There is no universal number of days in the cited legal guidance: the right endpoint depends on the test’s purpose, the data involved, and any specific legal or contractual duties.
What sets the retention period?
For organizations subject to the GDPR, Article 5(1)(e) requires identifiable personal data to be kept no longer than necessary for its processing purpose. Article 5(1)(c) also requires data to be adequate, relevant, and limited to what is necessary. Controllers must be able to demonstrate compliance.

The Court of Justice of the European Union addressed testing directly in Case C-77/21, Digi. It held that a controller may not keep personal data in a database created for testing and error correction longer than necessary to conduct those tests and correct errors. The judgment supports an endpoint tied to completion of the test and necessary error correction—not a preset period that applies to every test. Read the judgment, paragraph 62.

- Define the test purpose. State what the run is meant to verify, such as message rendering or delivery behavior, and identify the minimum data needed to do it.
- Set the endpoint. Delete identifiable test data when the run and any necessary error correction are complete. If debugging requires a further window, document why that additional access is necessary and when it ends.
- List every data layer. Include message content and the operational records that can identify a person or reveal message activity.
- Check deletion controls end to end. Confirm which stores are covered by automatic expiry or manual deletion, and establish who controls backups, logs, snapshots, and subprocessors.
- Match privacy information to actual practice. Describe the purpose and retention period accurately, and update notices before using data for a new purpose where applicable.
What counts as test email data?
The inbox view may show only part of what a test service processes. One sandbox policy lists account credentials, mailbox and message metadata, text and HTML bodies, raw RFC 5322 source, headers, attachments, authentication results, and service logs. Its policy describes configured cleanup or per-message expiry, plus UI or API deletion where implemented; it leaves backups, logs, and snapshots to the instance operator. When reviewing a tool or your own test setup, check whether the deletion mechanism reaches each relevant store. A message disappearing from the inbox does not, by itself, establish that copies in logs, backups, or a subprocessor’s systems have also been deleted.
Why a vendor’s number is not a general rule
Published retention periods can describe very different services, data, and contractual exceptions. They are examples to evaluate, not legal or industry-wide standards for browser email testing.

What to check when choosing or configuring a test inbox
- Data scope: Does the policy cover bodies, raw source, headers, attachments, metadata, logs, and account identifiers?
- Deletion trigger and control: Is expiry automatic, configurable per message, or manual? Are UI and API deletion available, and which data layers do they cover?
- Backups and subprocessors: Who controls logs, snapshots, backups, and downstream copies, and what periods apply to them?
- Purpose and exceptions: Is the period tied to a stated service purpose? Can a plan term, legal requirement, or dispute extend it?
- Notice alignment: Does the published privacy information reflect the actual purpose, data, and retention period?
When the purpose changes
In the UK GDPR context, the Information Commissioner’s Office says organizations should update privacy information and proactively bring changes to people’s attention before beginning processing for a new purpose. That information includes the retention period for the data processed for that purpose. The ICO also advises reviewing privacy information regularly for accuracy and currency. Read the ICO guidance.
