Build the campaign around a verified stream destination, a relevant announcement, a small number of useful reminders, coordinated promotion elsewhere, and a thoughtful follow-up.
1. Set the viewer promise and publish the destination
Choose a specific audience and topic, then write one sentence describing what viewers will learn, see, ask, or do during the broadcast. That live-specific value gives people a reason to attend at the scheduled time instead of treating the stream as just another link.

Create the scheduled stream or event page before sending invitations. Test the destination and use that same working URL in the email and other promotion. YouTube Help recommends sharing the streaming link at least 48 hours before going live, along with using a teaser, social posts, and an embedded stream link on a website (YouTube Help: Promote your live stream).
2. Send an announcement to the right audience
Make the first email an invitation, not a vague “we’re going live” notice. State who the stream is for, the topic, what someone can expect, and the next action—register or add the event, depending on how the platform works.

- Use a subject line that names the topic or outcome.
- Explain the benefit of attending live, such as seeing a demonstration or having a chance to ask questions, only if those things are actually planned.
- Put the date, start time, time zone, and registration or join link where they are easy to find.
- Segment the list when subscribers have meaningfully different interests; Mailchimp recommends tailoring webinar invitations to audience interest (Mailchimp: Webinar email marketing).
Avoid promising a result the broadcast cannot deliver. A clear, credible reason to attend is more useful than an exaggerated claim.
3. Plan reminders by purpose, not by habit
There is no single proven cadence for every list. Published examples offer starting points, not controlled evidence of an optimal schedule: Mailchimp suggests announcing two to three weeks ahead and adding reminders as the date approaches, while Zoom describes a three-to-four-message sequence with an invitation, value reinforcement, a reminder 24–48 hours before, and a same-day reminder (Mailchimp; Zoom: Webinar marketing).

Space messages according to how far ahead you announced the event and how often your audience expects email. Each follow-up should add or foreground useful information rather than simply repeating urgency. For people who register, include a calendar link where possible and set automated reminders if your event setup supports them; LinkedIn recommends calendar links and automated registrant reminders (LinkedIn: How to promote your LinkedIn Live).

4. Coordinate email with other channels
Use the same event promise and destination across your website and owned social channels. If a co-host or partner is promoting the broadcast, agree on the description, schedule, and link so their audience gets the same accurate information. Cross-channel promotion is a sensible way to make the event discoverable; the cited guidance does not establish a specific attendance increase from adding a partner.
5. Follow up with a replay or useful next step
After the stream, send attendees any resources or next steps you promised. If a recording is available, send non-attendees a replay invitation rather than assuming they watched live. Keep follow-up relevant and respect subscribers’ consent and communication preferences.

YouTube says live streams are archived by default and recommends making public archives available, organizing them into playlists, and creating highlight clips (YouTube Help). Availability and archive settings can depend on the platform and stream configuration, so check the actual event before telling viewers a replay will be available. Mailchimp also recommends follow-up with a thank-you message, resources, and a recording when one exists (Mailchimp).

6. Measure which promotion brought viewers
Do not judge the campaign only by how many emails were sent or opened. Where your event platform exposes the data, compare registrations and live attendance by source. Use distinct tracking links or parameters for email, social posts, and partner promotion so the sources can be distinguished; LinkedIn recommends unique tracking parameters across tactics, and Zoom describes tracking registration sources (LinkedIn; Zoom).

What the available survey data can—and cannot—tell you
Zoom’s 2026 article, summarizing its Webinar Audience Behavior Report, says 26% of surveyed attendees first heard about a webinar through an email invitation. Zoom states that its analysis covered more than 9 million webinar sessions and that it surveyed 1,000 attendees; it also reports that most attendees in its report discovered and registered within two to fourteen days of the event. These are Zoom-reported findings about webinar audiences, not a universal measure of how people discover every kind of livestream or proof that a particular email cadence will raise attendance (Zoom: Webinar marketing).
