Plan the station around the exact consoles you have, the display inputs they support, and the people who will share them. Inventory and test the full console-to-screen setup before buying adapters; then label the controls, make the station accessible, and assign someone to keep it clean and running.
1. Inventory the consoles and games
Before shopping for cables or displays, make a list of the equipment you intend to use. Record each console’s exact model or revision and region, its video output, its power supply, compatible controllers, and the games selected for the event. Retro systems can use RF, composite, SCART/RGB, component, VGA, or HDMI, and a connector that fits is not proof that the signal is compatible.

- Identify the console’s video output and the display’s available inputs.
- Check that cables, controllers, and power supplies are intended for that console model and region.
- Choose the games in advance and verify that each one starts and can be played with the controllers you plan to provide.
This inventory determines whether you can connect a console directly or need additional equipment. It also helps prevent a common mistake: buying a cable based only on the shape of its plug.
2. Choose a display and connection path
There is no single best display or adapter for every retro console. Choose based on the console’s output, the display’s inputs, your image and lag preferences, setup effort, and the number of systems you need to connect. Follow a cable or converter maker’s compatibility information for the specific model and region, and test the whole chain with the actual console and game.

| Display setup | Connection approach | What to check |
|---|---|---|
| CRT with matching inputs | Use the best native analogue cable supported by both the console and TV. | Confirm signal and region compatibility; a matching connector alone is not enough. |
| Modern TV with analogue inputs | Connect only if the TV accepts the console’s specific signal. | Check supported signal types and test image processing and input delay with the game. |
| HDMI-only TV | Use an active converter or scaler matched to the console’s actual analogue output. | Verify console model and region compatibility. A passive cable generally cannot convert analogue video to digital HDMI. |
| One station for several consoles | Keep each system’s power supply and cables labelled, and make the signal path as simple as practical. | Test every console through the selected switch and adapters; each added connection is another possible fault point. |
A CRT is a straightforward native analogue choice for many systems when the inputs match. A modern television may be more convenient for the venue, but conversion compatibility and image quality vary. Avoid assuming that a generic “retro to HDMI” cable will work with every console.
3. Make the station easy to use and share
Give each station clear labels for the console, display input, controller ports, and basic play steps. Keep the instructions visible and use plain language so a guest can start without needing a volunteer to explain the setup.
- Provide at least two standard controllers per station, as recommended in Microsoft’s Playbook for Accessible Gaming Events, Guideline 107.
- Keep controller cables reachable from the play area; Microsoft recommends at least three feet of cable reach from the table edge.
- Offer an adaptive controller at the station or make it quick to connect, along with compatible buttons, switches, or joysticks where possible. Microsoft’s guidance says, “Each station should have an adaptive controller present at it.”
- Provide seating or easy access to folding chairs for guests who cannot stand comfortably for long periods.
- Use adjustable-height monitors and tables where possible, with enough clearance for a wheelchair user to roll under the table.
- Make accessibility information available in QR-code or short-URL format, with braille underneath, following Microsoft’s guidance.
These are recommendations from Microsoft’s accessible gaming event guidance, last updated March 4, 2026; they are not a statement of local legal requirements. Confirm any applicable accessibility obligations with the venue and local authorities.

4. Arrange the room and plan for upkeep
Place stations where people can approach, sit, play, and be supervised without blocking walkways. Ask the venue about tables, seating, power distribution, cable routing, and its safety rules. The appropriate electrical, fire, insurance, and public game-use requirements depend on the venue, location, and games; confirm them with the relevant venue or rights holder rather than assuming one rule applies everywhere.
Assign a volunteer or staff member to respond to faults and clean shared equipment. Provide sanitizing wipes suitable for the devices and hand sanitizer, and follow each manufacturer’s cleaning instructions. Microsoft’s event guidance also recommends sturdy, visible tables and monitors with adjustable brightness.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.5. Test the complete setup before event day
- Connect the console to the intended display using the final cables, converters, or switches.
- Start the selected game and check that picture and sound work as expected.
- Test every intended controller and confirm that players can reach and use it from the seating and standing positions available.
- Verify that labels and instructions match the actual display input and controller ports.
- Keep known-good compatible cables and controllers nearby. If resources allow, have a tested backup console ready.
Testing the whole signal path matters: a console and display can each work independently while the combination of console, adapter, switch, and television does not. Do not promise a particular picture quality or zero input lag without testing that specific setup.

6. Choose a format your team can support
Free play is a flexible format when visitors have different interests and skill levels. RetroGameCon describes offering free-play systems spanning Atari, NES, SNES, N64, GameCube, Sega Genesis, Dreamcast, Saturn, Sega CD, PlayStation, Xbox, and other less common systems; it also says volunteers clean, test, and maintain them during the event. That is an example of a staffed approach, not a proven station count or performance benchmark for every community event.
