If people outside your intended conversation can use an outreach reply address, stop treating possession of that address as proof of identity or authority. Use it only to help locate a thread, then assess who sent the message and whether its contents are safe to act on through separate checks.
Why an exposed reply address changes the trust model
A per-thread reply address can be obscure or signed so an application can associate incoming mail with a conversation it created. That is useful for routing, but it is not a reliable identity check. If someone copies or forwards the address, another person may be able to use it too.

Keep two questions separate:
- Which conversation does this message refer to? Thread metadata or a valid application token can help answer this.
- Who sent it, and should the application trust its contents? That requires sender-authentication and authorization checks beyond thread matching.
A match can justify attaching a message to a conversation for review. It should not, on its own, authorize a payment, disclose information, change account access, or trigger another consequential action.
How can I tell which email conversation a reply belongs to?
Email has standard fields for thread correlation. RFC 5322 describes Message-ID as a unique identifier for a message, In-Reply-To as identifying the parent message, and References as carrying identifiers that can represent the discussion thread. Reply messages should use In-Reply-To and References as appropriate.

These fields help mail clients and applications arrange messages and find the conversation a reply likely belongs to. They are metadata, not proof that the apparent sender wrote the message. A forged or altered message can contain plausible threading fields, and a legitimate message may arrive with incomplete headers after passing through systems that modify mail.
For that reason, a robust application can use headers as one correlation signal and an application-generated token as another. The implementation should define what to do if the signals disagree or are missing rather than silently treating any one match as authorization.
What a signed reply token proves—and what it does not
An application can generate an unpredictable token for a message or thread and authenticate it, for example with a keyed message authentication code (MAC). When inbound mail arrives, the application validates the token before using it to locate the associated conversation. A valid token is evidence that the address or token corresponds to something the application created and that the token has not been altered in a way the validation detects.

It does not prove which person sent the reply. As Wraps puts its own implementation boundary, “Verified token ≠ verified sender”: someone with a copy of the reply address can use it. This is vendor guidance about its token design, not a formal email standard or an independent security audit.
Reduce the impact of exposure by scoping tokens narrowly, making them revocable or rotatable where feasible, and applying rate limits or other abuse controls. Avoid using a reply token as a bearer credential for sensitive actions. If an address has leaked, invalidate or rotate it when the system supports that, and require independent authorization for any consequential request.
How to assess who sent the message
Check domain authentication independently from thread correlation. SPF and DKIM provide authentication signals about sending infrastructure and message signatures. DMARC evaluates whether SPF or DKIM authentication aligns with the message’s author domain. A passing DMARC result is not a validation of the address’s local part—the portion before @—and does not establish that a particular person sent the message or that its contents are trustworthy.

RFC 9989 is explicit about this boundary: DMARC validates use of a DNS domain in an email message; it does not validate the local part of an email address or make an assertion about the message’s value or trustworthiness. An authenticated domain can still be used by an authorized sender whose account is compromised, or by a person who is not authorized to make the requested decision.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsGoogle’s Gmail sender guidance says all senders must set up SPF or DKIM, and bulk senders must use SPF, DKIM, and DMARC. Those are Gmail’s current requirements and recommendations, not universal requirements imposed by every receiving system. Google says authentication helps protect against spoofing and phishing and helps protect organizations from impersonation.
For application decisions, combine authentication results with your own authorization rules. For example, a message might be correctly associated with a thread and pass domain authentication, yet still need human review because the sender is not authorized to approve the requested change.

What forwarding changes, and where ARC fits
Forwarding can affect authentication results: an intermediary may change a message in ways that cause SPF or DKIM checks to fail or become inconclusive. ARC, defined in RFC 8617, lets intermediary handlers attach a verifiable sequence of authentication assessments. That context may help a receiving system interpret a forwarded message whose authentication changed in transit.
ARC is not proof of thread ownership or a person’s identity. It preserves signed claims made by handlers in the chain; it does not turn a message into a verified statement by its apparent sender. Treat it as additional context when evaluating authentication, not as a replacement for thread correlation or sender authorization.
Choose a correlation design and define its failure behavior
| Approach | What it contributes | Important limit |
|---|---|---|
Standard headers (Message-ID, In-Reply-To, References) |
Portable thread-correlation signals used by mail systems and applications. | They do not authenticate a sender and may be missing or changed. |
| Application token | A validated token can associate a reply address with a message or thread created by the application. | Anyone with the address may use it; token validity does not identify the sender. |
| Headers and token together | Multiple signals can improve matching and provide a defined fallback path. | The application still needs independent sender checks and explicit handling for conflicting or absent signals. |
Product behavior varies. Salesforce documents Lightning Email-to-Case threading as using tokens in the subject and body as the primary matching information, with header-based matching as a fallback. Salesforce describes this as more secure than its legacy Ref ID threading; that is a Salesforce-specific product comparison, not a guarantee about all token-based systems.
Before deploying a design, decide what the application does in each of these cases:
- Valid token, authenticated sender: correlate the message, then apply the normal authorization policy.
- Valid token, sender authentication absent or inconclusive: keep the message from triggering sensitive actions; route it for review or apply a documented low-trust path.
- Invalid token: do not use it to select a protected conversation. Use a safe fallback, such as a review queue, rather than guessing from the visible subject.
- Missing or conflicting headers: rely only on other validated correlation signals your system supports, or ask for manual triage.
- Leaked address or suspected abuse: revoke or rotate the token where possible, rate-limit incoming attempts, and review activity associated with the affected thread.
Document which signals are required for automatic attachment and which are required for actions. That makes failure handling predictable and prevents a thread match from quietly becoming an identity check.
