To make a handwritten letter searchable, first capture it as a clear scan or photo, then apply optical character recognition (OCR). The scan preserves the page as an image; OCR adds machine-readable text, either as a searchable layer in a PDF or as editable text. Keep an untouched copy of the scan and check recognized text against the original—especially names, dates, and cursive passages.
What you need before scanning
You can use a phone scanning app or a connected scanner; a dedicated scanner is not required for the workflows documented by Adobe. Before you begin, prepare:

- The letters, laid flat and as clean as practical.
- A phone scanning app or scanner software that can save the page as an image or PDF.
- A place to keep an untouched master scan as well as the OCR result.
Choose a well-lit setting and avoid glare, shadows, and movement. Capture the full sheet, keep pages in order, and include the reverse side when it contains writing. Adobe’s scan instructions describe controls such as page selection, quality, output, OCR language, and metadata.
Scan the letters and preserve the originals
- Capture each page. Use a phone scanning app or a connected scanner. Frame the entire page and check that the writing is legible before moving on.
- Save an untouched master. Keep the original scan or image before applying cleanup or OCR. Adobe recommends backing up the original before editing it, in its guidance on image-only PDFs.
- Correct the page image. Crop to the paper edges and straighten it. Adjust enhancement only as much as needed for readability; keep the unaltered master so cleanup does not replace the source.
- Check page order and sides. Make sure multi-page letters are in sequence and that any written backs are included.

Apply OCR to make the scan searchable
OCR, or optical character recognition, analyzes the letters in an image and creates machine-readable text. Depending on the tool and settings, the result may be a PDF that keeps the page image and adds a searchable text layer, or text that you can copy and edit. These are related but different outcomes: a searchable PDF is useful for finding words while retaining the page’s appearance; extracted text is more convenient to edit, but can lose the original layout.
- Open the scanned file in an OCR-capable tool.
- Choose text recognition or OCR, and select the language used in the letter when the tool offers that setting.
- Save the result as a searchable PDF or export the recognized text, depending on your goal.
- Keep the OCR result alongside the untouched scan, rather than replacing it.
Adobe’s workflow supports phone capture or a connected scanner, image enhancement, and a “Recognize Text” step to create a searchable, editable PDF. Its guidance also describes recognition of handwriting, including cursive, but does not establish an independent accuracy rate for historical letters. Verify and correct the recognized text
Do not assume OCR has transcribed a letter accurately. Recognition can be affected by image quality and legibility, and cursive, unusual spellings, and old or faded writing may be difficult to interpret. Adobe’s available product documentation does not provide a controlled comparison or measured accuracy rate for handwritten correspondence.
- Search the output for a word you can clearly see on the page.
- Select and copy a short passage to check whether the PDF has a usable text layer.
- Compare the recognized text with the scan, line by line where accuracy matters.
- Correct names, dates, punctuation, unusual spellings, and uncertain words manually. If a word remains unclear, mark it as uncertain in your working transcript rather than silently guessing.
Adobe advises reviewing OCR output for accuracy and completeness. Microsoft likewise advises checking text copied from images; its OneNote OCR instructions note that recognition effectiveness depends on image quality, legibility, image complexity, and the amount of text.

Use filenames and folders that help you find letters by sender, date, or context, while avoiding sensitive personal details in public links or shared filenames. Keep the original scan with its searchable or transcribed version so you can refer back to the page image when OCR is unclear. The product guidance cited here does not establish one universally best storage method; use an approach appropriate to the sensitivity of the correspondence and your own backup needs.
