To redact a screenshot safely, remove the sensitive pixels from a new exported image rather than relying on a movable cover, then reopen and inspect that export before sharing it. If the screenshot is inside a PDF or Office document, use that format’s redaction or hidden-information tools: a page that looks covered can still contain searchable text, annotations, metadata, or other hidden content.
First identify what you are sharing
A screenshot saved as an image and a PDF containing a screenshot need different handling. An image editor’s visible black mark does not establish that the covered content has been removed; PDF pages can also contain searchable text and hidden objects beyond what appears on screen.

- Image file: Redact and export a clean image copy, then check the exported file and its properties.
- PDF: Use the PDF editor’s actual redaction feature and apply it; follow with its available hidden-information inspection or sanitization step.
- Office document: Inspect for document properties and collaboration traces, not just what appears on the page.
Redact an ordinary screenshot image
- Keep the source separate. Make a working copy and retain the unredacted original only if necessary, with access controlled. Do not overwrite the only copy before you have checked the result.
- Look beyond the obvious value. Remove complete sensitive elements such as names, account details, identifiers, notification previews, browser tabs, addresses, QR codes, and background details that could identify a person or location. Inspect nearby context too; hiding a number may not hide what it belongs to.
- Make the edit part of the exported image. Do not rely on an editable or movable overlay layer as the final redaction. The precise behavior depends on the image editor; the official sources cited here do not establish how any particular editor handles such overlays.
- Export to a new file. Keep the redacted export distinct from the source so you can check the exact file you intend to send.
- Reopen and inspect the export. Open it in a separate viewer and inspect it at full size. Check each covered area for readable remnants, gaps at the edges, transparency, and artifacts introduced by resizing. This catches visible mistakes; it is not proof of forensic irrecoverability.
- Check file properties when needed. If the source may contain sensitive metadata, use a trusted local metadata-removal feature or create a clean export and inspect its properties. A routine re-save should not be assumed to remove every metadata field.
- Share only the checked export. Make sure you attach or upload the redacted copy, not the original or an intermediate file.
Redact a screenshot inside a PDF
A PDF can contain more than a flattened page image. Searchable text, annotations, layers, attachments, scripts, stored form data, and other objects may remain even when the page looks correct. Use a PDF-specific redaction feature rather than drawing a rectangle over the content.
Adobe Acrobat Pro
Adobe’s Acrobat Pro instructions describe selecting content for redaction and applying the redactions. The instructions also describe an option to sanitize hidden information while applying redactions, then saving a sanitized document. Use the current controls shown in Adobe’s guide, since labels and availability can change by version.

Apple Preview
Apple’s Preview guide documents Redaction Selection for PDFs and says redaction becomes permanent after the document is closed. Confirm the result after closing and reopening the saved file.
Preview also documents flattening PDF annotations through File > Print, then choosing Save as PDF. Flattening annotations is not a universal substitute for redaction or a guarantee that every kind of hidden information has been removed.

Inspect and save the PDF
- Select the sensitive text or image with the PDF editor’s redaction tool and apply the redaction.
- Run the editor’s available hidden-information inspection or sanitization step. Adobe lists possible hidden PDF content including metadata, attachments, scripts, layers, comments, annotations, stored form data, and obscured text or images. See Adobe’s overview of hidden information in PDFs.
- Save a new sanitized copy rather than treating a visual cover or an annotation flattening operation as sufficient.
- Reopen the saved copy and inspect the visible pages. Check that the redaction is present and that no surrounding content was unintentionally exposed.
Check Office documents for hidden information
If the screenshot is embedded in an Office document, inspect the document itself before sharing. Microsoft’s Document Inspector guidance identifies comments, revision marks, versions, annotations, and document properties such as author as potential hidden data or personal information.

Use the inspector for the document type and remove information you do not intend to disclose. Microsoft notes that repeated inspection may be needed after subsequent saves in some cases; its guidance specifically includes OpenDocument Text files. Do not assume that editing the screenshot image also removes document-level traces.

Match the process to the sensitivity
The National Institute of Standards and Technology defines media sanitization as “a process that renders access to target data on the media infeasible for a given level of effort.” That definition is a useful reminder that the required protection depends on the information and the effort an adversary might expend; it does not certify any particular screenshot edit. NIST’s SP 800-88 Rev. 2, published September 26, 2025, frames sanitization choices around the sensitivity of target information.
For routine sharing, a carefully redacted, newly exported image or properly applied PDF redaction may fit the need. If the screenshot contains highly sensitive personal, financial, or organizational information, do not treat a visual inspection as a security guarantee. Use a controlled process appropriate to that information, and avoid sharing the file if you cannot establish that the underlying content has been removed.
