You can reduce the chance of a data breach by securing accounts, keeping systems patched and limiting how sensitive data is stored and accessed. These steps lower common risks; no control can guarantee that a breach will never happen. The guidance below is practical for small businesses, but legal obligations vary by industry, location and the type of information handled.
1. Make accounts harder to compromise
A stolen password can expose email, files and other connected services. Start with accounts that could unlock other systems or hold sensitive information: business email, cloud file storage, remote access, administrator accounts and services containing customer or employee data.

- Turn on multifactor authentication (MFA). Prefer a phishing-resistant method, such as a FIDO security key, when the service supports it. CISA describes app-based authentication as an alternative and SMS as a last resort. MFA can help protect an account after a password is stolen, but it does not replace the other controls in this guide. See CISA’s four cybersecurity goals and its 2025 guidance for state, local, tribal and territorial organizations.
- Use a different strong password for every service. Reusing a password lets an attacker try credentials exposed in one breach on other accounts. A password manager can help you create and manage unique credentials; NIST’s Cybersecurity Basics also recommends strong passwords and password managers.
- Remove unnecessary access. Disable inactive accounts and separate everyday user access from privileged administration where practical. Give each person only the information and system permissions needed for their job, then review access when roles change. CISA explains the value of least privilege in its four-goal guidance.
2. Patch systems before known weaknesses are exploited
Updates can fix security vulnerabilities in operating systems, applications, browsers and security tools. Set a routine for applying them, and enable automatic updates where that is practical. If systems require managed deployment, track them so updates are not silently missed.

NIST describes enterprise patch management as a lifecycle of identifying, prioritizing, acquiring, installing and verifying patches—not simply turning on an update prompt. Its SP 800-40 Rev. 4 was published on April 6, 2022. The FTC’s small-business cybersecurity guidance also recommends keeping software updated.
#1 Best Overall
- POWERFUL SECURITY KEY: The Security Key C NFC is the essential physical passkey for protecting your digital life from phishing attacks. It ensures only you can access your accounts.
- WORKS WITH 1000+ ACCOUNTS: Compatible with Google, Microsoft, and Apple. A single Security Key C NFC secures 100 of your favorite accounts, including email, password managers, and more.
- FAST & CONVENIENT LOGIN: Plug in your Security Key C NFC via USB-C and tap it, or tap it against your phone (NFC) to authenticate. No batteries, no internet connection, and no extra fees required.
- TRUSTED PASSKEY TECHNOLOGY: Uses the latest passkey standards (FIDO2/WebAuthn & FIDO U2F) but does not support One-Time Passwords. For complex needs, check out the YubiKey 5 Series.
- BUILT TO LAST: Made from tough, waterproof, and crush-resistant materials. Manufactured in Sweden and programmed in the USA with the highest security standards.
Include older or less visible systems in the process. A server, router or application that is rarely used can still create exposure if it is reachable or connected to other systems. Keep an inventory of systems that need updates and verify that critical patches actually installed.
3. Know what data you hold, limit access and protect it
Make an inventory of sensitive information, where it is stored and which people or services can reach it. Collect and retain only what the organization needs. Restrict access to job requirements, and encrypt sensitive data at rest and in transit where appropriate. CISA’s device-data guidance covers encryption for computers, mobile devices, removable media and files; NIST’s NCCoE also provides practical advice on identifying and protecting assets against data breaches.

- POWERFUL SECURITY KEY: The YubiKey 5C NFC is the most versatile physical passkey, protecting your digital life from phishing attacks. It ensures only you can access your accounts
- WORKS WITH 1000+ ACCOUNTS: Compatible with popular accounts like Google, Microsoft, and Apple. A single YubiKey 5C NFC secures 100+ of your favorite accounts, including email, password managers, and more
- FAST & CONVENIENT LOGIN: Plug in your YubiKey 5C NFC via USB and tap it, or tap it against your phone (NFC), to authenticate. No batteries, no internet connection, and no extra fees required
- MOST SECURE PASSKEY: Supports FIDO2/WebAuthn, FIDO U2F, Yubico OTP, OATH-TOTP/HOTP, Smart card (PIV), and OpenPGP. That means it’s versatile, working almost anywhere you need it
- PRIMARY & SPARE KEYS: Just like having a spare house key, we recommend buying two YubiKeys - one for daily use and one as a spare. That way you’ll never get locked out of your accounts
When information or storage devices are no longer needed, dispose of them securely rather than leaving recoverable data behind. The FTC’s Safeguards Rule guidance discusses safeguards for covered financial institutions and customer information. Its requirements should not be treated as universal rules for every business; whether they apply depends on the organization and the rule’s terms.
Keep backups for recovery
Back up important information on a schedule and test that you can restore it. A protected external drive or a properly vetted cloud service may be suitable, depending on your needs. Disconnect a removable drive when a backup is not in progress: a drive left connected may also be exposed to ransomware.

Backups help restore data and reduce disruption after an incident; they do not prevent an attacker from gaining initial access. NIST’s small-business basics, CISA’s small and medium-sized business resources and the FTC’s business guidance all address backups as part of cybersecurity preparation.
How the three steps fit together
| Control | Main risk addressed | Practical first move |
|---|---|---|
| Account security | Unauthorized access through stolen or reused credentials | Enable MFA on email, remote access, administrator and sensitive-data accounts; use unique passwords. |
| Patching and maintenance | Exploitation of known software weaknesses | Set an update process, prioritize critical and exposed systems, and verify installation. |
| Data minimization and protection | Excessive access or exposure of stored information | Inventory sensitive data, limit permissions, encrypt where appropriate and securely dispose of unneeded data. |
| Backups | Data loss and operational disruption after an incident | Back up on a schedule, test restoration and disconnect removable media between backup sessions. |
The first three controls are aimed at reducing the chance or impact of unauthorized access. Backups serve a different purpose: they support recovery if prevention fails.

If you suspect a breach has already happened
Prevention steps alone are not enough once data may have been exposed. Secure affected systems, address vulnerabilities and mobilize the incident-response team quickly to prevent further loss. The FTC’s Data Breach Response: A Guide for Business outlines steps to take after an incident.
