To set up hosted email for a custom domain, choose an email provider, verify that you own the domain, create the needed mailboxes, and publish the provider’s DNS records. Then configure SPF and DKIM, roll out DMARC cautiously, and test mail flow. The exact DNS values depend on your provider, so use the values shown in its current admin setup.
Before you start
You’ll need access to two places: the email provider’s administrator console and the service that hosts your domain’s DNS records. Decide which provider will handle your email first; that choice determines the MX and authentication records you publish. Google Workspace and Microsoft 365 are examples, not interchangeable DNS configurations.

- Confirm who can manage the domain, DNS, mailboxes, and security settings.
- For Microsoft 365, changing a domain may require the Domain Name Administrator role on an eligible business or enterprise plan.
- Plan how to handle existing mail if you are moving from another provider. Changing MX routes new incoming mail; it does not by itself move old messages.
Set up the domain and mailboxes
- Add and verify the domain. Start the provider’s custom-domain workflow and publish the requested verification record. Microsoft supports TXT verification and, with compatible registrars, Domain Connect automation; manual DNS entry is also available. Google requires domain ownership verification before Gmail setup.
- Create users and mailboxes. If you are moving to Microsoft 365, Microsoft advises creating users and mailboxes before changing MX. This helps ensure the destination is ready when new mail begins arriving there.
- Plan any migration separately. After an MX cutover, new messages go to the new service, while messages already stored with the former host remain there unless you migrate them.
Publish the records that route incoming mail
An MX record tells other mail systems where to deliver incoming messages. As Google Workspace Help explains in its “Set up MX records for Google Workspace” guidance, a sender looks up the MX records for your email domain to determine where to deliver mail.

For Google Workspace, Google’s current guide specifies smtp.google.com as the MX destination and requires you to activate Gmail in the Admin console. Existing accounts using legacy aspmx records remain supported, so a working legacy setup does not need to be changed just to match the newer destination. For Microsoft 365, use the DNS values provided by its setup flow; do not substitute Google’s values or rely on a generic record list.

- TOTAL DATA PRIVACY & OWNERSHIP: Keep your digital assets secure on your own local hardware, not on third-party "big tech" servers. Designed for privacy-conscious individuals, creators, and small businesses seeking platform independence. Includes an intuitive web management portal for complete peace of mind.
Follow the provider’s exact instructions for the record name or host, destination, priority, and formatting. Google says MX changes can take up to 72 hours to be recognized. That is a possible delay, not a promise that every change takes that long.
Authenticate mail sent from your domain
MX handles incoming routing. SPF, DKIM, and DMARC help receiving services assess whether mail claiming to come from your domain is authorized and how to treat authentication results. Account for every legitimate system that sends mail using your domain, including third-party services.

SPF: list authorized senders in one policy
Publish an SPF policy that covers all services authorized to send for your domain. Microsoft’s mail-flow guidance says a domain should publish only one SPF record; if several services send mail, combine their authorized senders in that one policy rather than publishing multiple SPF records. Multiple SPF records can invalidate SPF and cause mail-flow problems. Use the policy syntax and include values supplied by your email provider and other senders.
DKIM: enable signing with your provider
Enable DKIM for the service that sends your mail and publish the DNS record it provides. The exact record name and value are provider-specific. Google’s DKIM setup guidance explains how to generate and publish the records for Google Workspace.

DMARC: monitor before enforcing
Configure DMARC only after SPF or DKIM authentication is working for your legitimate mail. Google recommends allowing SPF and DKIM to authenticate for at least 48 hours before enabling DMARC, then starting with a monitoring policy such as p=none. Review the resulting reports and identify any legitimate senders you missed before moving toward quarantine or reject. Google’s DMARC setup guidance describes this staged approach.
Google says Gmail senders must use at least SPF or DKIM. For bulk senders—defined in its current guidance as those sending more than 5,000 messages daily—Google requires SPF, DKIM, and DMARC. These are Google’s sender requirements, not a general definition of bulk email for every provider.

Google Workspace and Microsoft 365: setup differences
| Setup consideration | Google Workspace | Microsoft 365 |
|---|---|---|
| Domain verification and DNS | Verify domain ownership, configure MX through the domain host, and activate Gmail in the Admin console. Current MX destination: smtp.google.com. |
Use the custom-domain workflow; Domain Connect can automate setup with compatible registrars, or you can enter records manually. The setup flow supplies provider-specific DNS values. |
| Mailbox readiness and migration | The cited Google MX setup guidance covers Gmail activation and routing; a migration workflow is not stated there. | Microsoft advises creating users and mailboxes before MX cutover. Existing messages at the former host need a separate migration if you want them in the new service. |
| Administrative access | Use the Admin console to activate Gmail and manage setup. | Domain changes require a Domain Name Administrator role on eligible business or enterprise plans. |
The cited setup documentation does not establish a current pricing or plan-feature comparison, so choose based on administrative fit and the services your organization needs, then consult each provider’s current plan information separately.

Test the setup and diagnose common problems
- Domain verification is still pending: Confirm the verification record’s host/name and value against the provider’s instructions, and check that it was added at the DNS host that is authoritative for the domain.
- New mail is not arriving: Recheck the MX destination, priority, and formatting in the provider’s setup flow. Allow for DNS recognition time; Google says its MX changes can take up to 72 hours.
- Some outgoing mail fails authentication: Check whether every legitimate sender is included in the domain’s single SPF policy, and confirm DKIM is enabled for the sending service.
- DMARC reports show unfamiliar senders: Investigate whether they are legitimate services used by your organization before tightening the policy. Premature enforcement can affect legitimate mail.
- Records appear correct but setup still fails: Google recommends checking records with its Admin Toolbox Dig or contacting the registrar if the published values do not match.
