Most accounts set up automatically. The exact menu depends on your device—and on Windows, whether you use classic or new Outlook.
Before you start: choose the right setup route
Use Outlook if you want Microsoft’s email app; you can also add some accounts to the mail app built into your device. Have your full email address and password ready, and be able to approve a multi-factor authentication request if your provider requires one. For a work or school account, your organization may require a particular app or managed device.

- Personal Outlook.com, Hotmail, Live, Microsoft 365, or Exchange: start with automatic sign-in.
- Gmail, Yahoo, or another provider: try automatic sign-in first; follow the provider’s authorization screen if it appears.
- IMAP or POP account: use manual setup only if automatic sign-in does not work or your provider instructs you to. Get the server details from the provider or your IT administrator.
Microsoft’s Outlook quick start covers the desktop app, but the paths differ on Mac and mobile.
How to set up Outlook on Windows
In classic Outlook for Windows, the usual path is File > Add Account. New Outlook has a different interface, so if those labels are missing, check which version you have rather than looking for the same menu.

- Open Outlook. If it is your first launch, follow the welcome prompt. In classic Outlook, select File > Add Account.
- Enter your full email address and select Connect.
- Enter your password if prompted, then complete any security verification or provider sign-in steps.
- When Outlook confirms the account has been added, finish setup or add another account from the account controls.
Microsoft documents the same File > Add Account and Connect route for adding an Outlook.com address to classic Outlook in its Outlook.com setup instructions.
Manual IMAP or POP setup in classic Outlook
Use this only when your account needs manual configuration. In the add-account flow, open Advanced options, select the option to set up the account manually, and choose IMAP or POP. Enter the incoming and outgoing server names and security settings supplied by your email provider or administrator, then connect and authenticate. Do not guess server names or ports: they vary by provider.

Some configurations require an app-specific password instead of your usual account password. For example, Microsoft’s iCloud instructions for classic Outlook say an Apple app-specific password may be needed.

How to set up Outlook on a Mac
- Open Outlook and choose Outlook > Settings > Accounts > Add Account.
- Enter your email address and continue.
- Follow the sign-in, password, and verification prompts. If your provider asks you to grant access to mail, contacts, or calendars, review and approve the requested permissions if you want Outlook to use those services.
Microsoft lists Microsoft 365, Exchange, Outlook.com, Hotmail.com, Live.com, and Google among the account types that can be added this way. Yahoo and other IMAP/POP accounts may send you to the provider to authorize access. Older Outlook for Mac versions may use slightly different labels. See Microsoft’s Mac account setup guide.

How to set up Outlook on iPhone or iPad
- Install and open Outlook for iOS. During first-time setup, choose Add Account; enter the email address when asked.
- Let Outlook detect the account, then complete the password, provider sign-in, and multi-factor authentication prompts.
- To add another account later, open Outlook’s account or settings area and choose Add Account.
Work or school accounts may require an organization-approved app, app protection, or a managed device. If setup is blocked by a policy prompt, contact your IT administrator rather than trying to work around it. Microsoft’s Outlook for iOS setup guide describes the mobile flow and account requirements.
Using Apple Mail instead of Outlook
If you prefer the built-in Mail app, go to Settings > Apps > Mail > Mail Accounts > Add Account, choose Microsoft Exchange for Microsoft 365, Exchange, or Outlook email, then sign in and select the services to sync. An organization may require configuration details from IT. Microsoft’s iPhone and iPad Mail account instructions describe adding an account in iOS.

How to set up Outlook on Android
- Install Outlook from your device’s app store and open it.
- Add your email account and complete the provider’s sign-in and verification steps.
- To add another account after setup, open the account menu and choose the add-account option.
Android manufacturers and app versions can use different labels. If you use Gmail instead of Outlook for a Microsoft 365 or Exchange account and want calendar and contacts as well as email, choose Add account > Exchange and Microsoft 365 in Gmail. Microsoft cautions against choosing the Outlook/Hotmail option for that purpose. See its Android mail setup instructions.
How to add another email account to Outlook
Open the account menu or account settings in Outlook and choose Add Account. Enter the new address and follow the same sign-in flow. On classic Outlook for Windows, use File > Add Account; on Mac, choose Outlook > Settings > Accounts > Add Account. In mobile apps, the add-account control is in the account or settings area.

Why Outlook may not accept your password
- Check the address and sign-in method. Make sure you entered the full email address and are signing in through the provider’s requested screen.
- Complete multi-factor authentication. Approve the request or enter the verification code if your account requires it.
- Check for an app-specific password requirement. Some providers require a separate password for mail apps, particularly for certain IMAP or iCloud configurations; consult the provider’s instructions.
- Ask for the correct server settings. If Outlook asks for server names, ports, or encryption details, get the exact incoming and outgoing values from your email provider or work/school administrator.
- Check work or school restrictions. Your organization may require an approved app, device management, or other controls. Contact IT if a policy prevents sign-in.
What to know about IMAP, POP, calendars, and contacts
IMAP and POP are mail protocols, not full account synchronization methods. Microsoft says that in Outlook for iOS, setting up an account with IMAP or POP syncs email only—not calendar or contacts. If those services matter, use the account type and sign-in flow recommended by your provider or organization instead of assuming manual IMAP/POP will provide them.
Outlook.com compatibility notice for older mail apps
Microsoft’s Outlook.com support guidance states that devices using ActiveSync versions lower than 16.1 can no longer connect to Outlook.com services beginning March 1, 2026. This is a specific compatibility statement for Outlook.com, not a general requirement for adding accounts to Outlook on every platform. See Microsoft’s Outlook.com device and app guidance.
