How to Rebuild the Windows Search Index When Results Are Missing

Use Indexing Options to rebuild the Windows Search index, then check search scope, indexed locations, and file-content settings if results remain missing.

If Windows search is missing files or returning incomplete results, first check that the item is in a location Windows searches. If the scope is correct, open Indexing Options, choose Advanced, then select Rebuild under Troubleshooting on the Index Settings tab. Confirm the warning and allow indexing to run. A rebuild restarts the catalog; it cannot add excluded folders or recover deleted files.

Before rebuilding, check what is missing

The right fix depends on whether you are looking for a local file, cloud-stored content, a hidden or moved file, or an Outlook message. Windows Search uses an index—a catalog of file properties and, when configured, contents—to return results quickly. Rebuilding restarts indexing, but it does not change what Windows is set to search.

  • For a local file, search This PC rather than only a current folder, and consider whether the file is hidden, moved, or stored in another user profile. Microsoft’s lost-files guidance covers these checks.
  • For a OneDrive file, check OneDrive’s own missing-file guidance. A local index rebuild is not a recovery method for cloud files that are missing or deleted.
  • For an Outlook message, confirm the selected mailbox or folder scope. Outlook search has its own catalog context; see Microsoft’s Outlook catalog troubleshooting.

Check which locations Windows indexes

Open Settings > Privacy & security > Search to check the search mode. Classic indexes common user folders and the desktop by default. Enhanced indexes the entire PC, including user folders and files, and can use more system resources. In Classic mode, use Customize search locations and Modify to inspect or add locations.

If the missing folder is not included, add it or switch to a suitable search mode before judging the results. Rebuilding an index that excludes the folder will not make that folder searchable. Microsoft explains the modes and location controls in Search indexing in Windows.

Try the Search and Indexing troubleshooter

The built-in troubleshooter is a useful diagnostic when the cause is unclear. Microsoft documents this route for Windows search problems:

  1. Open Settings > Privacy & security > Search.
  2. Select Advanced indexing options to open Indexing Options.
  3. Select Advanced.
  4. Under Troubleshooting, select Troubleshoot search and indexing, then follow the wizard.

The troubleshooter and rebuild are separate actions. Microsoft documents both, but does not prescribe one order for every symptom. For general missing-file guidance, see Find lost files after upgrading Windows.

Rebuild the Windows Search index

  1. Open Indexing Options. You can get there through Settings > Privacy & security > Search > Advanced indexing options.
  2. Select Advanced.
  3. On the Index Settings tab, find Troubleshooting and select Rebuild.
  4. Confirm the warning. Windows will restart indexing; let it continue, then search for the missing item again after indexing has had time to run.

Microsoft’s rebuild instructions are published in its Outlook catalog article, but the Rebuild control is the Windows indexing control. The article warns that the index may take a long time to complete; that Outlook-specific context should not be read as a guaranteed duration for every Windows search problem. See Fix search issues by rebuilding your Instant Search catalog.

If file names appear but document text does not

Windows can index file properties without indexing the words inside a document. In Indexing Options, select Advanced, open the File Types tab, and check the setting for the relevant extension. Index Properties Only supports searches using names and metadata; it does not make document text searchable. To find words within supported files, select Index Properties and File Contents for that file type. The change may require indexing time before content searches return results.

How long indexing can take

Microsoft says initial indexing can take up to a couple of hours. That is guidance, not a guaranteed rebuild time: the duration varies with the device and the amount and type of content being indexed. Microsoft’s rebuild warning likewise says the index may take a long time to complete. Wait for indexing to progress before treating an unchanged result as proof that rebuilding failed.

On a Copilot+ PC, Windows also offers semantic indexing for supported file types. Microsoft recommends keeping the device plugged in during initial indexing; this is a device-specific behavior, not a general requirement for every Windows PC. Details are in Microsoft’s Windows Search indexing overview.

What to check if results are still missing

  • Location: Is the file’s folder included in the indexed locations, or are you searching the appropriate scope?
  • Search type: Are you searching for a file name, metadata, or text inside a file? Check the file-type content setting for full-text searches.
  • File status: Could the item be hidden, moved, in another profile, or stored in OneDrive? Use the appropriate location or cloud service guidance rather than expecting a rebuild to restore it.
  • Outlook: If only messages are missing, verify Outlook is included as an indexed location and check the selected mailbox or folder scope. Use Outlook-specific troubleshooting for catalog symptoms.

Microsoft’s search guidance also notes that an index is generally less than 10 percent of the size of indexed text files as a rule of thumb—for example, an index for 100 MB of text files would be less than 10 MB. This is not a guarantee; an index can be larger with many very small files or code. See Search indexing in Windows.
