To use an address such as [email protected] in Gmail, set up Google Workspace for your domain, verify that you own the domain, point its mail (MX) records to Google, then configure SPF and DKIM to authenticate outgoing messages. You’ll need access to both the Google account that will administer Workspace and the account managing your domain’s DNS. DNS changes can take time to be recognized, so allow for propagation before assuming the setup has failed.
What you need before you start
- A domain for your creator website, such as yourdomain.com.
- Access to the Google account you’ll use to administer Google Workspace.
- Login access to the company or service that manages your domain’s DNS. This may be your registrar or a separate DNS host.
- A list of every service that will send mail using your domain, including Google Workspace, newsletter tools, website contact forms, and automated mail services. SPF must account for all authorized senders.
Check whether the domain already has MX records or an existing email provider. Google instructs administrators to remove old or incorrect MX records when replacing them with Workspace records. Changing these records changes where incoming mail is delivered, so identify the current mail setup before editing DNS.

Set up Google Workspace and verify your domain
- Start Google Workspace. Choose Google Workspace for custom-domain email and follow its setup flow. Gmail with your own domain requires configuring Workspace for that domain; a standard personal Gmail account alone does not route mail for it.
- Verify domain ownership. In the Workspace setup process, follow Google’s domain-verification instructions and add the verification record it provides at your DNS host. Google estimates that adding its verification record takes about 10 minutes; that is an estimate, not a guarantee for every DNS provider. Google says verification does not affect your existing email or website. See Google’s domain verification instructions.
- Keep the verification and mail-routing steps distinct. Verification proves you control the domain; it does not, by itself, direct incoming email to Gmail. You must also configure MX records and activate Gmail.
Point incoming email to Gmail with an MX record
An MX record tells other mail systems where to deliver messages sent to your domain. Google’s current Workspace instructions specify a single MX record with the following values. DNS dashboards label fields differently, so enter the equivalent values using your provider’s format.
| DNS field | Value |
|---|---|
| Record type | MX |
| Host or name | Blank or @ for the root domain, depending on the DNS provider |
| Priority | 1 |
| Mail server or value | smtp.google.com |
| TTL | Your provider’s default or 1, as permitted by its interface |
- Open the DNS management page for your domain.
- Remove old or incorrect MX entries if you are replacing an existing mail-routing setup. Be sure you understand the effect on any current email service before making this change.
- Add the MX record using the values above and save the DNS change.
- In the Google Workspace Admin console, activate Gmail for the domain after making the DNS change. Follow the current admin flow; the exact interface may vary.
Google says new MX records can take up to 72 hours to be recognized. During that period, delivery may not work consistently. Check the records published on the internet before changing them again. Google’s MX setup guide links to the Admin Toolbox Dig tool for checking published MX records.

Set up SPF for every service that sends mail
SPF is a DNS TXT record that identifies the services authorized to send email for your domain. If Google Workspace is the only service sending mail from your domain, Google’s example value is:
v=spf1 include:_spf.google.com ~all
Add it as a TXT record at your DNS host. If your newsletter platform, website, or another service also sends from your domain, include that sender according to its instructions; otherwise, legitimate messages from it may fail SPF checks. Publish a single SPF record for the domain rather than competing SPF records. Google says SPF may take up to 48 hours to start working. See Google’s SPF setup guide.

Enable DKIM signing
DKIM lets receiving mail systems check a signature added to outgoing messages against a public key published in your domain’s DNS. In Workspace, generate a DKIM key in the Admin console, publish the TXT record Google provides at your DNS host, then turn on DKIM signing and verify it in the console.
Recommended Free Tools
- Use a 2048-bit key if your DNS host supports it. Google allows a 1024-bit key if it does not.
- After enabling Gmail, an administrator may need to wait 24–72 hours before Google makes a DKIM key available to generate.
- Copy the provided record name and value exactly. The public key is published in DNS; the private signing key is handled by the sending service.
Follow Google’s DKIM setup instructions for the current Admin console steps.

Add DMARC and understand Gmail’s sender requirements
Google recommends configuring SPF, DKIM, and DMARC to authenticate mail from your domain. DMARC builds on SPF and DKIM by letting a domain owner publish a policy for how receiving systems should handle messages that fail authentication checks. Publish a DMARC TXT record only after you understand your sending services and authentication setup; use Google’s current instructions rather than copying a record intended for another domain or mail environment.
Google’s sender requirements say that senders sending more than 5,000 messages a day to Gmail must configure SPF, DKIM, and DMARC. The requirements began February 1, 2024. Google also specifies alignment requirements for direct mail and one-click unsubscribe for marketing or subscribed messages. This high-volume threshold is not a reason for smaller senders to skip authentication: Google recommends all three mechanisms. Authentication helps receiving systems evaluate mail, but it does not guarantee inbox placement. Read Gmail’s email sender guidelines.

Test sending and receiving
- Send a message from the new custom address to an unrelated email account you can check.
- Reply to that message and confirm the reply arrives in the Workspace Gmail inbox.
- Check that outgoing mail uses the intended custom address, not a personal Gmail address.
- Review SPF and DKIM status in the relevant Workspace admin settings after DNS has had time to propagate. For MX, check the publicly published records with Google’s Admin Toolbox Dig tool linked from its MX instructions.
- If you use a newsletter service or website form, test those separately; they send through different systems and may need to be added to SPF and configured for DKIM or DMARC.
Troubleshoot common setup problems
Incoming mail does not arrive
- Check MX values: confirm the record is type MX, points to
smtp.google.com, has priority1, and uses the root-domain host format your DNS provider expects. - Look for conflicting records: old MX records can continue directing mail to a previous provider. Confirm you have removed obsolete entries if you are moving mail to Workspace.
- Allow for DNS recognition: Google says new MX records can take up to 72 hours to be recognized. Check the published DNS records before making repeated edits.
- Confirm Gmail activation: verify the domain and activate Gmail in the Workspace Admin console after changing MX.
Domain verification fails
- Check that the verification record was added to the DNS service authoritative for your domain, not to a different account or inactive DNS host.
- Compare the record name and value with the instructions Google provided, including punctuation and any host/name field formatting required by the DNS interface.
- Use Google’s domain verification help if the record is present but Workspace cannot detect it.
Messages fail SPF or DKIM checks
- SPF: ensure the record authorizes every service that actually sends for the domain and that you have not published multiple SPF records. Allow up to 48 hours for SPF to start working, according to Google.
- DKIM: confirm the TXT record exactly matches the key Google generated, then make sure DKIM signing is turned on in Workspace. If Gmail was only just activated, Google says key generation may take 24–72 hours to become available.
- Third-party mail: a website form or newsletter may send through a provider not covered by your Workspace-only SPF example. Configure that service using its own domain-authentication instructions.
Website or existing email behaves differently after DNS changes
MX records affect mail routing, not the website’s web-hosting records. Avoid changing unrelated A, AAAA, CNAME, or nameserver records while setting up email. If another provider handled your email before the change, messages may be split or interrupted until the new MX records are recognized and the old route is removed. Google’s DNS basics explains common DNS record types.
Or let it run in the cloud
This email setup is separate from keeping a YouTube channel live. If your creator site also has a prerecorded-video 24/7 YouTube stream, StreamNeo is a cloud service for looping uploaded videos: upload a recording or playlist, add your YouTube stream key once, and go live. Nothing has to stay on at home; it streams the upload as made up to 4K 60fps at one price per slot, and it can automatically recover if YouTube drops the stream. The first day is free with no card. Monthly is $9.99 per month. Learn more at StreamNeo, or start your free day.
