You can judge the new workflow in everyday use before deciding whether any older material needs to move.
Keep the archive; change where new notes go
Thanh Pham’s Asian Efficiency article, last updated September 17, 2026, frames the risk with a question: “What’s the one app in your stack that, if it died tomorrow, would take thousands of notes with it?” The number is part of a hypothetical, not a measured statistic. The practical concern is dependence on one place for both old material and every new thought.

Pham calls the alternative the “Risk Diversification Strategy”: leave the legacy archive in its current app, then direct new notes to a simpler or more convenient candidate. For example, the article suggests using Apple Notes for daily capture while retaining Evernote as an archive. That is an illustrative workflow, not a tested comparison or a claim about either app’s current features.
This approach separates two decisions that are easy to conflate: where to store the notes you already have, and where to capture the next one. You can make the second choice now without taking on the time and risk of reorganizing the first.

Choose a capture tool by how easily you use it
Count the steps between thought and note
Pham’s “Friction Kill Rule” is a rule of thumb: the capture system should be easy to open and use. Pay attention to the actual path from having a thought to saving it. If the app is slow to reach, the capture process demands too many decisions, or you regularly postpone saving a note, those are relevant costs even if the tool offers many advanced features.
The article puts capture speed ahead of an impressive feature list. That is the author’s selection principle, not a result from comparative testing. Your own routine is the meaningful test: try capturing the kinds of notes you actually make, in the situations where you make them.

Keep setup complexity proportional to the job
A configurable knowledge-management system can become its own hobby. Plugin choices, rules, metadata, and links may take time away from using the notes. Pham calls the point at which configuration exceeds your needs the “Complexity Ceiling” and names Obsidian and DevonThink as powerful tools that may feel too involved for some nontechnical users. That characterization is the author’s judgment; it is not a universal verdict on those products.

Notion’s community templates are also discussed in the article as a “Template Network Effect.” The article offers that as an explanation of appeal, not as a quantified or independently established market finding. In practice, a template or plugin is useful only if it makes your own capture or retrieval easier.

- NEARLY 2X FASTER THAN OUR PREVIOUS GENERATION(8) – move 1,000 high-res photos in under 60 seconds(6) with up to 2000MB/s transfer speeds(2).
- IP65 RATING AND UP TO 3M DROP PROTECTION(3) – protects against spills and drops.
- POCKET-SIZED – fits easily in pockets and small bags.
- SPACE TO OWN YOUR AI CONTENT – speed and capacity to download your high-res clips and photo edits.
- 256-BIT AES ENCRYPTION(4) – helps keep private files secure with password protection.
Consider portability, but do not confuse files with a safety plan
Pham points to Obsidian’s Markdown files as an example of a workflow organized around files that can be read outside a single app. Obsidian’s official documentation describes Markdown editing modes and file paths within a vault: Obsidian Help. That supports describing Obsidian’s file-based model, but it does not establish that Obsidian is the only major note-taking app with portable files or that every other app uses a proprietary format.
Local files also do not automatically provide backup, synchronization, encryption, or recovery. Obsidian’s documentation treats the local vault and its optional Sync service separately, including different Sync encryption choices; it says the local vault is not encrypted by Obsidian and recommends backing up a vault before a sync reset. See Obsidian’s official help documentation for current details. Do not assume that plain text by itself protects notes from device loss, accidental deletion, or unauthorized access.

Use a method without making it an app requirement
The article’s “Zettelkasten Bridge” is the distinction between a note-making method and the software that holds the notes. If you want to try the method, begin with a digestible note written in your own words rather than treating a particular app setup as a prerequisite. Pham recommends How to Take Smart Notes by Sönke Ahrens as an introduction to Zettelkasten.
The method and the storage choice can be evaluated separately. You can write concise, useful notes in a simple capture tool, then decide later whether linking or a more elaborate structure adds enough value to justify its upkeep.

Run a low-risk two-week trial
Pham’s “Two-Week Trial Protocol” is a suggested experiment, not a validated industry standard. Its purpose is to learn whether daily capture works before you commit to a larger migration.
- Leave the archive alone. Keep existing notes in the current app so the trial does not depend on a bulk move.
- Choose one candidate. Pick a tool you can open readily and use for the notes you make day to day.
- Use it for daily capture for two weeks. Notice whether saving a note is straightforward and whether the tool fits your real routine.
- Stop if capture becomes slower or harder. The trial is meant to reduce friction, not add another maintenance task.
- Decide what, if anything, needs to move. After the trial, you can keep the old archive, selectively move useful notes, or reconsider the candidate. A wholesale migration is not required for the trial to be useful.
What this approach does—and does not—solve
Keeping an archive in place avoids making a large migration the price of trying a new capture workflow. It does not make an old app independent of its vendor, guarantee future access, or replace a backup. Likewise, a portable file format can make notes easier to inspect outside one application, but portability alone does not decide how you will sync, secure, and recover them.
The point is to make the next note easier to capture while postponing a disruptive archive decision until you have a reason to make it. Treat Pham’s named rules as useful labels for that proposed workflow, not as established standards or evidence that one app is best for everyone.
