options rather than relying on a chat import.
  2. Recreate one representative project: add its instructions, essential files, and reusable prompts. Compare the new setup with your inventory so you can spot missing pieces.
  3. Run a representative prompt: check whether the assistant follows your expected format, terminology, and preferences. Adjust the saved instructions if the result is off.
  4. Check retrieval: try to find one important old conversation and use one important file in the new setup. Confirm whether the conversation is native searchable history or only available as an uploaded reference.
  5. Keep the archive until the checks pass: retain the original export so you can consult it if a conversation, attachment, or instruction did not transfer.

What to expect when moving between these services

From ChatGPT

Request the account export before leaving, then save project instructions and files separately. OpenAI’s documented route for another personal ChatGPT account is to upload the exported conversation file in a new chat for reference, not to merge accounts or populate the new account’s history. For Gemini, use its separate memory and ZIP history import routes where available; project files still need separate handling.

From Claude

Individual users can export user information and chat history from Settings > Privacy on Claude web or Claude Desktop; Anthropic says export is not available through Claude for iOS or Android. The export arrives by email and cannot be imported into another personal Claude account. Claude’s memory import is a separate option: review the summary for sensitive material, submit it under Settings > Memory, then inspect the resulting entries. Anthropic says memory focuses on work-related topics, so verify personal details and less central facts. Moving a personal account into a Team or Enterprise organization is a separate path documented by Anthropic, not a cross-service import. See Anthropic’s Claude data export guide.

From Gemini

Google’s March 26, 2026 announcement described memory and full chat-history imports as rolling out to consumer accounts. The memory flow uses a prompt and pasted summary; the history flow accepts a ZIP through Settings. The ZIP route imports chat text, not project files or generated images and files, and accepts files up to 5 GB according to Google’s current help page. Upload any required files separately.

Privacy and accuracy checks

  • Review summaries before importing them; remove passwords, confidential client information, or personal details you do not want in the destination.
  • Compare imported memory entries with your brief. Do not assume a memory import captured every fact just because it completed.
  • Keep a copy of original prompts and instructions outside the assistant, especially when they drive repeatable work.
  • Check the destination’s current documentation for rollout, account type, platform, and file-size conditions before you depend on a route.
