In Apple Mail, create a rule that matches a message condition such as Subject → Contains and add a sound action if your version of Mail offers one. This lets you target matching messages instead of changing the sound for every new email. Whether you can select an arbitrary MP3 file depends on the options available in your macOS version; Apple’s current rule guide does not explain a universal custom-file workflow.
Set up a sound rule in Apple Mail

Open Mail and choose Mail > Settings > Rules, then click Add Rule. Apple documents this route for adding or editing rules: Apple Mail: Use rules to manage emails you receive.

Give the rule a name that describes what it matches, such as “Subject contains xyz.”

Choose whether any or all of the conditions must match. For the example in the question, set the condition to Subject, Contains, and enter xyz. You can use a different message field or phrase if that better describes the email you want to identify.

In the actions section, look for a sound action such as Play Sound. If it is available, select it and choose from the sounds shown in the picker. A MacRumors guide documents this action, but its screenshots and labels are from 2018, so the options may differ in a current Mail version: MacRumors: How to Set Up Rules in Apple Mail.

Save the rule, then check it with a newly received message that matches the condition. If there is no sound action or no option for the file you want, Mail’s controls in your version may not support that setup directly.

Can you use your own MP3?
Apple’s current Mail rules guide explains how to choose conditions and actions, but it does not list every available action or describe how to import an arbitrary sound file. The MacRumors guide supports using a Play Sound action, but does not establish that every current macOS version accepts any MP3 you select. Check the actual action list and sound picker on your Mac rather than assuming a particular import control exists.

How a rule differs from Mail’s general new-message sound
Mail’s General settings include a New message sound preference. That is a broad default for new mail, not a text-matching rule. A rule is the relevant control when the goal is to apply an action only to messages meeting chosen conditions. Notification appearance and whether Mail notifications are allowed are managed separately under System Settings > Notifications > Mail; Focus settings can also affect whether notifications appear. What happens when rules sync to another Mac?
Apple says Mail rules can be shared across Macs when iCloud Drive and Mail are enabled for those Macs. However, Apple cautions that “Files attached to rules, such as sound files or scripts, aren’t available.” Do not assume an audio file attached to a rule will be available on another Mac just because the rule itself is shared. When to consider a different approach
Try Apple Mail first for message-field matching
If you use Apple Mail and want to match a sender, subject, or other message condition, a Mail rule is the natural first option. Its matching is based on the message fields and conditions exposed in Mail, and any sound action depends on the controls offered by your version.
Consider a notification utility for broader text matching
A third-party utility may be useful if you need to match text in notifications rather than configure a rule against a Mail message field. Chirpy’s vendor describes its app as matching notification text, including keywords, to sound rules. The vendor says it requires macOS 13 (Ventura) or later and, as of October 4, 2026, lists a one-time price of $19.99, a three-day trial, and a 30-day money-back guarantee. Chirpy’s vendor also says macOS Shortcuts can be configured for email triggers but lacks a general “when a notification arrives” trigger. That distinction matters: an email automation and an automation responding to notification-banner text are different approaches.
