Use an AI research tool with customer data only when your organization has approved the specific service, account, and workflow for that data. Then share the minimum necessary—preferably synthetic, aggregated, or genuinely de-identified information—and verify how the service handles training, retention, access, integrations, and regional processing. Disabling model training alone does not address every exposure risk.
Can you put customer data into an AI research tool?
Only if the exact service and configuration are approved for the information and purpose involved. A provider’s general privacy statement is not enough: the answer may depend on the product, account tier, enabled features, contract, and settings. Confirm those details before staff submit customer information.
The Information Commissioner’s Office (ICO) puts the principle plainly: “There is no ‘one-size-fits-all’ approach to security.” Its guidance says to assess security in light of processing risks and to consider the software components, data flows, workflows, and business processes together.
What to establish before use
- Identify the service: record the product, account tier, enabled AI features, and any connected apps or data sources.
- Confirm organizational approval: check the internal policy and, where relevant, the organization’s contract and data-processing arrangements. Do not assume an employee’s individual account is an approved business tool.
- Match the tool to the task and data: determine whether the proposed use and type of customer information are permitted under the organization’s rules and applicable obligations.
- Check the live terms and settings: verify the controls for the particular service rather than relying on a broad statement about a provider’s products.
How can you reduce the customer data you submit?
Start with the research question, then remove anything the tool does not need to answer it. For example, a request to summarize common support themes may need issue categories and short excerpts, not names, email addresses, account numbers, or a complete customer-history export.

Use the least revealing input that works
- Remove direct identifiers such as names, contact details, account IDs, and precise addresses when they are not necessary.
- Omit unnecessary dates, locations, rare attributes, and contextual details that could identify someone when combined.
- Prefer aggregated findings, synthetic examples, or genuinely de-identified data when they can support the task.
- Limit the amount of text, number of records, and time period submitted to what the analysis requires.
- Review uploaded files and pasted text for hidden or overlooked customer details before sending them.
Replacing a name with a code or pseudonym is not necessarily anonymization. A person may still be identifiable from other details in the prompt or by combining the input with other information. NIST’s 2024 Generative AI Profile describes privacy risks that include potential memorization or disclosure of personal data and inferences about sensitive information from combined data. These are risks to assess, not a prediction that every model will reveal a particular person’s information.
Will an AI tool train on customer data?
There is no answer that applies to all AI research tools. Check separately whether prompts, uploaded files, outputs, and feedback may be used for model training or other service improvement. Then check retention, deletion, access, and logging: a service can exclude content from training while still processing or storing it to provide the service or under other terms.

OpenAI illustrates why product and account details matter
OpenAI’s published materials distinguish individual services from business services. Its policy says content from individual services may be used to improve models unless the user opts out, while business inputs and outputs are excluded by default unless the organization opts in. OpenAI’s business privacy information also says inputs and outputs from its listed business products and API are not used to train models by default. These are OpenAI’s statements about specified services, not guarantees for every product or vendor. Check the current terms and settings for the exact service before relying on them.
OpenAI also describes encryption in transit and at rest, retention controls for qualifying organizations, and regional data-storage and processing options for eligible customers and supported products or endpoints. Eligibility and scope matter; do not assume a control applies to every account, feature, or endpoint.

OpenAI’s explanation of how its foundation models are developed describes public information, partnership data, and information provided or generated by users, contractors, and researchers as sources used in training, alongside safeguards intended to reduce personal information. That is the provider’s account of its own processes, not independent validation or a description of all AI research tools.
What should you check in the service and workflow?
Assess the entire path customer information takes, from the person who submits it to any system that receives, stores, or uses it afterward. The ICO recommends a holistic view of software components, data flows, workflows, and business processes because security needs depend on the risks of the processing.

Also decide where generated summaries or extracted findings will be stored, who can view them, and whether they may be shared outside the organization. Protecting the original prompt does not automatically protect copies in logs, exports, shared chats, or downstream documents.

AI systems can expose or infer personal information, and combining data can make people identifiable or reveal more about them than any one source does alone. NIST’s Generative AI Profile discusses potential memorization or disclosure and sensitive inferences; its cybersecurity and privacy resource also identifies re-identification, expanded insights about people, and amplified tracking or surveillance as risks. NIST notes that inaccurate inferences can cause harm too.

These are reasons to evaluate the use case and its data, not claims that a specific system will disclose a specific customer’s information. Consider whether the task could expose a person, create a sensitive inference, or lead staff to rely on an inaccurate conclusion. Provider assurances are one part of the assessment, not a substitute for it.
How do legal and policy requirements affect the decision?
Applicable controls and legal obligations depend on factors such as jurisdiction, purpose, data type, organizational role, and contract. The guidance described here supports a practical risk assessment but does not determine whether a particular organization’s proposed use is lawful or compliant. Where that answer is material, have the appropriate privacy, security, or legal owner assess the specific service, data, and use before submission.
