First find where the duplicate begins: in Zap History, check whether one Zap run reaches its screenshot action more than once, or whether separate runs each reach it. Then apply the fix that matches the cause. Zapier’s polling-trigger deduplication is not a universal safeguard for instant triggers, separate Zaps, retries, or repeated screenshot actions.
Find where the duplicate starts
- Open Zapier’s Zap History and compare the runs that produced the repeated screenshots.
- Open each run and inspect the input and output at every step, especially the trigger and screenshot action. Determine whether one run repeated the action or multiple runs were created.
- Check for broad trigger conditions, another Zap watching the same event, a workflow action that feeds its own trigger, loops, or a timeout followed by a replay. Zapier identifies these as possible causes of duplicate output. See Zapier’s duplicate-data troubleshooting guide.
- If the trigger is a webhook, inspect the incoming payload for a top-level array; Zapier may create a separate run for each object in it.
This diagnosis matters because trigger deduplication, filtering, shared storage, and queueing address different failure points.

Choose a safeguard for the cause
| Control | Best for | Important limitation |
|---|---|---|
| Polling-trigger deduplication | A polling trigger that returns a stable, unique item ID. | Does not apply to instant triggers; the check is within one Zap, not across separate Zaps. Zapier Help Center. |
| Filter | Allowing only the intended page, status, or event to continue. | Requires a reliable field and condition in the trigger data. Zapier Help Center. |
| Find-or-create | A destination app that can look up an existing screenshot record before creating one. | Depends on the destination app supporting the lookup/create action. Zapier Help Center. |
| Storage or database key | Suppressing the same page or job across runs or Zaps. | Requires a stable key, shared state, and a design that accounts for retention, plan limits, and concurrent runs. Zapier Help Center. |
| Delay After Queue | Spacing work from multiple runs that target a shared resource. | Serializes queued work but is not an identity-based dedupe guarantee or strict lock; overlap can still occur. Zapier Help Center. |
| Change webhook payload shape | One webhook array is unintentionally becoming several runs. | Requires control over the sender’s payload format. Nest the array inside an object when the intended unit is one run for the whole payload. Zapier Help Center. |
Check what trigger deduplication does—and does not—cover
For polling triggers, Zapier compares each item’s unique ID with IDs the same Zap has already received. A new ID can start a run; an ID already seen by that Zap does not. The ID must be stable and unique for the item. Instant triggers do not use this polling deduplication process, and separate Zaps do not share the check. Do not rely on it to prevent duplicate screenshots across multiple workflows. Zapier Help Center.
Polling frequency is separate from deduplication. Zapier’s trigger guide lists default intervals of 15 minutes for Free, 2 minutes for Professional, and 1 minute for Team and Enterprise. These are plan defaults in the guide, not a promise for every app or trigger: app minimums and available settings vary. Check Zapier’s trigger behavior and polling intervals for current details.

Use a stable key to prevent repeats across runs
If the same page can arrive in separate runs or through separate Zaps, use shared state rather than expecting trigger deduplication to recognize it. A normalized page URL is one possible key; a stable screenshot-job ID is another. The right key depends on what counts as “the same” in your workflow: for example, you may want one screenshot per URL ever, or one per URL per scheduled interval. Zapier’s general guidance does not define a screenshot-specific key, so choose and test the identity rule for your use case.
- Before the screenshot action, look up the key in Storage by Zapier or a database shared by the relevant workflows.
- If the key is already recorded, stop or route the run away from the screenshot action.
- If it is not recorded, continue and record the key according to your workflow’s chosen acceptance point—for example, when the screenshot job is accepted.
- Decide how long a key should suppress another capture. Expiring or removing keys permits future screenshots; retaining them longer prevents more repeats but requires storage management.
Storage by Zapier’s documentation says it is available on Professional, Team, and Enterprise plans, not Free, and that keys are deleted after two months of inactivity. It also documents a 32-character key limit and 500 keys per account. The Storage documentation and its examples page give conflicting value-size limits, so do not build around a particular maximum without checking the current documentation for the specific action you use. A lookup followed by a write is not automatically an atomic lock. If two runs check the same previously unseen key at nearly the same time, both may pass the check before either records it. For workflows where that race matters, use a datastore or destination operation that supports an atomic uniqueness constraint, or reduce concurrent processing and test the remaining risk.

Filter or find an existing result when that is enough
If the trigger includes a dependable field such as page URL, status, or event type, add a Filter before the screenshot action and allow only the intended values through. A filter narrows what proceeds; it does not remember that another run already captured the same page.

If the destination app stores screenshot records and supports a lookup or find-or-create action, use it to check for an existing record before creating another. This can prevent duplicate records there, but confirm whether it also avoids the screenshot capture itself: a downstream dedupe step may stop a second record while still allowing the screenshot action to run.
Handle queues and webhook arrays accurately
Queue concurrent work without treating it as a lock
Delay After Queue can process runs one by one with a delay, which is useful when several workflows target the same resource. It does not determine whether two jobs represent the same page. Zapier warns that infrastructure slowdowns and automatic or manual replays after errors may still cause steps to run at the same time. Use a stable key for identity-based suppression; use a queue only to manage pacing. Zapier’s Delay After Queue guidance.

Keep a webhook array together when one run is intended
Webhooks by Zapier may fan a top-level array out into separate runs, one per object. If the desired unit is one run for the entire payload, change the sender’s JSON shape so the array is nested inside an object, then test the received data and run count. If each array object is supposed to be processed separately, the multiple runs are expected; deduplicate individual pages with a stable key instead. Zapier’s webhook guidance.

Troubleshoot common duplicate patterns
- Two runs have the same page input: Check whether the trigger is instant, whether another Zap uses the same event, or whether a timeout/replay created another run. Add a stable-key check if repeats must be suppressed across runs.
- One run reaches the screenshot action twice: Inspect loops, paths, and step configuration in that run. Change the branch or loop condition so the capture action is reached only for the intended item.
- A polling trigger sees the same item again: Verify that its unique ID is stable and unique. If IDs change between polls, the trigger may not recognize the record as previously seen; use a stable application-level key if needed.
- Different Zaps each capture the page: Trigger deduplication is per Zap. Coordinate them with shared storage or a shared database key, or consolidate the work into one Zap.
- A screenshot record is duplicated but the capture should not be: Put the duplicate check before the screenshot action, not only before the destination’s create-record action.
- A webhook creates one run per list item: Check whether the payload has a top-level array. Nest it inside an object if the whole payload should be one run.
- A queue still allows overlap: Do not treat Delay After Queue as a hard lock. Add identity-based suppression and account for replays and simultaneous runs.

Zapier’s API by Zapier “New Item from API” trigger can let users choose a response array and a deduplication key, including a simple ID or a composite ID plus update timestamp. Zapier labels this feature beta and says it requires a paid account; it applies only if you use that trigger, not as a general switch for existing screenshot workflows. Check the API by Zapier trigger documentation for current availability.
Frequently Asked Questions
Do Zapier polling intervals determine whether a screenshot is duplicated?
No. Polling intervals affect how often a trigger checks for items; deduplication depends on the trigger’s item IDs and applies only within that Zap.
Will Delay After Queue guarantee that a screenshot runs only once?
No. It spaces queued work, but it does not identify duplicate page jobs and Zapier cautions that overlap can still occur.
