How to Recover Outlook Emails Deleted From the Trash

Check Deleted Items and Junk Email first. If an Outlook message was removed from Deleted Items, use Recoverable Items where available or ask your administrator about retention.

You can often recover an Outlook email after deleting it, emptying Deleted Items, or using Shift+Delete—but only while it remains in the account’s recoverable store. First check Deleted Items and Junk Email; if the message is gone from Deleted Items, use Outlook’s Recoverable Items control or ask your work or school administrator. Outlook.com provides a 30-day recovery window for messages removed from Deleted Items; other accounts may have different retention policies.

Start with Deleted Items and Junk Email

  1. Check Deleted Items. If the message is there, select it and use Move to put it back in Inbox or another folder.
  2. Check Junk Email. A message that seems missing may have been filtered there rather than deleted.
  3. Check whether it moved. If it is not in either folder, search Outlook and review inbox filters and rules, including Sweep rules, which can move mail out of the expected location. Microsoft lists filters and rules as possible causes of missing mail: Microsoft’s missing-mail guidance.

The folder name depends on the account: Microsoft 365, Outlook.com, and Exchange typically use Deleted Items, while accounts such as Gmail or Yahoo configured in Outlook may show Trash. Confirm which mailbox and Outlook version you are using before following version-specific recovery steps. Microsoft’s recovery guide describes these differences.

Situation What to do What to expect
Message remains in Deleted Items Select it and move it to the folder you want. Ordinary restore; no Recoverable Items step is needed.
Message was removed from Deleted Items and the recovery control is available Use Recover items deleted from this folder, or the equivalent server recovery command in Classic Outlook. Self-service recovery may be possible while the item remains in the recoverable store.
Message is absent from the recovery list, or the control is unavailable For a work or school mailbox, ask the administrator to check the applicable retention policy and recovery store. Recovery depends on the account’s policy and whether the item remains available.

Recover messages in Outlook.com or Outlook on the web

  1. Open Deleted Items.
  2. If the message is still listed, select it, choose Move to, and select Inbox or another destination.
  3. If it is no longer listed, choose Recover items deleted from this folder above the message list.
  4. Select the message and choose Restore. Then check the destination folder.

Microsoft says Outlook.com messages removed from Deleted Items are recoverable for 30 days. The Recoverable Items step requires a computer; it is not available through the Outlook mobile app or a mobile browser. See Microsoft’s Outlook.com recovery instructions. If the message has already been removed from Recoverable Items, Microsoft says it is permanently deleted and cannot be restored: Outlook.com recovery limits.

Recover messages in new Outlook for Windows

  1. Open Deleted Items.
  2. Select Recover items deleted from this folder.
  3. Select the message and choose Restore.
  4. Look in Deleted Items after restoration. In new Outlook, recovered items return there first; move the message from there to Inbox or another folder if needed.

These labels apply to new Outlook. If the interface does not match, confirm that you are using new Outlook rather than Classic Outlook, then follow the corresponding instructions in Microsoft’s Outlook recovery guide.

Data Recovery Stick for Windows Data Recovery Software – Photos, Files
  • The Data Recovery Stick requires no technical skills — simply plug it into your Windows computer, click Start, and the software automatically begins scanning and recovering lost files within minutes. Compatible with Windows Vista, 7, 8, 10, & 11, it's designed to be a reliable first step when accidental deletion occurs.
  • Recover photos (JPG, BMP, PNG, TIFF), Microsoft Office documents (Word, Excel, PowerPoint, Publisher, Access), Open Office files, MP3 music files, PDFs, RTF documents, AutoCAD files, and HTML web pages. Whether it's personal memories or critical business files, the Data Recovery Stick covers the file types that matter most.
  • Works with hard drives, USB drives, SD cards, memory sticks, and other common storage formats that use FAT or NTFS file systems — making it a single solution for hard drive recovery, USB drive recovery, SD card recovery, and more. Note: a media reader is required for micro SD cards and some mass storage devices.

This also makes it ideal for use across multiple computers or in emergency situations where installation isn't practical.
  • Use the Data Recovery Stick on as many computers as often as needed — simply clear the recovered data between uses to free up storage space. Software updates keep the tool compatible with newer systems and devices, backed by 25+ years of data software expertise from Paraben Consumer Software.

Recover messages in Classic Outlook for Windows

  1. Make sure Outlook is online and connected to the mail server.
  2. Select Deleted Items.
  3. On the ribbon, choose Home > Recover Deleted Items From Server.
  4. Select the message and choose Restore Selected Items.
  5. Check the message’s destination folder after recovery.

This server recovery store can include mail deleted from Deleted Items, mail removed by emptying that folder, and mail permanently deleted from another folder with Shift+Delete. If the command is missing, Microsoft says the account does not support recovery after items leave Deleted Items. If the command is present but the message is not listed, contact the system administrator for a work or school mailbox. An account that shows a Trash folder instead of Deleted Items may not support this recovery path. See Microsoft’s Classic Outlook instructions.

How long recovery remains possible

  • Outlook.com: Microsoft says messages removed from Deleted Items are recoverable for 30 days, and email is automatically deleted from Deleted Items after 30 days. The cited Microsoft support pages do not state publication years. See Outlook.com recovery and Deleted Items timing.
  • Work or school Microsoft 365 or Exchange: There is no single recovery duration established for every mailbox. An administrator may configure retention for Deleted Items and the additional time items remain in Recoverable Items. Microsoft gives 30 days plus another 14 days as an example of a possible policy, not a universal guarantee. Ask your administrator which policy applies to your mailbox. Microsoft’s recovery guide.

If neither you nor your administrator can find the message in Recoverable Items, Microsoft says it was probably permanently deleted. For Outlook.com, an item removed from that store cannot be restored. Avoid assuming that a recovery utility or a different Outlook client can restore mail that is no longer available from the account’s server-side recovery store.

If the recovery option is missing or the message is not listed

  • Confirm the account and folder. Gmail or Yahoo configured in Outlook may use Trash, and Microsoft’s Classic Outlook guidance says accounts with Trash rather than Deleted Items do not support its server recovery command.
  • Confirm the Outlook version. New Outlook and Classic Outlook use different controls. In Classic Outlook, first verify the app is connected to the mail server.
  • For work or school email, contact IT. Ask whether the organization’s retention policy and Recoverable Items store still include the message. The administrator may have access to recovery options unavailable to you.
  • For Outlook.com, use a computer. The mobile app and mobile browser do not provide the Recoverable Items recovery step.
