How to Respond if an AI Tool Exposes Sensitive Data

If an AI tool may have exposed sensitive data, pause further sharing, preserve evidence, and contact security and privacy owners. Then establish who could access it and assess provider, notification, and recovery steps.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If an AI tool may have exposed confidential information, treat it as a potential data incident: stop further sharing where safe, preserve evidence, and contact the people responsible for security and privacy. Then establish what information was involved, who could access it, and whether the access was authorized. Prompt action matters, but submitting data to an AI service does not by itself prove that another person saw it or that a report is legally required.

What to do first

Use this sequence to limit further exposure without destroying information needed to understand the incident. The exact containment steps depend on the service and should be coordinated with the people handling the response.

As an Amazon Associate I earn from qualifying purchases.

  1. Pause the affected workflow or sharing mechanism if it is safe to do so. Avoid actions that could erase relevant logs or evidence.
  2. Do not submit the information again—including to another AI service, a public forum, or an unapproved channel—for analysis or explanation.
  3. Notify the right people. For a work account or work information, contact your organization’s security or incident-response channel and privacy lead, and follow internal reporting rules. For a personal account, contact the service through its official support or security channel; involve your employer if work data is involved.
  4. Handle exposed secrets through an authorized owner. If a password, API key, access token, or similar credential may have been exposed, ask the responsible identity or security team to revoke or rotate it and review relevant account activity.
  5. Preserve the facts. Record the prompt or content involved, the AI response, the time, account and workspace context, relevant settings, and any available logs. Keep the record in an approved, access-controlled location; do not create extra copies of sensitive material unnecessarily.

NIST’s final SP 1800-29: Data Confidentiality, published February 23, 2024, describes helping organizations “detect, respond, and recover from a data confidentiality attack.” Its guidance is general breach-response guidance, not an AI-specific checklist. NIST’s Generative AI Profile connects AI risk management with defined incident ownership and planning for third-party AI incidents.

Work out what happened and who could see the data

Separate three questions: what information reached the service, how the service or connected systems handled it, and whether anyone accessed or received it without authorization. The NCCoE at NIST frames data confidentiality around preventing unauthorized access and disclosure; NIST SP 1800-29B likewise distinguishes authorized from unauthorized access. A submission to a service is a reason to investigate, but it does not alone establish that an unauthorized disclosure occurred.

  • Identify the information. Note whether it included personal or customer data, health or financial information, regulated records, credentials, trade secrets, or other proprietary material.
  • Locate the event. Record when it happened and which account, workspace, model, feature, integration, or connected tool was involved.
  • Establish the audience and access. Determine whether the prompt or output was private, visible to a shared workspace, publicly accessible, indexed, or sent onward—and whether any person or system accessed it without authorization.
  • Check downstream handling. Find out whether the provider or a connected service retained, processed, or shared the content, and what logs remain available. Do not assume that a setting or a private-looking screen proves the data was inaccessible elsewhere.

Keep notes precise and limit who can see them. When documenting evidence, describe sensitive content by category where possible rather than copying it into additional systems.

Choose the response path that fits the incident

Account type, access, data type, and integrations change who needs to act. Use this table to route the response; it is not a substitute for your organization’s incident plan or legal assessment.

Situation Who to involve Key focus
Personal account and personal information The service’s official support or security channel; privacy or legal advice if the information is sensitive or the consequences are serious. Establish what the service exposed or retained, who could access it, and what account or content controls are available.
Organization-managed account or work information Security or incident response, privacy, legal, the AI/tool owner, and relevant business leads. Preserve organizational evidence, coordinate containment, and assess contractual, regulatory, and internal reporting duties.
Credential or access-token exposure The authorized identity or security owner. Revoke or rotate the affected secret and review relevant access activity; do not rely only on removing the text from the AI conversation.
Shared workspace, public output, or suspected unauthorized access Security or incident response and privacy; add legal and business owners as appropriate. Determine who could access the content, whether anyone did, and whether copies or onward sharing may exist.
Connected integration or downstream provider involved The incident lead, AI/tool owner, and the relevant provider or integration owner. Trace which systems received or processed the data and coordinate evidence preservation and containment.

Coordinate with the AI provider

Use an authenticated, official provider channel and coordinate requests with your organization’s incident lead when one is involved. Ask the provider to preserve relevant logs, investigate the event, explain what data was accessible and to whom, identify connected processors or integrations, and describe available containment or deletion actions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do not treat deletion as proof that disclosure has been reversed. NIST SP 1800-29B warns that there is no guaranteed way to retrieve every copy once digital data reaches an unauthorized user. Ask what the service can actually remove or restrict, and distinguish those actions from copies that may already have been accessed or shared. Provider retention and deletion behavior varies; verify the current policy and controls for the specific service rather than assuming a particular outcome.

NIST’s Generative AI Profile recommends planning for third-party AI incidents and communicating plans to relevant AI actors. A December 2025 initial preliminary draft, NIST IR 8596, also discusses coordination with third-party service and data providers; because it is preliminary draft guidance, it should not be treated as a final requirement.

Assess whether notification or other reporting is required

There is no single notification deadline established for every AI-related exposure. The answer depends on the facts, the type of data, applicable jurisdiction, and any contractual or sector-specific obligations. Have a privacy officer or qualified counsel assess whether the event requires notice to a regulator, affected individuals, customers, employees, partners, or another party. Organizations should also check internal escalation and contractual reporting requirements.

NIST’s AI guidance calls for reviewing incident plans against applicable breach-reporting, privacy, and data-protection laws. Its preliminary AI profile notes that leakage affecting individual privacy may trigger notification, but it does not set a universal deadline. Do not infer that a report is or is not required solely from the fact that an AI service received the data.
