Review reports, fix legitimate senders that fail authentication or alignment, and only then move toward quarantine or reject. The order matters: an enforcement policy can disrupt real mail if you have missed a sender.
What SPF, DKIM, and DMARC each do
These mechanisms address different parts of email authentication. They work together, but a pass for one mechanism does not automatically mean DMARC passes.

- SPF lists authorized sources for the SMTP envelope sender (MAIL FROM) domain. It does not, by itself, establish that this domain matches the visible From address. Microsoft explains SPF setup and sending-domain coverage in its SPF guide.
- DKIM adds a cryptographic signature to outgoing mail. A receiving system checks that signature against key information published in DNS. For DMARC, the signing domain must align with the visible From domain. See Microsoft’s DKIM setup guidance.
- DMARC lets a domain owner request how receivers handle messages that fail aligned SPF and DKIM checks, and can request aggregate reports. DMARC passes when at least one of SPF or DKIM passes and its authenticated domain aligns with the visible From domain. The IETF DMARC standard describes the policy and alignment model.
For Microsoft’s Microsoft 365 instructions, custom-domain SPF and DMARC records are published at the authoritative DNS host or registrar; Microsoft 365 admin controls enable DKIM and provide its DNS values. Other mail platforms may use different controls and record values.
Step 1: Inventory every service that sends as your domain
Before editing DNS, list every system that sends mail with your domain in the visible From address. Include employee mail, website and application notifications, marketing campaigns, invoicing, support tickets, and other third-party services. For each one, note the From domain and obtain that provider’s SPF and DKIM instructions.

Consider using a dedicated subdomain for an external bulk-mail service when your provider supports it. Microsoft recommends considering this separation so that bulk mail does not affect the reputation of the main employee domain. Keep track of each subdomain separately: SPF authorization is configured for the sending domain, and a sending subdomain needs its own SPF record.
Step 2: Publish one SPF record for each sending domain
At the DNS host authoritative for the sending domain, create or update the SPF TXT record using the mechanisms supplied by every legitimate sender. If an SPF record already exists, merge the new sender’s required mechanisms into it; do not publish a second SPF record for that same domain. Microsoft documents the one-record rule and the SPF DNS-query limit in its SPF setup instructions.

SPF evaluation can fail if the record requires more than 10 DNS-querying mechanisms. Count nested lookups from mechanisms such as include as well as those visible in the top-level record. Ask each sending provider for its current instructions, and review the complete lookup chain if the limit is exceeded.

Step 3: Enable DKIM with each sending platform
In each provider’s email or domain-authentication settings, enable DKIM for the custom sending domain. Publish the exact DNS record or records that provider supplies, then follow its instructions to activate signing. Selectors and DNS targets depend on the provider and account configuration; do not reuse another tenant’s values.
Check the signing domain, not just whether a message has a DKIM signature. For DMARC to use that DKIM pass, the signing domain must align with the visible From domain. Microsoft’s DKIM configuration guide covers enabling signing for Microsoft 365 custom domains.

Step 4: Publish DMARC in monitoring mode
Create a TXT record named _dmarc for the domain and begin with the policy p=none. Configure an aggregate-report destination that an administrator will review. A schematic record is:

Review aggregate reports for unfamiliar sending sources and for legitimate mail failing SPF or DKIM alignment. Correct sender configuration before changing policy. Once results show that legitimate mail is authenticating as intended, increase enforcement gradually: move to p=quarantine and later, if results support it, p=reject. Microsoft’s guidance also describes using pct to stage enforcement. Do not tighten policy merely because the DNS record exists.
Step 5: Verify each sending path before enforcement
- Send a test message through every service in your sender inventory to an external mailbox.
- Inspect the received message’s authentication results for SPF, DKIM, and DMARC outcomes. For any pass, check alignment with the visible From domain, not just the pass label.
- Confirm the DNS records are published as intended and review aggregate reports across a representative sending period.
- Repair any legitimate sender that is missing from SPF, lacks DKIM signing, or authenticates with a domain that does not align.
- Increase DMARC enforcement only when the reports and tests support the change.
Google recommends authenticating every sending domain and checking that third-party providers authenticate mail with SPF and DKIM in its Gmail sender guidelines. DNS interfaces, propagation behavior, provider menus, and test procedures differ, so use the exact record values and activation steps from your DNS host and mail providers.
Gmail sender requirements to account for
Google’s Gmail sender guidance says that, starting February 1, 2024, all senders to Gmail accounts must set up SPF or DKIM. Senders delivering more than 5,000 messages per day to Gmail accounts must set up SPF, DKIM, and DMARC; Google’s guidance permits a DMARC policy of p=none for this requirement. For direct email, the visible From domain must align with either the SPF domain or the DKIM domain. These are Gmail-recipient requirements, not a complete statement of requirements at every mailbox provider. Consult Google’s current sender guidelines for the applicable details.

Google also says senders should keep the spam rate reported in Postmaster Tools below 0.3%. Authentication helps establish who is authorized to send, but it does not guarantee inbox placement.
Common setup failures and what to check
- More than one SPF TXT record: Merge the authorized senders into one SPF record for that domain. Multiple SPF records can cause a permanent SPF error (permerror), as Microsoft’s SPF guidance explains.
- An overlooked website, CRM, or support platform: Add every legitimate sender to the inventory and use DMARC reports to identify sources you missed. Then follow that provider’s authentication instructions.
- Too many SPF lookups: Review nested includes as well as the visible SPF record. The SPF DNS-querying mechanism limit is 10; a long-looking record is not the only way to exceed it.
- SPF passes but DMARC fails: SPF authenticates the envelope sender domain. If that domain does not align with the visible From domain, its pass alone does not satisfy DMARC. Check DKIM alignment as well.
- Legitimate mail is quarantined or rejected: Pause further policy escalation and investigate the sending source and alignment. Correct missed sender configuration, then review new test messages and reports before tightening again.
- A subdomain is not covered by the parent SPF record: Publish the appropriate SPF record for each sending subdomain. DMARC inheritance differs: a parent DMARC policy applies to subdomains unless a subdomain has its own record, as described in Microsoft’s DMARC guidance.
When DMARC reporting help may be useful
Aggregate reports can be difficult to interpret manually when a domain has many sending services. Microsoft notes that DMARC reporting vendors can make results easier to interpret. Such a service is optional; choose one only if your organization needs help identifying senders and monitoring policy changes.
