If they are unsure or say no, use a fictional or substantially changed scenario instead.
Decide whether you need the real story
Start with the learning objective, not the anecdote. Ask whether a composite, fictional, or broadly generalised example would teach the same point. A real experience is not automatically necessary because it is memorable or readily available.

This is a practical way to reduce privacy risk: the fewer personal details involved, the less there is to expose or infer. UNESCO’s guidance on generative AI in education calls for a human-centred, age-appropriate approach and protection of data privacy: UNESCO guidance.
Get informed agreement and set boundaries
Before entering anything into an AI tool, explain in plain language what you want to create, which tool or workflow you plan to use, who will see the result, and whether it might be published or reused. Explain that the tool may process the prompt. Ask which details the relative considers private and what they do not want included. Agreement to tell you a story is not automatically agreement to put it into an AI system or share an output.

Record the boundaries in a way that suits the situation, and follow them when drafting and sharing. If agreement is refused, unclear, or withdrawn, do not use the identifiable story; switch to a fictional or substantially altered example. The UK Department for Education advises schools and colleges to make sure pupils and parents or guardians understand AI processing and to seek agreement when personal data is used in an AI tool: Department for Education guidance.
If the person is a child or cannot meaningfully agree, involve the appropriate parent, guardian, or responsible decision-maker and follow the law and policy that apply to your setting. A specific UK ICO rule says parental consent applies to children under 13 in the described direct-to-child online-service context when consent is the legal basis. That narrow rule is not a universal age threshold for every AI learning project: ICO children’s code guidance.

Remove details the lesson does not need
Use only the information necessary to teach the point. Names, exact dates, locations, rare occupations, unusual events, and family relationships can all act as clues. Their combination may identify someone even when each detail seems ordinary on its own.

- Replace a precise date with a broad period, if timing matters at all.
- Replace a town or venue with a wider region or general setting.
- Broaden a distinctive job, medical circumstance, or event to the relevant general category.
- Leave out family relationships or background details that do not help explain the lesson.
The ICO explains that anonymising free-text material can require both masking identifiers and generalising details, with careful human judgement: ICO anonymisation guidance and ICO Anonymisation: managing data protection risk code of practice.

Do not mistake a changed name for anonymity
Removing a name or replacing it with a pseudonym does not guarantee that the story is anonymous. A relative, neighbour, colleague, or student who knows the family may recognise a distinctive combination of place, occupation, timing, relationships, and events. Consider what the intended audience already knows, not just what a stranger could infer from the text alone.
If a person can still be identified, treat the material as personal information and apply the safeguards appropriate to your situation. ICO guidance describes identifiability as contextual: personal knowledge and the audience’s ability to link details to a person matter. It also recommends justifying anonymisation decisions and revisiting them if circumstances change. Asking an AI tool to “anonymise” text is not a substitute for that review.

Check the specific tool before you submit anything
Privacy practices vary by service, account type, and settings, so check the tool you will actually use rather than assuming that all AI systems handle prompts alike. Review current terms and controls for:

- Whether prompts and uploaded files are retained, and for how long.
- Whether submitted information may be reviewed or used to improve models.
- Who can access prompts, including administrators or other users in a shared workspace.
- Whether and how you can delete prompts, files, and related data.
- Whether the tool is approved for your school, workplace, or other setting.
Do not enter personal information unless it is necessary and permitted by the rules and policies that apply. If you cannot establish that the tool and setting are appropriate, use a fictionalised or more general prompt. UNESCO’s privacy principles and UK education guidance support these precautions; they do not establish the current practices of any particular commercial AI provider.

Review the output before sharing it
AI-generated material can reveal details you did not intend to include, preserve clues from the prompt, or introduce inaccurate details. Read the output carefully before distributing it.
- Look for identifying combinations, including details the AI has added or rearranged.
- Check for sensitive information the relative did not agree to share.
- Ask whether the relative or someone who knows them could recognise the story.
- Verify that the learning content is accurate and revise misleading material.
- Restrict access to drafts and remove working files when they are no longer needed, following the relevant policy.
Keep human judgement in charge of what is retained and shared. UNESCO’s recommendations emphasise human-centred use, and ICO guidance treats identifiability as something to assess in context.
What the law can—and cannot—be assumed to require
In the UK, personal data must be protected under data protection legislation. The Department for Education’s guidance addresses schools and colleges, while ICO guidance covers matters such as anonymisation and children’s information. The legal basis for using information, any consent requirement, and the handling of sensitive information depend on the project and circumstances. Personal use and institutional use may raise different obligations.
These UK sources do not settle the duties that apply to every person or project, and they do not establish whether a particular story contains legally protected sensitive information. If the project is for an organisation, follow its policies and consult the appropriate responsible person. Readers elsewhere should check the rules in their own jurisdiction.
