To record an interview, first explain the purpose and intended use, get informed consent before recording, then make and play back a short test so you know the voices are clear. A smartphone is enough for many audio-only interviews; a separate recorder, microphone, or video setup is optional. Afterward, store the recording and consent record securely and use them only as agreed.
1. Decide what you need to record
Choose the format before you gather equipment: speech only, video, a transcript, or selected clips. Tell the participant why you want to record and how the material may be used before asking for consent. Plan who will have access, where the file will be stored, whether it will be shared, and when it should be deleted. Record only identifying details needed for the project.
Consent and privacy obligations depend on the location and context. Check the applicable law, institutional rules, and participant agreement for your situation; guidance for a particular government research or education setting is not a universal legal rule. GOV.UK user-research guidance requires informed consent before notes or recording in that setting: Taking notes and recording user research sessions.
2. Prepare questions that leave room for answers
Make a flexible outline of topics and open-ended questions rather than a script the participant must follow. Prompts such as “What happened next?” or “Can you give me an example?” invite detail. Listen closely, allow pauses, and follow up when a term or point needs clarification. Digital.gov recommends planned but unscripted questions, while the National Park Service emphasizes respectful listening and giving a narrator room to tell a story.

3. Choose a recording setup
For a simple audio interview
A smartphone can record usable speech in a quiet room. Put it on a stable surface close enough to capture both speakers clearly, and check that the recording app has permission to use the microphone and enough storage. Keep it within reach so you can confirm it is still recording without handling it constantly.
For more control over audio
A digital audio recorder, an external microphone, and headphones can make it easier to position the microphone and monitor sound. These are options, not prerequisites. The American Library Association’s oral-history guide suggests placing an external microphone about one hand span—roughly 5 inches—from the speaker’s mouth and minimizing handling movement; treat that as practical starting advice for that setup, not a universal microphone specification. For video or a remote conversation
Use the camera and software available to you, but test both before the interview. Check the microphone, recording controls, audio level, internet connection, framing, lighting, and playback. A stable connection matters for remote interviews; for in-person video, choose a background that will not distract. Job-interview advice to place a computer camera at eye level is useful in that context, but it is not a professional production standard. 4. Get informed consent before you press record
Explain what will be recorded, why, who may access or use it, and any relevant confidentiality, retention, or withdrawal terms. Give the participant a chance to ask questions, then obtain consent before recording begins. Keep evidence of consent in a form appropriate to the project; that may include a signed form or a recorded verbal confirmation where suitable. Do not assume that agreeing to participate automatically means agreeing to be recorded.

For a research call, wording might be: “With your permission, I would like to record this call. The recording will only be used to help us figure out how to improve the site, and it will not be seen by anyone except those working on this project.” That is Digital.gov sample wording for its user-research context, not universal legal language. NSW education evaluation guidance likewise advises confirming active consent up front and keeping the interaction on record: NSW evaluation tools.
5. Set up and make a test recording
- Charge the phone, recorder, or computer, or connect it to power. Check available storage, cables, microphone connections, and recording permissions.
- Place the recorder or microphone where it can capture speech from all participants. Avoid setting it next to fans, air conditioners, vibrating phones, or other avoidable noise sources.
- Start a short test recording with someone speaking at a normal volume. If the interview is remote or on video, test the actual software and connection you will use.
- Play the test back through headphones if available. Confirm that the words are intelligible, both voices are present, and there is no distracting hum, clipping, or intermittent sound. Adjust placement or settings and repeat the test if needed.
A recording indicator alone does not prove the audio is usable. Playback is the practical check that catches a muted microphone, wrong input, poor placement, or excessive background noise before the conversation starts.

6. Start clearly and conduct the conversation
At the beginning, state only the identifiers appropriate to the project, such as the date, location, project title, and participant identifier. Confirm verbal consent on the recording when that suits the project, while avoiding unnecessary personal details—especially for sensitive work.
Once underway, periodically check that the device is still recording and that audio remains clear. Do so discreetly so monitoring does not interrupt the conversation. Ask open questions, listen more than you speak, and use follow-ups to clarify ambiguous points or invite examples. For oral-history work, the National Park Service stresses the importance of trust, empathy, and respectful listening.

7. Close the interview and protect the files
Thank the participant and explain any agreed next steps. Transfer the recording and consent record to the project’s secure storage, restrict access to people who need it, and use the material only for the agreed purpose. Before wider sharing or publication, review it for confidential or identifying information. Once the secure transfer is confirmed, remove copies from personal devices when that fits the project’s retention process.
Keep consent documentation with the project records, but separate it from interview material if your privacy plan or institutional rules call for that. Follow the agreed retention and deletion schedule rather than leaving recordings indefinitely on a phone or shared computer.
Common recording problems and fixes
- The file is silent. The wrong microphone may be selected, the app may lack microphone access, or the input may be muted. Check permissions and input selection, then make and play back another test.
- Speech is hard to understand. Move the recorder closer, reduce background noise, and check that the microphone faces the speakers. Test again before continuing.
- One person sounds much quieter. Reposition the device or use an external microphone suited to the setup. Make a new sample with both people speaking from their actual seats.
- The audio has bumps or handling noise. Put the device on a stable surface, avoid touching it, and keep cables from rubbing against the microphone.
- A remote call drops or the video freezes. Check the connection and the recording software’s status. If needed, pause and agree with the participant whether to reconnect and resume; confirm consent and recording status again before restarting.
- The recording stops unexpectedly. Check battery, free storage, app limits, and whether the device entered a power-saving state. Secure any existing file before trying again.
- The recording is clear but cannot be shared as planned. Check the original consent terms and the applicable privacy or institutional rules before distributing it; do not assume that recording permission covers every later use.
