Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →To reset a printer status, first identify whether the problem is a connection failure, a paused printer, a blocked print queue, a printer-side error, or poor print quality. Check power and the connection, clear any paused or stuck jobs, and restart Windows’ Print Spooler only if the queue remains blocked. “Offline” does not automatically mean the printer needs maintenance or new supplies.
Identify the status before changing settings
Note the exact message shown on the printer, computer, or printer-maker’s app. “Offline” or “unavailable” points to a communication problem; “paused” or jobs that will not clear point toward the queue or its settings. A printer error may instead involve paper, ink, an open cover, or a jam. Poor print quality is a separate symptom and may require a model-specific diagnostic.

Before following a procedure, identify your operating system, whether the printer connects by Wi-Fi or USB, its make and exact model, and the symptom. The Windows steps below are for Windows 10 and Windows 11; other operating systems and manufacturer menus can differ.
Check power, connection, and printer condition
- Check the printer itself. Make sure it is powered on and look for an error message, empty-paper or ink warning, open cover, or visible paper jam. Resolve any condition the printer identifies before trying to reset its computer status.
- Confirm the connection path. For Wi-Fi, check that the printer and computer are connected to the same network. For USB, check that the cable is connected to the intended computer and printer.
- Restart the printer. Microsoft recommends turning it off, unplugging it, waiting 30 seconds, then reconnecting and powering it on. HP’s general offline guidance also recommends restarting the printer and the device or router. A restart is a troubleshooting step, not a guarantee that every cause of an offline status will be fixed. Microsoft’s offline-printer guidance and HP’s offline help describe these checks.
Clear Windows’ paused or stuck print queue
Windows Settings provides access to the printer’s queue. The precise labels or path can vary between Windows versions.

- Open Settings, go to Bluetooth & devices > Printers & scanners in Windows 11, or Devices > Printers & scanners in Windows 10.
- Select the affected printer and open its queue. Confirm you are checking the intended printer, especially if several printers are installed.
- In the queue window, open the Printer menu if it is available. Clear Pause Printing or Use Printer Offline if either is selected.
- Cancel pending jobs that are stuck, then try printing a small test document.
Microsoft’s Windows offline-printer instructions cover these checks. If the computer still cannot communicate with the printer, return to the connection checks rather than treating “offline” as proof of a hardware fault.
Restart the Print Spooler if jobs still will not clear
The Print Spooler is the Windows service that manages print jobs. Restarting it is a documented next step when the queue or spooler is stuck; it is not a physical printer maintenance procedure.

- Open the Windows Services app, find Print Spooler, and choose Restart from its context menu.
- Reopen the printer queue and check whether the stuck jobs have cleared. If not, retry printing after confirming the printer is connected and ready.
Microsoft also documents a more involved procedure that stops the service, removes files from the spool folder, and starts the service again. Use the current steps on Microsoft’s Print Spooler troubleshooting page carefully; do not delete spool files unless following that procedure.
Remove and add the printer again if earlier checks fail
If the connection, queue, and spooler checks do not resolve the problem, Microsoft suggests removing and adding the printer again. In Windows, open Settings > Bluetooth & devices > Printers & scanners on Windows 11, or Settings > Devices > Printers & scanners on Windows 10, select the printer, and choose Remove. Then use Add device or Add a printer or scanner to set it up again.

Some printers also need a current driver, and driver compatibility can cause printing problems. If Windows cannot set up the device correctly, use the driver page for the printer’s maker and exact model, along with Microsoft’s current printing-problem guidance. Do not assume a third-party driver utility is required.
Choose maintenance steps by symptom and model
For a printer error
Follow the message on the printer or its official app. Check paper, ink, covers, and jams as directed by the maker. Replace ink or paper only if the printer’s status or its model-specific instructions indicate a need.

For poor print quality
Use the diagnostic and maintenance procedure for the exact printer model; do not run printhead cleaning just because Windows shows “offline.” Cleaning methods vary, and some use ink. For example, HP’s Designjet Z6100 instructions discuss cleaning only when image quality remains poor after other methods. HP procedures for named DeskJet, ENVY, and OfficeJet groups also vary by model. Refer to the instructions for your own printer rather than applying a procedure from another family: HP Designjet Z6100 printhead guidance and HP printer quality and maintenance guidance.

HP’s cited maintenance guidance recommends turning the printer off with its power control and disconnecting the power cable before cleaning the exterior and regularly touched parts with a damp sponge or soft cloth and a mild, non-abrasive household cleaner. A soft cloth or sponge is sufficient; a specialized kit is not established as necessary.

Quick Recap
- Offline or unavailable: verify that the printer is powered on and reachable over its intended USB or network connection. HP Support explains that an offline error can appear when a device cannot communicate with the printer.
- Jobs remain in the queue: clear paused or offline queue settings, cancel stuck jobs, then restart the Print Spooler. Use Microsoft’s spool-folder procedure only if the simpler restart does not work.
- Printer displays an error: resolve the specific paper, ink, cover, or jam condition shown by the printer.
- Output looks wrong: run the printer maker’s diagnostic for the exact model; an offline reset is not a print-quality fix.
