Obsidian Bases lets you turn project-note properties into a board and embed that board in a project note. The notes remain Markdown files in your vault; the base provides views for sorting, filtering, and editing them. If you already track projects in Obsidian, this can reduce duplicate updates and app switching for a lightweight workflow—not replace every feature of a dedicated task manager.
What Obsidian Bases does—and where the information lives
Bases is an Obsidian core plugin for database-like views of files and their properties. You can display, edit, sort, and filter vault files without moving their underlying information out of Markdown notes. The view configuration is saved in a .base file or in a base code block embedded in Markdown. See Obsidian’s Introduction to Bases.

For a simple project workflow, give each project or task item its own note, with consistent properties such as status, due, and priority. A base can then show those files together. The board is a different view of the notes, not a second set of project records.

Create a base using Obsidian’s command palette, the file explorer, or the ribbon action. The official Create a base guide describes these options.

Configure the base to include the relevant project notes. Add filters if the view should show only a particular folder or subset, and sort by a property such as due date or priority where useful.

Obsidian’s Kanban view documentation says that moving a Markdown note card to another column changes the note’s grouped property. You can also create a note from a column. That means moving a card updates the property that determines its place on the board, rather than only changing a separate board entry.
Embed the board in a project note
To put a saved base inside a note, use an embed such as ![[Projects.base]], substituting the actual base filename. You can also embed a base directly in a Markdown note using a base code block. Obsidian’s base creation guide covers embedding methods.
This is useful when a project note is the place you naturally open to read context or make decisions: the note can contain project details alongside a live view of the tracked files. A base can have multiple views, each with its own layout and configuration, so the same underlying notes can also be viewed as a table, list, or cards. The view documentation lists map as another layout; it notes that some layouts may require early-access versions. Filters can apply to all views in a base or only the active one, and grouping currently supports one property. See Obsidian’s Views guide.

Know the Kanban editing limits and version caveats
A Kanban board is most directly editable when it is grouped by an ordinary note property such as status. The current help page says that when a board is grouped by a formula or file property, you cannot move cards or columns, or create notes from those columns. Check the Kanban documentation and your installed Obsidian version before building a workflow around a particular layout; the page identifies Kanban as requiring Obsidian 1.14+ and labels it early access.

In its June 5, 2025 release notes for Obsidian 1.9.2, Obsidian documented breaking changes to formula syntax and the Bases file format, and advised people syncing across devices to update all devices together to avoid incompatible syntax. Check the release note alongside current help before following version-specific instructions, especially if your devices are on different versions.

Bases formulas can calculate numeric values, manipulate text, work with dates, apply conditional logic, and process lists. They can use note properties, file properties, and other formulas; results can be displayed in views and used for filtering or sorting. Obsidian’s formula documentation includes examples such as a deadline two weeks after a start date, an overdue indicator based on due date and completion status, and a priority score based on impact, urgency, and effort.

For a first board, ordinary editable properties such as status and due are usually enough. Add a formula when it answers a real question—such as whether an item is overdue—not simply because the feature is available. Keep a Kanban grouping property editable if you want to move cards between columns.
When a Bases board is a good fit
Bases is especially useful when project information already lives in Obsidian and you are comfortable updating note properties as part of your workflow. Before replacing a separate task app, consider whether you need tasks to exist independently of notes, whether the available views and filters cover your needs, and whether your installed version supports the layout you want. The documented strengths are local note integration, multiple views, filters, formulas, and embedding; they do not establish a feature-by-feature replacement for any named task manager.
