To reconcile Ramp, first configure the accounting integration and account mappings, choose an accounting-date policy, review and code transactions in Ramp, sync only finalized activity, and then compare the synced records with your accounting software and bank statement. For QuickBooks Online, use Ramp’s separate Reconciliation Report to locate missing, unmatched, or duplicated items. Card-to-bill matches and external debits from a Ramp Checking Account are separate workflows with their own limits.
The exact screens, fields, sync behavior, and supported features depend on the connected provider. Ramp documents the QuickBooks Online reconciliation report as available only to U.S.-based entities, and that report does not include ACH payments.

What reconciliation means in a Ramp workflow
Reconciliation is the process of proving that three records agree: the activity approved and coded in Ramp, the transactions created in your accounting system, and the payment or settlement shown by the bank. A transaction can be legitimate in Ramp but still need attention if it has not synced, was posted in a different accounting period, was coded to the wrong account, or was recorded manually as well as imported.
For a Ramp card purchase, the accounting entry generally debits an expense or bank account and credits a credit-card liability. When the company pays the Ramp statement, the payment reduces that liability and the bank account. Your accountant’s final check is that the bank payment agrees with the total transaction amount that was synced from Ramp for the relevant statement period.

What to prepare before reconciling
- Administrator or accountant access to Ramp and the connected accounting provider.
- A confirmed integration or export method for the relevant Ramp products: card transactions, reimbursements, Bill Pay, Banking, or bank transactions.
- The provider’s chart of accounts, including the credit-card liability account, cash or bank account, expense accounts, accounts payable accounts, and any required tracking or custom fields.
- A defined close period and an accounting-date policy that your finance team applies consistently.
- The Ramp statement period, the corresponding bank payment, and access to the accounting provider’s transaction and reconciliation screens.
How do I reconcile Ramp transactions in QuickBooks?
Use this order for a normal Ramp card-and-statement close. The same logic applies to other connected providers, but their labels and available features can differ.
-
Confirm the Ramp connection and accounting settings
Open Ramp’s Accounting settings and verify the connected provider or export method. Review settings for each workflow you use, such as card transactions, reimbursements, Bill Pay, Banking, and bank transactions. Map Ramp’s accounting fields to the correct accounts in the provider’s chart of accounts. At minimum, verify the credit-card liability and cash accounts; also check categories, classes, locations, departments, entities, tax fields, and custom fields that your provider requires.

-
Choose transaction date or clearing date
Ramp documents a choice between recording a transaction on its transaction date and recording it on its clearing date. Transaction date reflects when the purchase occurred and can place an expense in an earlier accounting period than the statement or bank clearing date. Clearing date can make statement-period and bank-feed alignment easier.
Neither option is universally correct. Base the choice on your organization’s accounting policy, materiality rules, and month-end process. Record the policy in your close checklist so that a change in settings does not create unexplained period differences.

Review and code activity in Ramp
In Ramp’s Accounting tab, review the transactions included in the close period. Apply the correct category and other accounting fields, check the merchant and amount, and resolve required coding or approval issues before syncing. Ramp says coded details, including the memo, are sent to the accounting provider. For direct integrations, receipt files can also be included when the provider supports them and the receipt-upload setting is enabled.

-
Sync finalized transactions
Sync the reviewed activity from Ramp to the accounting provider. Check the provider’s sync status and confirm that the expected record type was created. Depending on the provider and workflow, a statement payment may be represented as a check, journal entry, or another supported payment record.
Do not manually enter the same card charge or statement payment in the accounting system unless your documented integration design requires it. A manual payment plus a separately synced payment is a common cause of an apparent overpayment or duplicate in the reconciliation report.
-
Compare Ramp records with the accounting system
In the accounting provider, compare the synced transaction count, dates, merchants, amounts, accounts, and statement-payment total with the Ramp period. In Ramp’s Transactions tab, filter by the statement period to see which transactions are included. Investigate any record that is absent, has a different date, has a different amount, or appears twice.

Match the bank payment to the Ramp total
Find the payment from the company bank account to Ramp. Match the cleared payment amount to the total dollar amount of Ramp transactions synced for the statement period, using the accounting date policy selected earlier. If the amounts differ, do not force a match: identify late-clearing items, credits, cashback, fees, timing differences, or an incorrectly recorded payment.

What accounting entries should you expect?
| Activity | Typical accounting effect | What to verify |
|---|---|---|
| Ramp card purchase | Debit an expense or bank account; credit the credit-card liability. | Category, entity, accounting date, amount, and liability account. |
| Ramp statement payment | Debit the card liability; credit the company bank account. | Payment amount, payment date, provider record type, and that it was not also entered manually. |
| Card transaction matched to an open bill | Decrease bill accounts payable and increase credit-card accounts payable; the matched amount is not recorded as a credit-card expense. | Vendor, bill, currency, amount, and one-to-one or other provider matching rules. |
| External debit from a Ramp Checking Account matched to a bill | Create a bill payment and reduce the bill balance after synchronization. | Eligible account, suggested bill, allocation, confirmation, and sync status. |
These are the general effects described by Ramp. Confirm the exact account names and record types in your provider, because an integration may implement the same economic event with a provider-specific transaction type.
QuickBooks Online’s Reconciliation Report
QuickBooks Online has a dedicated Ramp Reconciliation Report that should be treated separately from the general cross-provider procedure. Ramp documents the report for U.S.-based entities. It covers Ramp card or statement activity and excludes ACH payments.
What the report shows
The report presents Ramp and QuickBooks balance summaries, card spend, statement payments, cashback, unmatched transactions, and total change. It distinguishes two important exceptions:
- A transaction exists in QuickBooks but was not synced from Ramp.
- A Ramp transaction exists but has not been synced to the accounting system.
A one-to-one match indicates that the corresponding Ramp and QuickBooks records were found. Use the report to identify the exception, then inspect the underlying record rather than adjusting a balance blindly.
How to investigate an unmatched item
- Open the report for the statement period you are closing.
- Review whether the exception is a QuickBooks-only transaction or a Ramp transaction that is still unsynced to the ERP.
- For a Ramp-side exception, inspect unmatched Ramp expenses in the selected period and confirm that the transaction is finalized and eligible for synchronization.
- For a QuickBooks-side exception, determine whether the record was entered manually, imported through another feed, or created under the wrong account or date.
- Use Find a Match when the corresponding record exists but was not automatically paired. Confirm the amount, date policy, merchant, and statement period before accepting the match.
Period and duplicate issues in the report
If the accounting date and sync month differ, Ramp says the report may show a placeholder in both periods. Check the date policy and the period in which the transaction was actually synced before treating that display as a missing transaction.
Ramp also warns that manually recording a statement payment and separately syncing it can create a duplicate in the report. Remove or reverse the unintended duplicate according to your accounting controls; do not simply exclude a legitimate bank payment from the close.

Why doesn’t my Ramp transaction show up in QuickBooks?
Work through the cause in this order:
- The transaction is not finalized or coded. Return to Ramp’s Accounting tab and resolve missing categories, fields, approvals, or other requirements.
- The transaction falls outside the selected period. Compare transaction date, clearing date, statement period, and sync month. A valid transaction can appear in a neighboring period when those settings differ.
- The integration or account mapping is wrong. Recheck the Accounting settings, connected entity, liability account, cash account, and required provider fields.
- The transaction has not been synced. Check Ramp’s sync status and the provider’s import or integration queue. A Ramp transaction that remains unsynced is different from a transaction that synced but was posted to an unexpected account.
- The record was created manually in QuickBooks. The report may identify a QuickBooks transaction that has no corresponding Ramp sync. Decide whether the manual record should remain under your documented process or be removed in favor of the integrated record.
- The payment is ACH. ACH payments are excluded from the QBO reconciliation report, so use the provider and bank records directly for that part of the close.
- The entity connection is incorrect. For Intuit Enterprise Suite, Ramp documents that each entity must connect to its own Ramp account. Intercompany transactions between QuickBooks entities are not currently supported.
After correcting the cause, allow the normal sync process to complete and rerun the relevant report or comparison. Avoid creating a second transaction merely because the first one is delayed.
Quick wins for a faster PC:
Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →Should I use the transaction date or clearing date?
Use transaction date when your policy recognizes the expense when the purchase occurs and you want expenses assigned to that operational period. Use clearing date when aligning the accounting record with statement inclusion and bank feeds is more important.
| Policy | Useful when | Main reconciliation consequence |
|---|---|---|
| Transaction date | Expense recognition follows the purchase event. | A purchase near month-end may belong to an earlier period than its clearing or statement date. |
| Clearing date | The close is organized around cleared statement and bank activity. | Statement totals may align more naturally, but the expense can be recorded later than the purchase. |
Choose one approach with your accountant, apply it consistently, and document exceptions such as returns, credits, or transactions spanning entities. The correct choice depends on your accounting policy rather than a Ramp-specific universal rule.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How do I match a Ramp card transaction to a bill?
Bill matching is separate from ordinary expense coding. Use it when a Ramp card transaction paid an open bill that already exists in the accounting provider.
- Open the card transaction’s bill-matching workflow in Ramp.
- Review the suggested bills. Ramp identifies candidates using vendor name and amount.
- Confirm that the bill was created in the accounting provider, not merely as an open bill in Ramp.
- Check the entity, currency, amount, vendor, and remaining bill balance.
- Accept the match only when the card transaction represents payment of that bill.
- Sync the result and verify the provider’s accounts-payable and card-liability balances.
After a successful match, Ramp describes the accounting impact as a decrease to bill accounts payable and an increase to credit-card accounts payable. The matched amount does not appear as a credit-card expense because the expense was already represented by the bill.
Bill-matching limits
- The bill must have been created in the connected accounting provider.
- The bills surfaced by the feature are USD bills and must satisfy the provider’s entity and amount conditions.
- Ramp’s current Xero documentation limits matching to a one-to-one card-transaction-to-bill relationship.
- Multiple card transactions cannot currently be matched to one open bill in that workflow.
If the suggested bill is wrong or the amount does not meet the conditions, leave the transaction unmatched and follow your provider’s normal bill-payment procedure instead of forcing an association.

How do I reconcile a Ramp statement payment?
Start with the bank-cleared payment to Ramp, then trace it to the statement-period transactions that generated the liability. Confirm that the payment is recorded once, uses the mapped bank and card-liability accounts, and agrees with the total synced activity for that period.
- Identify the bank payment date, amount, currency, and originating account.
- Filter Ramp’s Transactions tab by the relevant statement period.
- Compare the filtered total with the payment amount, allowing only documented timing, credit, cashback, fee, or date-policy differences.
- Confirm the statement-payment record created by the provider integration, such as a check or journal entry where supported.
- Search the accounting system for a manually entered payment with the same amount and date.
- Match the single valid payment to the bank feed and investigate any residual difference before closing.
Do not treat a statement payment as another card expense. It settles the liability created by the card activity. Recording it as an additional expense overstates spending.
How do I match an external debit from a Ramp Checking Account?
This workflow applies when a vendor directly debited an eligible Ramp Checking Account and the corresponding open bill already exists in the accounting provider. It is not the same as a Ramp card transaction or a standard statement payment.
- Open the external-debit matching workflow and review the suggested bills.
- Confirm the vendor, entity, amount, currency, and bill balance.
- Allocate the transfer if the debit needs to be distributed across eligible bills or lines.
- Confirm the match and sync it to the accounting provider.
- Verify that the resulting bill payment reduced the bill balance and that the bank activity is not also recorded manually.
Ramp lists QuickBooks Online, NetSuite, Sage Intacct, and Xero as supported providers for this workflow. Once an external-debit match has been synced, Ramp says it cannot be edited in Ramp. Corrective work therefore has to follow the accounting provider’s procedure for reversing or amending the synced bill payment.
Provider differences you must check
Ramp documents native and partner connections for a broad range of accounting systems, including QuickBooks Online, Xero, NetSuite, Sage Intacct, Acumatica, Zoho Books, and QuickBooks Desktop options. Availability, plan requirements, supported workflows, and field mappings differ.
| Question | Why it matters |
|---|---|
| Is there a direct integration or only file export? | Direct integrations may sync coded records and receipts; an export workflow may require an additional import and review step. |
| Does the provider support the specific Ramp workflow? | Card transactions, reimbursements, statement payments, bank feeds, bill matching, and external-debit matching are not interchangeable capabilities. |
| Are there geography, plan, currency, entity, or match-shape limits? | The QBO report is documented for U.S.-based entities, bill matching has currency and relationship limits, and multi-entity connections have specific rules. |
| Does sync timing align with your close? | Date policy and sync month can place activity in different reporting periods. |
| Can a synced match be changed? | Some workflows allow review before sync but restrict editing afterward, as with synced external-debit matches. |
For QuickBooks Online and Intuit Enterprise Suite, Ramp documents synchronization of expenses and card transactions, bills and bill payments, vendors, accounts, and categories. Each Intuit Enterprise Suite entity must connect to its own Ramp account, and intercompany transactions between QuickBooks entities are not currently supported.
Controls that prevent recurring reconciliation errors
- Lock the accounting-date policy and include it in the month-end checklist.
- Assign ownership for coding, sync review, bank matching, and exception resolution.
- Require approval or review of transactions with missing receipts, unusual vendors, or nonstandard accounts before synchronization.
- Keep a list of manually entered records so they are not later duplicated by an integration.
- Reconcile by statement period and entity, not only by calendar month.
- Save the reason for every timing difference, unmatched item, reversal, or provider-side correction.
- After a mapping change, test one transaction and one statement payment before sending a full batch.
- For bill matching, verify that the provider bill is the source document and that the payment will not also be posted through a bank feed.
A practical exception checklist
Before marking a period complete, confirm:
- All intended Ramp transactions are coded and finalized.
- The selected accounting date is consistent with prior periods.
- Expected transactions have synced to the correct entity and accounts.
- No QuickBooks-only manual record duplicates an integrated Ramp transaction.
- The statement payment is recorded once and matches the bank-cleared amount.
- Unmatched items have a documented cause and owner.
- Bill matches use eligible provider bills and comply with currency and one-to-one restrictions.
- External-debit matches were reviewed before sync, because a synced match cannot be edited in Ramp.
When to escalate an issue
Escalate to your accounting-system administrator or Ramp support when the integration is connected but repeatedly leaves finalized transactions unsynced, mappings are unavailable for a required account, a provider record type differs from your close procedure, or a synced match needs correction that the Ramp workflow no longer permits. Include the entity, statement period, transaction identifiers, dates, amounts, and the accounting records already created. That information lets the administrator distinguish a mapping problem from a timing difference or duplicate entry.
