Back up your data, confirm the backup works, then follow the repair instructions for your exact device and provider. Don’t factory-reset by default: erasure can destroy the only copy of your files and may prevent diagnostics. Keep passwords and removable cards under your control, and ask the repair provider what access or erasure the work requires.
Before anything else: back up and verify your data
A repair may involve replacing or erasing storage. Apple says an iPhone or iPad might be erased during service, Apple recommends backing up a Mac in case its startup disk must be erased or replaced, and Microsoft warns that some Windows recovery options can cause data loss. - Back up important files, photos, contacts, and app data using a method suitable for your device. Cloud backup and a local backup drive are both possible; no single method is established as complete for every app or account.
- Check that the backup completed. If possible, open a few backed-up files or review the backup status.
- Make sure you can retrieve the backup and any recovery keys without the device being repaired. For a Windows laptop with BitLocker enabled, Microsoft says the recovery key is needed for most Windows Recovery Environment recovery options; keep it somewhere other than only on that laptop.
- Know which backup you intend to restore. Apple warns that restoring an older backup can be a concern if a newer backup may have overwritten it.
Use instructions for your exact device
Repair preparation differs by manufacturer, model, operating system, and service route. Check the provider’s current instructions before changing settings or erasing anything.

Apple’s service instructions say to back up, allow iCloud features to finish syncing, and turn off Find My for the described service process. If the device is unresponsive, complete as many steps as possible; Apple notes that some steps may be available through the Apple Account page or iCloud Find Devices. The steps can vary with software version and service eligibility. Apple also advises enabling Find My again after the service flow.

Apple’s credential guidance is direct: “Never give your Apple Account password, device passcode, or account security details to anyone else.” If software support requires you to enter credentials, Apple says to remain present while the technician has access. These are Apple’s instructions for its service pathway, not a guarantee about every independent repair provider. Follow the current steps at Apple Support: Prepare your iPhone or iPad for a service appointment.
Google Pixel and other Android phones
Google says Pixel Repair mode starts a clean Android operating system in a dedicated secure partition with limited functions, helping protect personal information during repair. Check whether your specific Pixel supports the feature and follow its on-device directions; this does not establish that other Android phones have the same mode. Google also advises removing the SIM before sending a Pixel for repair. See Google Pixel Help: Repair mode.

Mac
Back up before service because the startup disk may need to be erased or replaced. Apple’s instructions include Find My steps that depend on the macOS version. If data security is a particular concern, Apple identifies FileVault encryption or erasing all content and settings as options; it does not say every Mac repair requires a wipe. Ask the provider whether erasure would interfere with diagnostics before choosing it. Check Apple’s current Mac service instructions.

Windows laptops and Surface
Microsoft’s Windows recovery guidance warns that some recovery options can result in data loss. If BitLocker is enabled, save the recovery key somewhere accessible other than only on the laptop; it is not something to routinely send to a repair provider. This recovery page is not a universal mail-in repair checklist.

Surface has a more specific service recommendation: Microsoft advises backing up valuable data and erasing data from a Surface before sending it to a Microsoft Service Center if it can be turned on. Surface Duo has a separate reset recommendation. Follow the instructions for the exact Surface model and current service route at Microsoft Surface FAQ.
Decide what the repair provider needs
Before handing over or shipping the device, ask what access the work requires and whether data may be erased. If a provider asks for a passcode, ask why, whether there is a lower-access diagnostic option or repair mode, and whether you can enter it yourself while present. Don’t share account passwords as a routine step.

Do not reset automatically. A reset may be appropriate when required by a specific service process or chosen for data-security reasons, but it can remove the only copy of your information and may make diagnostics harder. Confirm the backup first and get the provider’s instructions before consenting to an erase.

- Remove a removable SIM or SD card when appropriate and when the service instructions allow it; keep it with you. Google specifically advises removing a Pixel SIM before repair. The FTC’s guidance to remove SIM and SD cards is written for transferring or disposing of a phone, not as a universal repair rule. See FTC advice on protecting information when transferring or disposing of a phone.
- An eSIM is not a removable card. Follow your carrier’s and manufacturer’s instructions for eSIM transfer or account access rather than trying to remove it.
- If you want to reduce what is visible while the device is locked, turn off sensitive lock-screen notification previews. Sign out of apps only if the repair process calls for it.
- Record the device’s condition, accessories you hand over, service case number, and any instructions about return or data erasure.
After the repair
- Ask whether the device was erased and check its contents before restoring or setting it up again.
- If data is missing, restore from the backup you verified and intended to use. Follow the device maker’s current restore instructions.
- Re-enable security or findability settings that were temporarily turned off for service, including Find My where applicable.
- Install updates when appropriate and check that your key files and accounts are accessible.
What a repair privacy study can—and cannot—show
A 2022 arXiv preprint, No Privacy in the Electronics Repair Industry, reports a field study involving 18 service providers, with rigged-device drop-offs at 16 of them. Its abstract describes observed privacy violations, including snooping, copying data, and removing traces. Those sample counts are not a rate for the repair industry, and the abstract alone does not establish how common such behavior is across shops.
