OpenAI says content in ChatGPT Business, Enterprise, Edu, Healthcare, Teachers, and the API platform is not used to train its models by default. That safeguard is separate from chat history, deletion, administrator access, sharing, retention, and where data is stored or processed.
Start with the account you use for work
ChatGPT’s data protections depend in part on whether you use a personal account, an organization-managed workspace, or the API. These options differ in who controls settings and data, not just in whether conversations are used to train models.

OpenAI’s business data privacy, security, and compliance page describes the default training approach for its listed business products and API. “Not used for training by default” does not by itself mean that data is immediately deleted, inaccessible to administrators, or appropriate to submit under your organization’s rules.

Set a safe boundary before entering work information
Use the tool and account your organization has approved. Before entering customer data, confidential business material, personal data, regulated information, or credentials, check the applicable company policy or ask the workspace owner. Requirements depend on your industry, location, contracts, data type, and product configuration; using a business product alone does not establish legal or contractual compliance.

- Remove details that are not needed. Replace names, account numbers, addresses, or identifiers with neutral labels when the task can be completed without them.
- Never paste passwords, API keys, authentication codes, or other secrets into a prompt. Use approved secret-management tools for credentials.
- Use only approved files, connectors, and integrations. Confirm what data a connected service can access and what it can send to ChatGPT.
- Share the smallest relevant excerpt of a document rather than an entire customer record or company archive.
- Review generated content before using it, especially if it contains personal or confidential information, or will be sent to a customer or used in a business decision.
Personal accounts: turn off model improvement without confusing it with deletion
If your organization permits work use in a personal ChatGPT account, you can turn off model improvement for new conversations at Settings → Data controls → Improve the model for everyone. OpenAI says that when this control is off, new conversations are not used to train its models. This setting does not remove existing conversations from your history. See OpenAI’s Data controls in ChatGPT for the current behavior and available controls.
If you want a conversation to stay out of history, Temporary Chat has different behavior: it does not appear in chat history, does not create or update memories, and is not used to improve models while temporary. OpenAI says Temporary Chats may nevertheless be retained for up to 30 days for safety purposes. It is not a substitute for an approved work account or a guarantee of immediate deletion.

Managed workspaces: understand administrator access and sharing
A managed account remains subject to organizational control. OpenAI states that an administrator can access and control data in a managed ChatGPT account. Ask your administrator or workspace owner which people or roles can access data and what retention, enabled-feature, integration, audit, export, or deletion rules apply. OpenAI’s managed-account data access guidance explains the provider’s account-level notice.

Workspace membership does not necessarily make every chat visible to every other member: OpenAI says ChatGPT Business chats are not automatically visible to other members. But users can share conversations. Before creating or sending a shared link, inspect the conversation and any included file content, and follow your organization’s sharing policy. Check retention, deletion, and residency separately
Retention and deletion
Model-training controls, saved chat history, retention periods, and deletion are distinct. Review the relevant product controls and your organization’s policy rather than assuming that disabling model improvement deletes chats. OpenAI says qualifying organizations may have configurable retention controls; eligibility and configuration depend on the offering and organization. Check the current business data privacy information and your organization’s terms for what applies.
Storage region and processing
Data residency concerns where data is stored at rest; it does not necessarily identify where inference or every other processing activity occurs. OpenAI’s ChatGPT Business storage guidance describes a residency rollout and its at-rest scope, including U.S. abuse-monitoring caveats. Confirm current eligibility, region, and processing details for the specific product and configuration before relying on residency for a contractual or regulatory requirement.

Provider safeguards are only one part of the decision
OpenAI describes encryption and other safeguards for business data, but encryption does not determine whether a particular use of customer or company information is permitted. Your organization still needs to assess access, retention, sharing, integrations, and applicable obligations. OpenAI Academy’s data governance and compliance resource outlines workspace governance questions, including retention, integrations, sharing, and audit or e-discovery.

A practical pre-prompt check
- Confirm the account: Is this the organization-approved workspace or API configuration for the task?
- Check the data: Does policy allow this category of information in this tool? Remove identifiers and secrets that are not necessary.
- Check access and connections: Are the relevant integrations enabled and authorized? Could a shared chat or file expose information to unintended people?
- Check lifecycle rules: Do you know who administers the account and what retention, deletion, export, or audit rules apply?
- Escalate uncertainty: Ask your administrator, security or privacy team, or legal team before submitting sensitive or regulated information when the policy or configuration is unclear.
