How to Schedule Tasks on Google Calendar

Create a dated task in Google Calendar, distinguish a work-time block from a deadline, and learn how to set recurrence and manage pending tasks.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

To schedule a task in Google Calendar, click an empty time slot or select Create, choose Task, enter a title, set a date and—if you want a work-time block—a start time, then save. A task needs a date to appear on the calendar grid. A deadline is separate: it marks when you expect to finish, not when you plan to work.

Schedule a task on your computer

  1. Open Google Calendar.
  2. Click an empty spot on the calendar grid, or click Create.
  3. Select Task.
  4. Enter a title and any details. Set the start date and time for when you plan to work on it. If you need to track a completion date, set a deadline separately.
  5. Save the task.

If you created a task without a date, it will not appear on the calendar grid. To show dated tasks, make sure the Tasks calendar is enabled in the left panel. Google’s Calendar help also describes a Pending tasks view for uncompleted tasks from the past 365 days, where you can edit, complete, or reschedule them.

Choose a work time or a deadline

These settings answer different questions. A start date and time reserve when you intend to work; a deadline records when you expect the task to be done. A deadline appears in Calendar’s all-day section, rather than as a timed work block.

Notifications follow the task’s timing settings: Google says timed tasks notify at their scheduled date and time; tasks without a time notify at 9 AM; and deadline reminders arrive at 9 AM local time on the deadline day. See Google’s task settings and notification guidance for details.

Create a repeating task

For a recurring task, start from an empty calendar slot, select Task, then use the recurrence control below the date. Choose a preset frequency or set a custom frequency and end date, then save. In Google Tasks, recurrence can be set by day, week, month, or year, with an end condition of never, a date, or a number of occurrences. Google documents these controls in its guide to managing repeating tasks.

Know the limits before setting up a series

  • Shared tasks and tasks with subtasks cannot repeat.
  • Only a limited number of upcoming instances are displayed on the calendar grid at one time; more appear as time passes.
  • When editing a series, choose whether the change applies to one task or all tasks.
  • You can delete one task, that task and following tasks, or the entire series.
  • Stopping recurrence ends the series and cannot be undone by restarting it. Create a new recurring series if you want it to repeat again.
  • Recurring tasks cannot be moved to another task list.

Create a task in the mobile app

Google’s mobile Calendar help describes two entry points: tap an empty calendar slot and choose Task, or tap Add and then Task. Add the task’s title and details, then set its start date and time or deadline as needed. The same rule applies: dated tasks appear in Calendar, while undated tasks do not appear on the calendar grid. Labels and recurrence options can differ by platform, so consult the device-specific instructions in Google Calendar Help.

Edit, complete, or reschedule a task

Calendar and Google Tasks both support managing tasks. In Calendar, open the task to edit its details, mark it complete, delete it, or change its date or time. For past-due work, use the Pending tasks view to review eligible uncompleted tasks and reschedule them. Google’s task management instructions cover these actions.
