How to Send a Newsletter in Gmail: Step-by-Step Guide

Send a simple Gmail newsletter with Compose and Bcc, or use mail merge for individual personalized copies. Learn the key privacy, quota, attachment, and sender-rule differences.

For a simple newsletter, open Gmail, select Compose, add recipients, write your subject and message, then select Send. Use Bcc if recipients should not see one another’s email addresses. For personalized copies with names or other spreadsheet details, use Gmail’s mail merge feature instead. The right option depends on your audience size, privacy needs, and Google account type.

Choose the right way to send your newsletter

Method Best for Personalization and replies Privacy and main constraint
Bcc on a normal message A small, straightforward shared newsletter No individualized merge fields; recipients receive a group email. Bcc recipients do not see one another, but recipients in To or Cc are visible. Account sending and recipient limits still apply.
Contact label or group address Reusing a managed audience A label or group address helps manage recipients; it does not personalize the message by itself. Visibility depends on how the message is addressed and how the group is configured. Confirm membership and privacy before sending.
Gmail mail merge Personalized campaigns, newsletters, and announcements Sends a separate copy to each recipient, supports merge tags, and routes replies into separate threads. Recipients cannot see the other recipients. Availability, quotas, and feature restrictions depend on account type and Gmail’s current rules.

Google describes Bcc as a way to prevent Bcc recipients from seeing one another; people listed in To or Cc remain visible. A group address is useful for audience management, but it is not the same as mail merge. See Google’s Gmail message instructions.

Send a simple newsletter to a group in Gmail

  1. Open Gmail and select Compose.
  2. Add recipients. Enter addresses in To, Cc, or Bcc. You can also select recipients from your contacts or a contact label using the recipient controls. Put the audience in Bcc when members should not see each other’s addresses. If the message has a visible To recipient, make sure that person or address is appropriate for the whole group.
  3. Write a clear subject and the newsletter content. Check that the subject accurately describes the message and that links and any included details are correct.
  4. Review the recipient fields, then select Send. Pay particular attention to the difference between To, Cc, and Bcc before sending.

Google’s instructions for sending Gmail messages cover the Compose flow and recipient fields.

Send personalized copies with Gmail mail merge

Mail merge is the better fit when every subscriber should receive an individual message—for example, one that addresses them by first name. It supports merge tags and recipient data from a spreadsheet, sends unique copies, keeps the recipient list private, and starts separate reply threads. Google documents mail merge for personalized emails, including newsletters and announcements, in its mail merge help page.

Mail merge quotas Google documents

Google’s product documentation, accessed October 7, 2026, states that standard Gmail accounts have a daily sending limit of 500 outgoing messages; work, school, and Workspace Individual accounts have a daily limit of 2,000 outgoing messages. Mail merge permits up to 1,500 recipients in the To line per message and up to 1,500 recipients per day, subject to the account’s overall sending capacity. Cc and Bcc are limited to one recipient each in a mail merge message, and those copies count toward the daily limit. These figures describe different constraints; they are not a single universal Gmail quota. Check Google’s current page and your account’s eligibility before a mailing.

Mail merge restrictions to know

  • Mail merge cannot be used for replies, forwards, scheduled send, confidential mode, or plain-text messages.
  • It cannot send from a different domain, including secondary domains and aliases.
  • Google adds a unique unsubscribe link. Unsubscribe data and behavior vary for work or school accounts and between senders in the same domain.
  • Attachments are included in every recipient’s copy, which can use substantial storage. Google suggests sharing a Drive link when suitable.

Understand Gmail’s sending limits before a large mailing

Google’s general limits page says a personal Gmail account may encounter a “You have reached a limit for sending mail” error if one message has more than 500 total recipients or if more than 500 emails are sent in a day. Google says sending may resume within 1 to 24 hours and suggests using a Google Group for a group of recipients. Mail merge has separately documented account-specific quotas, so do not apply the general-limit figures as if they were mail merge’s rules. Review Google’s sending and receiving limits alongside the mail merge documentation.

If your audience or campaign needs exceed Gmail’s built-in features or limits, a dedicated email-marketing service may be a more suitable next step; it is not required for a basic group newsletter.

Bulk-sender delivery requirements

Gmail’s sending guidance applies to mail sent to personal Gmail accounts. Google says all senders must meet baseline requirements that include SPF or DKIM authentication, valid forward and reverse DNS, TLS, acceptable spam rates, and RFC 5322-compliant message formatting. Senders delivering more than 5,000 messages per day to Gmail accounts have additional requirements, including SPF and DKIM, DMARC, alignment for direct mail, and unsubscribe support for marketing and subscribed messages. Google’s guidelines took effect February 1, 2024; its FAQ says enforcement for non-compliant traffic began ramping up in November 2025. Consult the current email sender guidelines and sender-guidelines FAQ for the detailed requirements. These are Google delivery rules, not a complete statement of legal obligations in every jurisdiction.

Handle newsletter attachments carefully

Google states that personal Gmail accounts have a 25 MB attachment limit. For a larger file, Gmail removes the attachment and adds a Google Drive link. In mail merge, an attachment is copied into every recipient’s message, so a large campaign can consume storage quickly. Consider using a Drive link instead, and make sure its sharing permissions let the intended readers access it. See Google’s Gmail attachment instructions.
