To remove sensitive metadata safely, preserve the untouched original, sanitize a separate copy with tools suited to its format, inspect the result, and record what changed. Metadata removal is itself an edit: it creates a derivative, not an unchanged original. If the file is evidence, a filed document, or part of discovery, first check the rules and instructions that govern it; no general workflow guarantees that a particular change is permitted or legally sufficient.
What can be hidden in a legal document?
Metadata is information about a file or its history, such as document properties and personal information. But it is only one kind of information that may be concealed or overlooked. A Word document can also contain comments, tracked changes, earlier versions, annotations, hidden text, headers and footers, watermarks, custom XML, or invisible content. A PDF can contain metadata as well as embedded or other hidden content.

That distinction matters because removing metadata alone does not necessarily remove visible sensitive text, comments, revisions, or other hidden material. Likewise, covering visible text with a shape does not remove the underlying text from a PDF.
First decide whether this copy may be changed
Before editing, identify what the document is and what rules apply. A draft prepared for external sharing, a court filing copy, a discovery production, and an evidentiary original may have different requirements. Check the applicable court rules, orders, protective orders, discovery agreements, and organizational retention requirements. There is no universal rule established here that makes metadata removal permissible in every matter. If the document is evidence or a filed original, consult the governing procedure and counsel before modifying it.

How to remove hidden information from a Word document
For supported desktop versions of Word, Microsoft documents this route: File > Info > Check for Issues > Inspect Document. The inspector lets you choose categories to inspect, review findings, and use Remove All for categories that should be removed. Microsoft lists categories that include comments, revisions, versions and annotations; document properties and personal information; headers, footers and watermarks; formatted hidden text; custom XML; and invisible content.
- Make a working copy. Keep the source file untouched and open the separately named copy for inspection.
- Choose the categories to inspect. Review the inspector’s results rather than removing everything automatically.
- Remove only what should not be shared. Use Remove All for a category only after confirming that its contents are not needed in the derivative.
- Inspect again. Reopen Document Inspector on the edited copy and review the results before delivery.
Microsoft warns that Document Inspector removals may not be recoverable through Undo, which is why the untouched copy matters. The inspector also has blind spots: Microsoft’s documentation says its hidden-text check does not detect text concealed by other methods, such as white text on a white background, and its invisible-content check does not detect objects covered by other objects. A clean result is therefore not proof that every possible hidden element has been found.

Platform support differs. Microsoft’s separate Word guidance says Word for Mac does not include Document Inspector, and Word for the web cannot view or change document properties; desktop Mac users can edit properties manually. Check Microsoft’s current instructions for the Word version and platform in use rather than assuming the same tools are available everywhere.

How PDF redaction differs from metadata sanitization
For a PDF, visible redaction and hidden-content sanitization are separate jobs. Adobe’s Acrobat Pro documentation explains that redaction permanently hides selected sensitive information, while hidden data—including metadata or embedded content—must be sanitized separately. A black rectangle drawn over text is not the same as applying a redaction.

Use the appropriate redaction function for sensitive visible text, then sanitize hidden information separately and inspect the final PDF. Adobe’s guidance establishes this distinction, but the exact interface and edition requirements can change; consult the current Acrobat documentation for the version you use. Do not assume that completing one operation completes the other.

How to preserve provenance and validate the derivative
For an evidence-sensitive workflow, treat the sanitized file as a derivative and preserve records that identify both it and the original. NIST’s evidence-management guidance says handlers should ensure evidence is not compromised, contaminated, or degraded and that its chain of custody is tracked. NIST IR 8387, Digital Evidence Preservation: Considerations for Evidence Handlers (published September 8, 2022), discusses source, handling, hashes, and chain-of-custody controls.

- Keep the source file in a controlled location and make a distinct working copy.
- Record who created or received the file, when and from where, and which version is being processed.
- Record the operator, date and time, tool and version, categories inspected and removed, and the derivative’s filename.
- If required by the evidence-handling procedure, calculate hashes for the original and derivative, label each digest with the exact file and version it identifies, and store the records securely apart from the files.
- Reopen the derivative and check that necessary text, page numbering, exhibits, signatures, bookmarks, links, form fields, and document structure still work as intended.
- Identify the output as a derivative, retain the original under the applicable access and retention controls, and transmit the derivative through an approved channel.
A cryptographic hash can show whether a particular byte sequence differs from a recorded digest. It cannot show that a document’s statements are true, that a redaction meets a legal obligation, or that every hidden element has been removed. NIST IR 8387 recommends keeping hashes of digital files or images in a secure location separate from the evidence.
Which guidance applies to document metadata?
NIST SP 800-88 Rev. 2, published September 26, 2025, supersedes Rev. 1 and concerns sanitizing storage media so that target data is infeasible to access at a given effort level. It is not a manual for editing metadata in an individual Word file or PDF. For document-specific steps, use the relevant product guidance and follow the applicable legal and evidence-handling requirements.

NIST’s Evidence Management page also reproduces a statement from the National Academy of Sciences’ 2009 report Strengthening Forensic Science in the United States: A Path Forward: “In order for qualified forensic science experts to testify competently about forensic evidence, they must first find the evidence in a usable state and properly preserve it.” The attribution is to the National Academy of Sciences; NIST’s page reproduces the sentence.

Common mistakes to avoid
- Editing the only copy: removal may not be reversible, so retain an untouched source.
- Confusing redaction with a visual cover-up: use a true PDF redaction function for visible sensitive text.
- Assuming one tool checks everything: inspectors have documented blind spots, and different hidden-content categories require different actions.
- Treating a clean inspection or hash as a guarantee: neither establishes complete removal or legal compliance.
- Assuming conversion or resaving is a complete cleanup: the guidance cited here does not establish scan-and-resave or format conversion as a reliable way to remove all metadata.
- Changing a filed or evidentiary original without checking requirements: follow the rules and preservation procedure applicable to the matter.
