Start with a clear invitation, an easy-to-find place, and a small, low-pressure gathering. A campus coffee meetup gives students a chance to talk and meet peers; it cannot guarantee friendships or promise to improve wellbeing. Keep the plan simple enough to host again if people want to.
Choose a format that fits your group
Decide whether you want a planned small-group meetup or a casual drop-in. The right choice depends on how much structure you can host, how predictable attendance needs to be, and whether guests should be able to stop by briefly.

| Format | What it offers | Plan for |
|---|---|---|
| Planned small group | A more intimate conversation and greater control over headcount. | Inviting people in advance and choosing a place that can accommodate the expected group. |
| Drop-in | Lower commitment; attendees can arrive or leave briefly without disrupting a program. | A welcoming location where people can join informally and refreshments are available if appropriate. Ohio State’s Morning Connection, for example, offers coffee or tea, light refreshments, conversation, and no required agenda. |
| One-to-one coffee chat | A flexible way for two students to meet on their own schedule. | Letting participants decide when and how to meet. Cornell’s Fall 2026 Big Red Connect uses this approach. |
For a first hosted gathering, Democracy Forward suggests inviting a small initial group and aiming for 5–10 guests to keep conversation engaging and intimate. That is a practical suggestion, not a proven optimum. A local café, student-center café, common room, kitchen table, or reserved campus space may work, depending on comfort, access, and venue rules. Be realistic about your capacity and the space. The University of Alberta Faculty of Engineering reports that its Coffee Chat moved from weekly to bi-weekly sessions because of staff capacity; moving to a more visible room was intended to attract students. Its 2026 account says 12–15 students attended each session on average, with 25+ at peak times. Those are figures for that program, not targets for a student-run meetup. Plan the practical details before inviting people
- Pick a time and accessible meeting point. Choose somewhere easy to find, comfortable for conversation, and suitable for the group. Check whether the venue requires a reservation and whether outside food or drinks are allowed.
- Check your campus’s event rules. Ask the student union, student-life office, or campus events office whether you need event registration, room booking, food approval, funding approval, insurance, or a particular accessibility-request process. Requirements vary by institution.
- Make the invitation specific. Include the purpose, date, start and end time, exact meeting point, expected cost, and whether each person buys their own drink. Say whether guests can arrive late or leave early, and share any access details they may need.
- Prepare a few conversation prompts. A short list can help if conversation stalls, but there is no need for a formal program. Let people pass on any question.
- Decide how you will welcome and close the gathering. Plan a brief opening and, at the end, ask whether attendees would like another meetup. If they do, invite someone to help coordinate the next date.
Open with easy, optional conversation
Welcome people as they arrive and briefly explain why you wanted to host. Invite introductions in whatever way feels comfortable to each person; nobody should have to share more than they want. - Give people room to participate differently. A drop-in format, permission to leave early, and the option to pass on questions can make the gathering less demanding. Ohio State’s example also includes coffee or tea and light refreshments.
- Ask about access needs. Share how to request accommodations and whom to contact, using your institution’s process. Ohio State says one week’s notice generally helps it arrange support, while it will try to handle later requests; that timing applies to that university, not every campus.
- Consider dietary needs before serving food. Cornell’s Fall 2026 facilitated student dinners include vegetarian, vegan, and gluten-free options. Use that as a reminder to ask about dietary needs and label refreshments, not as a claim that every campus has the same provisions. Check local food policies before bringing or serving anything.
For another date, Democracy Forward recommends designating a point person to schedule the next Campus Coffee. Cornell’s Fall 2026 dinner series lists capacity at 25 students per dinner; that figure applies to those facilitated dinners, not coffee meetups generally. Set a modest goal for what the meetup can do
Campus examples use casual coffee, meals, prompts, or drop-in conversation to create opportunities for students to connect. That is a worthwhile goal on its own. Cornell describes connection in relation to wellbeing, resilience, and academic success, but an institution’s description is not evidence that one informal meetup causes those outcomes. Attendance and room capacity figures are not measures of belonging, loneliness, wellbeing, or academic impact.
