To protect your privacy when using Gemini on a Chromebook, first check whether you are using a personal Google account, a work or school account in Gemini Apps, or Gemini in Chrome with an organization-managed account. Those differences—not the Chromebook’s hardware privacy settings—determine who controls chat activity, how long it is retained, and what protections Google says apply. Personal users can review or delete Gemini Apps Activity and turn off Keep Activity, but that does not stop all processing or guarantee immediate deletion.
Identify the account and Gemini service first
A Chromebook can be signed in to more than one Google account, and the same device can access Gemini under different policies. Check the account shown in Chrome and in Gemini, then identify which service you are using:

- Personal Gemini Apps: Gemini Apps used with a consumer Google account. The user can manage Keep Activity and deletion options.
- Work or school Gemini Apps: Gemini Apps accessed with an organization-managed Google account. The Workspace administrator may control activity and retention.
- Gemini in Chrome under enterprise management: Gemini features in Chrome used with a managed Google Account. Google’s enterprise assurances apply to that managed-account context, not automatically to a personal Gmail account.
Google’s guidance describes account and service controls, not Chromebook hardware settings. A camera cover or privacy screen does not change cloud-side chat activity or retention.

Review, delete, or change Keep Activity
In Gemini Apps, open Settings & help and choose Gemini Apps Activity, or go to Google My Activity and open the Gemini Apps activity controls. From there, review or delete saved activity, turn Keep Activity off, or choose a shorter auto-delete period. Google describes 18 months as the default auto-delete period for personal Gemini Apps; available choices include 3 or 36 months, indefinite retention, and manual deletion. Understand what turning Keep Activity off does—and does not do
Google says future chats made while Keep Activity is off are still retained for 72 hours so it can respond, process feedback, and help protect Google, users, and the public. Turning it off therefore reduces saved activity and its use for model improvement, subject to Google’s stated exceptions; it is not a zero-processing mode or instant deletion switch.
Google also says chats reviewed by human reviewers and related data may remain for up to three years after they are disconnected from the account. Deleting activity from the account does not necessarily remove data already separated for review. Other Google settings, such as Web & App Activity or Location History, may separately save information in other services.

Keep sensitive information out of personal chats
Google’s Gemini Apps Privacy Notice, last updated June 29, 2026, warns: “Please don’t enter confidential information that you wouldn’t want a reviewer to see or Google to use to improve our services, including machine-learning technologies.” Treat that as practical advice for work documents, school records, health details, financial information, and identifying data. Temporary chats avoid human-review use for improving Google AI, according to Google, but they are still processed to answer prompts and help protect users and Google.

For managed work or school accounts, activity is on by default and the Workspace administrator manages Keep Activity and may control retention. Google’s work/school help page describes an 18-month default and administrator options of 3, 18, or 36 months, or history off; the page does not show a publication date. A user may not be able to view or change the organization’s setting. Google also says clearing history within a Workspace app does not clear Gemini Apps Activity. Review the applicable work or school account guidance, then ask the administrator which Gemini service is enabled, what retention policy applies, and what organizational policies govern its use.

Gemini in Chrome: enterprise protections have a specific scope
Google’s Chrome Enterprise and Education Help says that to receive its protections for Gemini in Chrome, users must sign in to Chrome with a managed Google Account—not a personal consumer Gmail account. The guidance says: “To protect your data and prioritize your privacy when using Gemini in Chrome, you must sign in to Chrome using your managed Google Account, [email protected], and not your personal consumer Gmail account, [email protected].” Read Google’s Chrome Enterprise and Education privacy and security guidance for the applicable organizational context. Do not assume the same assurances cover a personal account or every Gemini product surface.

Google says Gemini use covered by its Google Workspace for Education terms has protections against human review and use of chats and uploads to improve models. That assurance depends on actually using Gemini through the covered, managed education environment; it should not be assumed for a personal account used on a school Chromebook. A practical privacy checklist
- Check the active account: In Chrome, inspect the profile/account in use; in Gemini, verify the account shown there too. Determine whether each is personal, work-managed, or school-managed.
- For personal Gemini Apps, open activity controls: Use Gemini’s Settings & help > Gemini Apps Activity, or Google My Activity. Review and delete saved chats, then turn off Keep Activity or select a shorter auto-delete period if it suits your needs.
- Review connected apps and sharing: Connected services can have separate data handling. Deleting Gemini activity does not necessarily delete information already saved in another Google service, so check the controls and terms for each connected service.
- Keep confidential details out: Do not submit sensitive work, school, health, financial, or identifying material unless you understand the account’s policy and are comfortable with its handling.
- For managed accounts, ask the administrator: Confirm which Gemini service is enabled, whether history is retained, what retention setting applies, and which organization policies govern access and use. Do not assume you can override an administrator’s controls.
- For Gemini in Chrome, verify enterprise sign-in: Google’s cited Chrome protections require signing in to Chrome with the managed Google Account. A personal Gmail session does not qualify merely because it is on a managed Chromebook.
These retention periods and protections are Google’s statements about its services, not independent security testing.
