Protect client data in AI-powered onboarding by limiting what you collect, mapping every system and person that can access it, checking how the AI and vendor use it, and setting security, retention, and deletion controls before launch. Identity documents, images, video, biometrics, and attributes inferred from them can all be sensitive; uploading them is not automatically safe just because a service is AI-powered.
Map the data flow before choosing or configuring a tool
Start with the complete path from a client’s device to deletion—not just the onboarding screen. Record which data is captured, why it is needed, where it goes, and who or what can access it. Include the identity provider, AI components, case-management tools, storage, logs, support access, and any subprocessors.

This map gives you a basis for assessing privacy risk and spotting unnecessary collection. NIST says identity proofing should process only the minimum information needed to validate the claimed identity, associate it with the applicant, mitigate fraud, and provide attributes used for authorization decisions. Its guidance also calls for assessing processing beyond identity proofing and enrollment, including retention and other uses. See NIST SP 800-63A, Identity Proofing and Enrollment.

For each field or image, write down its purpose and recipient. Remove information that serves no identity-validation, fraud-prevention, or documented business or legal purpose. Do not assume that information collected for onboarding can also be used for unrelated analytics or model training; assess that separate purpose and its legal basis before allowing it.
Check what the AI does and what the vendor does with data
Document where AI or machine learning is used and what it can influence. Identity systems may use AI for biometric matching, evidence validation, fraud detection, or user assistance such as chatbots. Record whether an output affects acceptance, rejection, or escalation, and define a human review or alternative route for uncertain results and errors.

Ask the vendor for clear, written answers to these questions before sharing client data:
- What personal data, document images, video, or biometric information does the service collect, and what is each item used for?
- Does the vendor use client data to train or improve models? Can that use be disabled or prohibited by contract, and does the restriction cover subprocessors?
- What training methods and datasets are relevant to the system, how often are models updated, and what testing results can the vendor provide?
- Where is data stored, which subprocessors receive it, and what access can vendor personnel or support teams have?
- How can your organization export or delete data, including copies held in logs, backups, and vendor systems?
- What human review, correction, or appeal route is available when a match or automated decision is wrong or inconclusive?
- What evidence supports the vendor’s stated privacy and security commitments, and which commitments are contractual?
NIST’s digital identity guidance says AI/ML use should be documented and communicated, and calls for information about training methods and datasets, model-update frequency, and testing results. It also calls for a documented privacy risk assessment when AI/ML identity systems process personal information. These are useful diligence points, not a certification that a vendor or product is safe. See NIST SP 800-63-4, Digital Identity Risk Management.

Put access, encryption, and deletion controls around the full path
Apply security controls to every system in your data-flow map, not only the AI vendor’s main application. For covered financial institutions, FTC Safeguards Rule guidance describes a written information-security program, an inventory of data and systems, periodic access reviews, encryption in transit and at rest (or approved alternatives where encryption is infeasible), multifactor authentication, and secure disposal subject to exceptions. - Restrict access: Give staff access only where their work requires it, review permissions periodically, and remove access when roles change. Use MFA for staff access to customer data where applicable.
- Protect stored and transmitted data: Encrypt it in transit and at rest, and verify the protection across integrations, exports, logs, and support workflows.
- Set retention and disposal rules: Define how long each data type is needed, who authorizes exceptions, and how deletion is verified across systems and vendors. FTC guidance for covered financial institutions describes disposal no later than two years after the most recent use to serve the customer, subject to exceptions for legitimate business need or legal requirements. That is a rule-specific detail, not a universal retention period.
Biometrics and identity documents need a specific risk decision
AI onboarding can involve face images, video, scans, or biometric matching, but that does not mean every workflow needs them. Decide whether the additional data is necessary for the identity task and whether a less intrusive method can meet the need. Assess the privacy risks of collection, matching, retention, and any use outside identity proofing before enabling the feature.

There is no blanket answer that uploading an identity document to an AI onboarding tool is safe. Treat it as a sensitive-data transfer: establish the purpose, confirm the vendor’s data uses and deletion terms, limit access, and apply the controls above before upload. NIST’s identity proofing guidance addresses privacy risk in enrollment, including AI/ML processing and additional verification steps.

Match legal obligations to your organization and jurisdiction
The FTC Safeguards Rule guidance applies to covered financial institutions, not every business. Other organizations need to identify the requirements that apply to their sector, locations, data, role in processing, and contracts. The FTC’s data security guidance and business guide to protecting personal information provide general information, but do not determine every organization’s obligations.

NIST SP 800-63 is digital identity guidance and is not automatically binding on every private-sector onboarding provider. The NIST AI Risk Management Framework is voluntary guidance for managing AI risks through design, development, use, and evaluation; it can help structure ongoing oversight but does not replace applicable law or a security program. Verify legal duties for your situation rather than treating a framework or vendor assurance as proof of compliance.
