If a freight packet still needs signatures, redact the sensitive information before anyone signs it. Apply a true PDF redaction—not a black box—then sanitize hidden data and check the finished copy. If the packet is already signed, do not assume its visible signature still has cryptographic validity after editing; get the unsigned original or follow a workflow approved by the signer or your organization.
Why the order matters
A PDF redaction is meant to remove sensitive text or images from the document, not simply conceal them beneath a shape. Adobe describes Acrobat Pro’s redaction tool as permanently hiding selected content and replacing it with colored boxes. Drawing an opaque rectangle over text is a different action and may leave the underlying content in the file. See Adobe’s redaction instructions.

Digital signatures raise a separate issue. The visible signature appearance and the cryptographic signature status are not the same thing: a signature image can remain on the page even when processing has flattened or invalidated the digital signature. Editing a signed file can also conflict with the permissions set by its certification. The safer sequence is to preserve the untouched source, redact and sanitize an unsigned copy, then have the required parties sign that copy.
Redact and sanitize an unsigned freight packet
- Preserve the source. Save an untouched copy of the unsigned packet according to your organization’s records process. Work on a separate copy so the original remains available for review.
- Apply actual redactions. In Acrobat Pro, use the redaction tools to select sensitive text or images and apply the redactions. Review the marked areas before applying them; do not substitute drawn shapes or annotations for redaction.
- Sanitize hidden information. Adobe’s Acrobat Pro guidance describes an option to remove hidden information, including metadata, embedded content, and scripts. Use it when preparing the distributed copy, then save the sanitized document. Redaction and sanitization are distinct: removing visible page content does not establish that every hidden item has been removed. See Adobe’s redaction and sanitization guidance.
- Review the saved copy. Check the pages and document properties before sharing. PDFs can contain less-visible material such as form fields, comments, attachments, hidden text, layers, bookmarks, and embedded indexes. The cited Adobe instructions do not establish that every redaction workflow automatically removes every such item, so review deliberately for information that should not travel with the packet.
- Route the checked copy for signature. Send the redacted, sanitized version through the intended signing process. Retain the source and the distributed version in line with your records policy.
What to do if the packet is already signed
Treat an already-signed freight packet as a controlled record. Do not edit it and then imply that the original digital signature remains valid merely because a signature graphic is still visible. Adobe’s guidance for signed PDFs notes that editing may require the unsigned original or action by the signer. Ask the originator for the unsigned source, or obtain approval through the applicable records and signing workflow before producing a redacted copy.

If an approved process permits a copy to be redacted, keep the original signed file unchanged. Have the recipient validate the digital signature in an appropriate PDF viewer and inspect the signed revision and any reported changes. A file that opens normally, or displays a signature image, is not by itself proof that the signature remains cryptographically valid or that post-signing edits were permitted. Adobe explains signed-PDF restrictions in its signed PDF permissions guidance and provides an overview of digital signatures in Acrobat.
Certification permissions are not blanket editing approval
A certified PDF can specify which actions are allowed after certification. Adobe says the signer selects permitted actions when certifying, and certification signing is available only when the PDF has no other signatures. Do not infer that an edit is authorized simply because the file still opens or the software allows an operation. Preserve the original signed file and use a copy only under an approved process. When a signature-preserving workflow may apply
Acrobat Sign documents a digital-signature-preservation setting for supported workflows, but it is conditional rather than a general promise that any signed PDF can be edited without consequence. Adobe lists restrictions, including a requirement for one uploaded PDF and incompatibility with document watermarks and transaction footers. Preserving an existing signature also limits authoring changes. Check the actual workflow configuration and test it with representative files before using it operationally; consult Adobe’s signature-preservation configuration guidance and instructions for sending a PDF that already has a digital signature.

Practical release checklist
- The untouched source has been retained according to the organization’s records process.
- Sensitive content was removed with a redaction tool, not merely covered with a shape.
- The distributed copy was sanitized and reviewed for relevant hidden information.
- The packet was signed only after redaction when possible; if already signed, the copy was handled through an approved workflow.
- The recipient or records owner can validate the signature status and review the signed revision and changes.
