Before asking Gemini to work with an email, identify which Gemini feature and account you are using. Gemini Apps, Gemini features inside Google Workspace, and experimental Workspace features for personal accounts do not all have the same data terms. For confidential messages, do not paste them into Gemini Apps if you would not want a human reviewer to see them or Google to use them to improve its services. In an organization, ask your Workspace administrator what Gmail access is allowed. A setting that limits one use of data does not necessarily stop other processing or apply to every Gemini feature.
First identify where Gemini is handling the email
“Gemini with Gmail” can mean several different things: sharing Gmail content with Gemini Apps, using Gemini inside a Workspace app, or using a Workspace experimental feature with a personal account. The account type and the route the content takes matter. Protections described for Gemini inside Workspace should not be assumed to apply when content is sent to a separate service or surfaced through screen actions.

| Use case | What to keep in mind | Who can control access |
|---|---|---|
| Gemini Apps, including content shared from Gmail | Google’s Gemini Apps guidance warns against entering confidential information that you would not want a reviewer to see or Google to use to improve services. | Review Gemini Apps activity controls, but do not treat them as a guarantee that chats are never processed or reviewed. |
| Gemini used within Google Workspace | Google says Workspace data is not used to train or improve generative AI models outside Workspace without permission. For users with a Google AI plan using Gemini inside Workspace apps, Google says Workspace content is used to answer prompts, not to train or improve Gemini or other generative AI models, and prompts and outputs are not stored without permission. | A Workspace administrator can disable Gemini or limit its access to some or all Workspace data, including Gmail messages. |
| Workspace Experiments with a personal account | The experimental-feature notice says prompts, selected content, outputs, refinements, and feedback may be used to improve products and machine-learning technologies and may be reviewed by humans. | Check the terms for that experimental feature; do not assume organizational Workspace protections apply. |
These are different product contexts, not three settings within one universal privacy switch. Google’s official Gemini Apps, Workspace, administrator, and Workspace Experiments documentation describes separate terms and controls. Feature availability and notices can change, so check the terms and controls shown for the account and feature you actually use.

When comparing the contexts, ask five questions: Is this a personal account or an organizational Workspace account? Is Gemini Apps, an embedded Workspace feature, or a Workspace experiment involved? Is the email staying within Workspace, or being shared with another service or through a screen action? Can an administrator apply controls? Which activity and smart-feature settings are relevant? These questions help prevent a common mistake: seeing the Gemini name in two places and assuming the same privacy terms govern both.

What to do before asking Gemini about an email
- Classify the message. Decide whether it contains confidential business information, account or financial details, health information, legal communications, personal identifiers, or information about someone else. If your employer or another organization owns or governs the message, follow its rules before sharing it with any AI feature.
- Identify the account and feature. Check whether you are signed into a personal Google account or an organization’s Workspace account, and whether Gemini is in a Workspace app, Gemini Apps, or an experimental feature. If you cannot tell which terms apply, do not submit sensitive content until you can.
- Use the least sensitive input that will work. Instead of supplying a whole thread, provide a short, relevant excerpt or describe the task without identifying details. Remove names, addresses, phone numbers, account numbers, and other identifiers when they are not needed. This is a data-minimization practice, not a guarantee that the remaining text is anonymous.
- Check the destination, not just the source. Content selected from Gmail, copied into a Gemini Apps chat, sent through a connected service, or shown through a screen action may be handled under different terms than content processed within Workspace.
- For an organizational mailbox, check with the administrator. Ask whether Gemini is enabled, whether Gmail messages are within its permitted data access, and whether your organization has additional rules for sensitive information. Do not infer the answer from a feature being visible in the interface.
- Review the relevant settings and notice. Activity controls and smart-feature settings can affect specified future uses, but they do not necessarily turn off all processing, undo prior processing, or govern a different Gemini surface.
For confidential material, Google’s Gemini Apps Privacy Notice gives this warning: “Please don’t enter confidential information that you wouldn’t want a reviewer to see or Google to use to improve our services, including machine-learning technologies.” Treat that as guidance from Google about Gemini Apps, not as an independent security assessment or a blanket statement about every Workspace feature.
A useful final check is to imagine the prompt being read without the original email around it. Would the excerpt still disclose a customer, employee, case, or transaction? Could a combination of dates, locations, job titles, or unusual circumstances identify someone even after names are removed? If so, generalize further or do not submit it. Redaction can reduce what you share, but it does not change the terms of the destination service.
When Gemini is inside Google Workspace
Google distinguishes Workspace data handled within Workspace from data shared with other products. Its Workspace data-protection guidance says: “We do not use your Workspace data to train or improve the underlying generative AI and large language models that power Gemini, Search, and other systems outside of Workspace without permission.” For users with a Google AI plan using Gemini within Workspace apps, Google further says that Workspace content is used to answer prompts, is not used to train or improve Gemini or other generative AI models, and that prompts and outputs are not stored without permission.

Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Those statements are scoped to the described Workspace use. They do not mean that every way of sending a Workspace email to Gemini has the same treatment, nor do they establish that an organization has enabled every feature or granted access to every message. A personal account that shares Workspace data into Gemini Apps or Search for Personal Intelligence, or through screen actions such as screenshots, crosses into services with their own terms. Google warns that this shared data may be used for model training and improvement.
Keep the distinction between data use and feature access clear. A statement about how Workspace data is used does not by itself tell you whether the feature is turned on for your account, whether it can reach the Gmail content you have in mind, or whether your organization permits your particular use. Availability and terms can depend on the account and feature, so avoid extending a statement about one Workspace experience to every Gemini-labelled interaction.
What a Workspace administrator can restrict
Google says Workspace administrators can disable Gemini entirely or limit its access to some or all Workspace data, including Gmail messages. Gemini otherwise has the same Workspace access as the user, subject to additional content-owner limitations. Google’s documentation also says delegated Gmail messages are not available to Gemini through this access path.

If you need a reliable answer about an organization’s setup, ask the administrator or consult the organization’s own policy. Useful questions include:
Recommended Free Tools
- Is the feature I plan to use enabled for my account?
- Can it access Gmail messages, and are any categories of messages excluded?
- Does the organization permit prompts containing confidential or regulated information?
- Does a policy apply differently to delegated mailboxes or messages owned by someone else?
These checks establish what the organization allows; they do not replace the need to minimize sensitive input or verify that the particular feature is covered by the organization’s settings.
Access should not be inferred from what appears in your inbox. Google says the Workspace feature has the same Workspace access as the user, subject to additional content-owner limitations, and specifically excludes delegated Gmail messages through this access path. If you are working from a delegated mailbox or a message governed by another owner, ask the administrator how that limitation applies rather than assuming the email will be available to Gemini—or assuming the feature has a different access route.
Personal accounts and content shared across Google services
Do not treat a personal Google account’s connection between Gmail and Gemini as an extension of Workspace data protections. Google says personal-account Workspace data shared with Gemini Apps or Search for Personal Intelligence, or through screen actions that include screenshots, is handled under those services’ respective terms and may be used for model training and improvement.
That distinction matters even if the text started in Gmail. If you select or copy an email into a separate Gemini Apps interaction, the fact that Gmail is a Google service does not by itself establish that the Workspace-specific terms apply. The same caution applies when an interaction sends a screenshot or other on-screen content. Before sharing, consider whether the full message is necessary, whether the information can be removed, and whether the destination feature is appropriate for the content.
Cross-service sharing is not limited to pasting a complete email. A selected passage, a prompt that includes copied details, or an on-screen interaction can also carry information from one product surface to another. The key question is where the content is being processed, not only where you first read it. Check the destination service’s notice and avoid treating a personal account’s connected features as if they were all governed by organizational Workspace protections.

Workspace Experiments with personal accounts need separate caution
Experimental Workspace features used with personal accounts have a separate notice. Google’s Workspace Experiments Privacy Notice & Terms for Personal Accounts says that prompts, selected email or other Workspace content, outputs, refinements, and feedback may be used to improve products and machine-learning technologies and may be reviewed by humans. It explicitly advises users not to include sensitive, confidential, or identifying personal information.
The notice, updated in September 2026, states that Workspace Experiments Data is retained for 18 months. It also says copies reviewed or annotated by human reviewers may be retained for up to four years. These periods apply to the named Workspace Experiments personal-account notice; they are not general retention periods for Gmail, Gemini Apps, or Workspace use. Check the notice for the experimental feature you are actually using rather than applying those figures to another service.
The notice covers more than the words in the initial prompt: selected email or other Workspace content, generated outputs, refinements, and feedback are included in the described data. Avoid treating a follow-up correction, rating, or refinement as unrelated to the original sensitive material if it repeats or reveals details. If the feature is experimental and you cannot confirm its exact notice or scope, the safer choice is to leave identifying or confidential information out.

Google documents separate smart-feature controls for Workspace and for other Google products. Turning off the relevant setting stops future active use for those smart features, but Google says learnings already developed may persist. Because the controls are separate, turning off one should not be assumed to switch off the other.
Gemini Apps activity controls also have limits. Google says that even when activity is disabled, it still uses chats to respond and protect users, and chats may involve human review. Therefore, an activity setting is not a way to make sensitive content safe to submit, erase all previous learnings, or guarantee that no processing takes place.
Use the settings as one part of a decision: identify the specific feature, review its current notice, and decide whether the content is appropriate to share at all. The official guidance does not establish one universal Gemini privacy setting that controls every account type, connected service, embedded feature, and experimental program.

Before changing a setting, be clear about what it is intended to control. The smart-feature controls described by Google are separate for Workspace and other Google products; changing one is not evidence that the other has changed. The stated effect is prospective active use for the relevant smart features, while learnings already developed may persist. Likewise, an activity control for Gemini Apps does not prevent the service from using chats to respond and protect users. Settings can narrow a specified use, but they are not a substitute for deciding whether the email should be shared in the first place.
Safer ways to get help with an email
Ask for a general task, not a full-message review
If your goal is to improve tone or understand a common phrase, describe the situation in general terms rather than pasting the entire email thread. For example, ask for a polite way to request a deadline extension without including the sender’s name, employer, project details, or private explanation.
Remove details that are not necessary
When a relevant excerpt is genuinely needed, remove identifying and confidential details first. Replace them with neutral descriptions such as “the customer,” “the account,” or “the proposed date.” Keep in mind that removing a name alone may not remove identifying context: a rare job title, location, event, or combination of details can still reveal who is involved.
Do not use Gemini as a permission workaround
If a message is covered by an employer’s confidentiality, legal, privacy, or data-handling rules, do not paste it into another product merely because a Gemini feature is available. Ask the appropriate administrator or policy owner whether the exact feature and content are permitted. A tool’s ability to accept a prompt is not evidence that the organization has approved that use.
Verify important outputs outside the prompt
When Gemini drafts a response or summarizes a message, check names, dates, amounts, commitments, and instructions against the original email before acting. Do not send sensitive information back in a reply unless the recipient and content are appropriate. This is a practical accuracy and handling check; it does not change Google’s data terms.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteThese alternatives are most useful when the task does not require the underlying confidential facts. A tone rewrite may need only the intended level of formality; a general explanation may need only a paraphrase of the phrase in question. If accurate help depends on facts that would disclose a confidential matter, do not assume that anonymizing a few fields makes the prompt safe. Either get approval for the exact feature and data or handle the work without submitting that content.
Best Value
A quick decision rule
- Personal Gemini Apps and confidential email: Do not submit information you would not want a reviewer to see or Google to use to improve services.
- Organization Workspace email: Confirm that the feature is operating within the organization’s Workspace context and that administrator settings and policy permit the access.
- Personal-account data sent across services or by screen action: Treat it under the destination service’s terms, not as automatically covered by Workspace protections.
- Workspace Experiments on a personal account: Avoid sensitive, confidential, or identifying data and read the experiment’s specific notice.
- Unclear product surface or unclear policy: Do not share the sensitive email until the scope is clear.
If you cannot answer the basic questions—what account you are using, which Gemini surface receives the content, whether an administrator has restricted access, and which settings or notice apply—pause. You do not need to resolve every detail before asking for general help, but you should not send confidential email while the data path is unclear.
Frequently Asked Questions
Is it safe to paste a confidential Gmail message into Gemini?
That depends on the specific Gemini feature and account, but Google’s Gemini Apps guidance says not to enter confidential information you would not want a reviewer to see or Google to use to improve its services. For organizational email, confirm the exact Workspace feature and your organization’s policy before sharing it.
Does Gemini inside Google Workspace use my emails to train AI models?
Google says Workspace data is not used to train or improve generative AI models outside Workspace without permission. For users with a Google AI plan using Gemini inside Workspace apps, Google says Workspace content is used to answer prompts and is not used to train or improve Gemini or other generative AI models; prompts and outputs are not stored without permission. These statements apply to the described Workspace use and should not automatically be extended to data shared with other services.

Can my Workspace administrator stop Gemini from accessing Gmail?
Google says administrators can disable Gemini entirely or limit its access to some or all Workspace data, including Gmail messages. Ask your administrator what is enabled for your account and what organizational rules apply. Google also says delegated Gmail messages are not available to Gemini through this access path.
Does turning off Gemini Apps activity stop all processing of chats?
No. Google says Gemini Apps still uses chats to respond and protect users when activity is disabled, and chats may involve human review. Activity controls should not be treated as a way to make confidential prompts safe or to stop all processing.
Do Workspace smart-feature settings and Gemini Apps activity controls do the same thing?
No. Google documents separate smart-feature controls for Workspace and other Google products. Turning off the relevant setting stops future active use for those smart features, but learnings already developed may persist. Gemini Apps activity controls have their own limits and do not govern every product surface.
How long does Google retain Workspace Experiments data?
Google’s Workspace Experiments Privacy Notice & Terms for Personal Accounts, updated in September 2026, states 18 months for Workspace Experiments Data and up to four years for copies reviewed or annotated by human reviewers. These periods apply to that named experimental program and personal-account notice, not generally to Gmail, Gemini Apps, or Workspace.
The Bottom Line
Identify the account, Gemini feature, and destination before sharing email. Use Workspace protections only for the Workspace context they describe, ask an administrator about organizational Gmail access, and do not rely on activity or smart-feature settings to stop all processing. If the message is confidential and the applicable terms or permissions are unclear, keep it out of the prompt.
