How to Share Large Files in Outlook with OneDrive Links

Send a large Outlook file as a OneDrive link, choose the right access level, and troubleshoot recipient permissions.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

To send a large file in Outlook, upload it to OneDrive and put a sharing link in your message instead of attaching the full file. Before sending, check who can open the link and whether they need view or edit access. A link avoids putting the file itself in the email attachment payload, but recipients can open it only if its sharing permissions allow them to.

Share a OneDrive file in an Outlook email

  1. Upload the file to OneDrive. Make sure it has finished uploading before you share it.
  2. Start or open your Outlook message. You can create a new email, reply, or forward.
  3. Add the file as a link. Depending on your Outlook version, use the attachment picker to select the OneDrive file and choose the link-sharing option, or copy the sharing link from OneDrive and paste it into the message. Microsoft documents both ways to include a cloud-file link in a message (Outlook.com: attach files; Share OneDrive files and folders; Share files in Outlook).
  4. Set permissions and check access. Choose who can use the link and whether they can view or edit. Review any Outlook warning about recipients who may not be able to open the file, then send only when the access is suitable.

Choose who can access the link

Use the narrowest access setting that works for the people receiving the email. OneDrive link scopes can include specific people, people in your organization, or anyone with the link. Work or school administrators may disable some options, so your menu may not show all of them (Microsoft: share OneDrive files and folders; Microsoft: share files and folders in OneDrive for work or school).

  • Specific people: Best for a defined recipient list. A forwarded link does not automatically grant access to someone who was not included, although the recipient still needs to authenticate as required by the sharing setup.
  • People in your organization: Useful for internal sharing when everyone who needs the file belongs to the same organization. It is not a setting for external recipients.
  • Anyone with the link: Convenient when recipients cannot be individually specified, but the link can be forwarded; anyone who obtains it may be able to open the file. Avoid it for sensitive material.

Choose view access unless recipients need to change the shared file. Editing permissions allow changes to the OneDrive version, not just a downloaded copy. Depending on the link and account, OneDrive may also offer controls such as blocking downloads, setting an expiration, or requiring a password. These controls are not available in every account or organization (Microsoft: change OneDrive permissions; Microsoft: OneDrive work or school sharing).

Review Outlook’s access warning before sending

When a message contains a OneDrive or SharePoint link, Outlook can identify recipients who may not have access and offer ways to manage permissions or attach a copy. If a recipient is flagged, do not assume the link will work for them: use the warning’s access-management option to grant appropriate access, or send a copy if a separate file is acceptable (Microsoft: share files in Outlook).

When you paste a OneDrive or SharePoint link into the message body, Outlook may apply your organization’s configured default permissions. Open the link’s permission dialog to review or change the scope and editing setting before sending. A recipient can still be blocked if the file’s location or your organization’s policy restricts sharing.

Send a copy instead of a live link

If recipients need a standalone version rather than the live OneDrive file, attach a copy when Outlook offers that choice. The copy is independent: changes made to it will not synchronize with the OneDrive original. Use a link when everyone should work with the same cloud-stored file; use a copy when you want to send a separate version (Microsoft: attach files in Outlook.com).

Understand the size limits

Outlook attachment limits depend on the product and account. Microsoft’s general large-file guidance lists a 20 MB limit for internet email accounts and a default 10 MB limit for Exchange business accounts; those figures include message content and attachments. A separate Outlook.com known-issue page states a 25 MB email limit and a 2 GB limit for a linked OneDrive file. These are figures from different Microsoft support contexts, not one universal Outlook limit. Check your current Outlook product and mailbox policy if a file or message is rejected (Microsoft: reduce attachment size in Outlook; Microsoft: Outlook.com known issues).

Change or revoke access after sending

To check who can access a shared file, change permissions, or disable a link, open the file’s Manage access controls in OneDrive. The available actions depend on the link type and account. If you revoke a link, people who relied on it may no longer be able to open the file (Microsoft: stop sharing or change permissions).
