Practical rule: Don’t submit information an AI task does not need. A prompt is information sent to an AI service, so check it for sensitive details before you submit it. Redaction, placeholders, and summaries can reduce risk, but they do not guarantee secrecy; pair careful prompting with your organization’s approved tools and access controls.
What information should you pause over?
Sensitivity depends on context, not just whether a detail looks like a password. Personal information can identify or describe a customer, employee, patient, or other person. NIST’s SP 800-122, published in April 2010 for federal agencies, describes how to identify personally identifiable information (PII) and select protections appropriate to the context. Its guidance is federal in scope, but the central practical point is useful more broadly: assess the information and the harm that could follow from its exposure.

- Personal records: names tied to customer or employee records, contact details, account identifiers, and other identifying details.
- Financial or health information: payment information, financial records, diagnoses, medical documents, or insurance details.
- Business-confidential material: unreleased plans, internal reports, customer data, product details, or nonpublic financial information.
- Credentials and technical secrets: passwords, API keys, access tokens, connection strings, and other secrets that grant access to systems.
- Legal material: contracts, case documents, privileged communications, or other documents subject to confidentiality obligations.
When unsure, treat the content as sensitive until you have checked the applicable policy and the specific AI service’s terms.
How to reduce exposure before submitting a prompt
Use the least amount of sensitive information needed to get a useful result. OWASP recommends sanitization and user education as ways to reduce sensitive-information disclosure risk in generative AI applications.

- Remove details the task does not require. If you need help improving a customer-service reply, you may not need to include the customer’s full name, account number, or contact information.
- Redact or replace identifying details. Replace names and identifiers with labels such as [Customer A] or [Account ID]. Remove direct identifiers and unnecessary sensitive details rather than assuming that a partial mask is sufficient.
- Summarize instead of pasting a whole document. Provide only the relevant, approved excerpt or a description of the issue. A full source document can contain details unrelated to the task.
- Use synthetic examples where practical. Replace real records with invented details that preserve the structure of the problem without reproducing actual personal or business information.
- Check the final prompt. Look for hidden or easy-to-miss material, including pasted email signatures, document comments, metadata, credentials, and details in quoted text.
These steps lower the amount of sensitive material shared; they are not a promise that submitted information will remain confidential.
Check the service and your organization’s rules
Privacy labels or general assurances are not enough to establish how a particular service handles your content. Before using an AI tool for work or sensitive information, check the current terms and settings for the specific service and account you will use. Policies and controls can differ by product, plan, configuration, and date.

- Collection: What prompt and file data does the service collect?
- Retention: How long is submitted content kept, and under what conditions?
- Training use: Is submitted content used to improve or train models, and can that use be controlled?
- Deletion: What deletion options exist, and what do they cover?
- Administrative and access controls: Can an organization manage who can use the service and which features are available?
- Approval: Does your employer, client, or other responsible organization permit this tool and this type of information?
Do not assume an account setting, deletion option, or plan feature applies universally. Confirm it for the service and configuration in use, and follow your organization’s policy where one applies.

What organizations should control
For workplace AI systems, confidentiality cannot rest on a user’s prompt wording or on the model following instructions. Organizations should enforce authorization outside the language model and limit what the application can access.

Apply least privilege
Give an AI application only the data and permissions it needs for its defined task. Avoid broad access to shared drives, customer records, or internal systems when a narrower permission will work. Review access as the task or team changes.
Constrain connected sources and tools
Limit which repositories, APIs, plugins, and other external data sources an AI application can reach. Access decisions should be enforced by the surrounding application and its authorization systems, not delegated to the model.

Educate users and set clear handling rules
Tell staff which tools are approved, what categories of information may be submitted, and how to report mistakes. OWASP’s guidance includes user education and transparency about data usage, retention, and deletion as relevant mitigations.

A system prompt can guide model behavior, but it should not be treated as a secret store or access-control mechanism. OWASP’s LLM07:2025 System Prompt Leakage states: “It’s important to understand that the system prompt should not be considered a secret, nor should it be used as a security control.” Do not put credentials or other sensitive data in a system prompt.

OWASP’s LLM02:2025 Sensitive Information Disclosure notes that prompt restrictions can help mitigate disclosure, but also warns that they may not always be honored and may be bypassed. Treat them as one possible layer, not a substitute for authorization, data minimization, and restricted access.
If you already submitted sensitive information
Follow your organization’s incident-reporting process promptly if the material was work-related or involved another person’s data. Then use the service’s applicable deletion or support procedures if available, and follow any instructions from your organization. Do not assume that deleting a conversation guarantees removal from every system or copy; the applicable service terms determine what its deletion controls cover.
