If a file is still in the Recycle Bin, select it and choose Restore. If it has been permanently deleted, first check backups and cloud recycle bins; for a local drive, Microsoft’s Windows File Recovery tool can attempt a scan, but success is not guaranteed. Stop using the affected drive as much as possible while you decide what to try.
Start with the recovery path that matches where the file was stored
| Where the file was | What to try | Important limit |
|---|---|---|
| Still in the PC’s Recycle Bin | Select the item and choose Restore. | It returns to its original folder. |
| Covered by File History or another backup | Restore a saved copy or previous version. | File History helps only if it was configured before deletion. |
| OneDrive | Check the web recycle bin for the correct account. | Cloud and online-only files may not appear in the PC’s Recycle Bin; retention limits apply. |
| Deleted from a local drive, with no usable backup | Try Windows File Recovery with a separate destination drive. | It scans local storage; recovery can fail if data has been overwritten. |
| Network share or other cloud storage | Check that service’s own recycle bin or backup. | Windows File Recovery does not support cloud storage or network file shares. |
Restore an item that is still in the Recycle Bin
- Open Recycle Bin from the desktop. If you cannot see its icon, search Windows for “Recycle Bin.”
- Find and select the file or folder. Right-click it and choose Restore.
- Look for it in the folder where it was stored before deletion.
Microsoft says restoring an item from the Recycle Bin returns it to its original location. If the item is not listed, move on to backups, cloud storage, or a recovery attempt. Microsoft’s Recycle Bin guidance.

Check File History and any other backup
Before scanning a drive, check whether a saved copy already exists. File History can restore previous versions, but only if it was turned on and configured before the file was deleted. Microsoft describes it as saving copies to an external drive or network location. Microsoft’s File History instructions.

Also check any backup system you already use, including a system or organization-managed backup. A backup restore is usually a better first choice than attempting to recover deleted data from a drive, because it does not depend on the deleted file’s data still being present in unallocated space.

For OneDrive, check the web recycle bin and account
OneDrive has a separate recycle bin from the one on your Windows desktop. Sign in to OneDrive on the web using the personal or work/school account that held the file, open Recycle bin, select the item, and choose Restore. This is especially important for online-only files, which may not have a local copy in the PC’s Recycle Bin. See Microsoft’s OneDrive restore instructions.
Microsoft says deleted items are generally kept for 30 days in personal OneDrive accounts and 93 days in work or school accounts. An administrator can change the work/school retention setting. Items permanently deleted through the documented recycle-bin process cannot be restored through that process. Microsoft’s retention guidance.

When a broader OneDrive rollback makes sense
Microsoft 365 subscribers may have a Restore your OneDrive option covering file activity from the last 30 days. It rolls back a wider set of changes than restoring one item from the recycle bin. Files created after the chosen restore point are sent to the OneDrive recycle bin, so review the restore point and understand its broader effect before using it. When a file was deleted from local storage and is not available in a backup or recycle bin, Microsoft’s Windows File Recovery app can attempt to recover it. It is a command-line tool available from the Microsoft Store. It works with local internal, external, and USB storage, but not cloud storage or network file shares. Protect the affected drive before scanning
- Minimize use of the computer and do not save new files, install software, or download recovery output to the drive being scanned if you can avoid it.
- Use a different drive for recovered files. Microsoft recommends a USB or external drive as the destination if the PC has only one drive.
- Choose the source drive to scan and a separate destination drive in the command. Microsoft’s general command structure is
winfr source-drive: destination-drive: [/mode] [/switches].
Microsoft documents Regular and Extensive modes. If Regular mode does not recover the file, its guidance says to try Extensive mode where supported. Use Microsoft’s current examples and syntax rather than guessing filters or switches.

Deleting a file generally marks its storage space as available for reuse; the underlying data may remain until new data overwrites it. Using the affected computer can write into that space and make recovery harder. Microsoft advises: “If you want to increase your chances of recovering a file, minimize or avoid using your computer.” Windows File Recovery guidance.

- Plug-and-play expandability

Recovery is an attempt, not a guarantee. Microsoft notes that a scan may fail if free space has been overwritten, particularly on an SSD. If the file is irreplaceable and the drive is still in use, avoid experimenting on it; further writes can reduce the chance that its data remains intact.
