Use the dashboard’s own Export, Download PDF, or Print Preview command first. If it has no suitable export, print from the browser and choose its built-in Save as PDF destination. Then open the saved file and test every link your client needs: clickable links are not guaranteed across dashboards, browsers, and export methods.
Save the dashboard in the state your client needs
A PDF captures a view at a point in time; it is usually a static record, not an interactive replacement for the dashboard. Before exporting, select the intended filters and date range, open the correct page or sheet, and wait for charts and other content to finish loading. If the dashboard has multiple sheets or pages, check whether the export includes all of them. Amazon QuickSight, for example, documents a PDF snapshot of the current sheet and requires a separate export for each sheet: QuickSight dashboard export.

Use the dashboard’s export or print command
Look in the dashboard menu for Export, Download PDF, or Print/Print Preview. Native export options and their results vary by platform:

- Amazon QuickSight: Choose Export > Generate PDF, then download the prepared report. The download is temporary and expires after five minutes. See QuickSight reports and exporting a dashboard.
- Elastic Kibana: Use the dashboard’s export controls to create a PDF or PNG. Elastic describes the report as “a static, point-in-time capture of the dashboard as currently displayed.” PDF reporting requires a subscription that includes the feature and the Generate PDF or PNG reports privilege. Its print layout can produce multiple A4 portrait pages with two visualizations per page. Elastic dashboard documentation.
- Salesforce CRM Analytics: Open Print Preview, then use Print in the browser dialog. Salesforce documents this dashboard printing as supported in Chrome. It prints the current filters and selections, but only the visible portion of a scrollable widget and the currently open dashboard page. Salesforce dashboard printing.
- Adobe Workfront: Choose Dashboard Actions > Print Preview, then use the browser’s print options. Adobe warns that formatting can change and columns may be cut off; some dashboard information can also be omitted. Workfront dashboard export and printing a dashboard.
- ClickUp: Use the dashboard download or ellipsis menu and choose Download PDF. Its help says cards are arranged in two columns, embedded cards are excluded, and availability or limits vary by plan and role. ClickUp dashboard download.
- IBM Cognos Analytics: From an open dashboard, choose Share > Export, set page size and orientation, and decide whether to include filters. Export opens a browser print window. Cognos PDF export.

If there is no suitable export, use browser Save as PDF
- Open the dashboard in the browser and set the desired filters, reporting period, and page.
- Open the dashboard’s Print or Print Preview command if one is available. If it opens a service-specific preview, continue to the browser’s print dialog from there.
- In the browser print dialog, choose its built-in PDF destination—often labeled Save as PDF or, in Firefox, Save to PDF under Destination. Labels vary by browser and operating system. See Mozilla’s Save to PDF instructions.
- Choose page orientation, paper size, scaling, margins, and background graphics as needed. Landscape can help with wide dashboards; preview before saving to catch page breaks and text that has become too small.
- Save the file, then inspect it before sending.
A platform may route its own print workflow through the browser, and dashboard-native export may use a different renderer. Do not assume those routes will produce identical pages or preserve the same links.
Check layout, completeness, and clickable links
Review the actual saved PDF—not only the print preview. Confirm that the intended pages and sheets are present and that titles, columns, legends, charts, and filters are readable. Watch for clipped content, blank visualizations, missing backgrounds, or a stale filter selection. Scrollable dashboard widgets may print only the visible area, and a dashboard with multiple pages may print only the page that was open. Workfront also cautions that webpage formatting can be affected during printing.

Next, click each client-facing link in the PDF, including links in chart labels or text. Mozilla Support has described live links in Firefox and Edge PDF output, while Mozilla’s issue tracker documents caveats; neither establishes universal behavior across dashboard products and export paths. See Mozilla Support discussion and Mozilla issue tracker. If a link does not work, include its readable URL in the accompanying email or notes instead of relying on the PDF alone.

Decide whether to send a PDF, a live link, or both
Send a PDF when the client needs a fixed, portable record of the reported view. Send an authorized dashboard link when they need filters, drill-downs, or live data. Check the recipient’s access before sharing: Elastic says a Kibana link requires access to that instance unless anonymous access is configured, and QuickSight notes that dashboard users can also see the associated data. See Elastic dashboard sharing and QuickSight dashboard sharing. When sending a PDF, give the file a clear name and identify its reporting period in your message.

Can a PDF keep links clickable?
Sometimes, but link preservation depends on the dashboard, export renderer, and browser. Test the saved PDF itself before sharing.

Does a PDF preserve dashboard filters and live data?
It records a snapshot of the view at export time; use an authorized live dashboard link for interaction or changing data.
