Before giving a legal document to a local AI tool, confirm that the use is allowed, reduce the file to the information the task actually needs, remove sensitive content rather than merely hiding it, and check for hidden data. Then verify where the AI processes and stores information, and have an authorized lawyer review both the prepared file and the AI’s work. Running a model locally can reduce exposure to outside services; it does not by itself make a workflow confidential or approved.
Set the matter-specific rules before opening the document
Start with the rules that apply to this client and matter—not with the AI application. Identify the jurisdiction and check firm policy, engagement terms, client instructions, confidentiality commitments, court or protective orders, discovery restrictions, and any limits on where information may be processed. Confirm who is authorized to approve the proposed use and whether the selected tool is approved for this information category.

If an instruction or restriction rules out the planned processing, stop and use a permitted workflow. Do not assume that a document may be used simply because the model runs on a laptop or firm-controlled computer. The Solicitors Regulation Authority (SRA) advises firms to consider contractual, technical, and organizational safeguards, including access, retention, and whether submitted information may be used to improve a service. Prepare only the information the task requires

Define the task and the necessary context
Write down what the model is being asked to do—for example, organize clauses or summarize a defined section—and retain only the context needed for that task. A request to extract dates may not require client names, addresses, account numbers, signatures, or unrelated exhibits. There is no universal list of fields to remove: decide based on the matter, the task, and the risk that details could identify a client or reveal confidential information.

Replace identifiers carefully
Where appropriate, replace names and other unnecessary identifiers with stable labels such as “Client A” or “Supplier B.” Removing names alone may not de-identify a document: distinctive events, locations, dates, roles, or combinations of facts can still point to a person or matter. If the mapping back to real names is needed, keep it separately under the firm’s usual access controls. Anonymisation can reduce risk, but the appropriate level depends on the information and the possibility of re-identification. Remove sensitive content, not just its appearance
A black rectangle, white font, crop, or other visual cover may leave the underlying text machine-readable. Use a genuine redaction function that removes the underlying text or image content, then verify the result. The Law Society of Singapore specifically warns that a black covering may not remove underlying information. Law Society of Singapore advisory

Sanitize hidden information separately
Redaction and sanitization address different risks. Redaction removes selected visible text or graphics; sanitization checks for hidden or embedded material that may remain in a file. For PDFs, inspect and remove unneeded metadata, comments, layers, embedded content, scripts, attachments, and other hidden information as applicable. Also check filenames and revision history where relevant to the format. - Scanned documents: Compare OCR/searchable text with the visible page. OCR can expose text in images, but errors may also omit sensitive details or associate text with the wrong passage. Google’s document guidance discusses OCR and retained content in some formats; the ICO’s disclosure guidance covers hidden personal information and notes that the page is under review following the Data (Use and Access) Act. - Automated detection: Treat PII detection as a review aid, not proof that a file is clean. OpenAI’s 22 April 2026 announcement describes a local-capable Privacy Filter and says human review and domain-specific evaluation remain important for high-sensitivity legal workflows. Verify that the processing boundary is actually local
“Local” should describe the configured data path, not just where the application window appears. Check the actual application and settings, and document the answers against firm policy:

- Inference and transfers: Does the model process the prompt and file on the device or firm-controlled system, or send any content to an external service?
- Storage and access: Where are files, prompts, logs, caches, and temporary files stored, and who can access them?
- Retention and training: Are prompts or files retained, used to improve a service, or deleted? What commitments apply under the relevant terms?
- Network-dependent features: Are telemetry, synchronization, cloud backups, model downloads, plug-ins, or other connected features enabled?
- Third parties: Do vendors, contractors, or other providers handle any part of processing or storage?
Queensland Law Society guidance identifies processing location, storage, access, provider terms, training, contractors, privilege, anonymisation, and client obligations as factors to assess. Its guidance is good practice, not legislation or legal advice. The SRA likewise highlights safeguards and the possibility that submitted information may be retained or used to improve a tool. An authorized reviewer should inspect the cleaned document before processing. Check for missed identifiers, content left beneath visual covers, hidden material, and substitutions that change meaning or break cross-references. Keep the original separate under the firm’s normal access controls.

After processing, verify the model’s analysis against the source document and verify legal propositions and citations against primary legal authorities before using them in client work. The SRA says AI does not diminish or transfer a lawyer’s professional responsibilities. The District of Columbia Bar’s Ethics Opinion 388 cautions that general-audience generative AI is not a reliable substitute for traditional fact- and cite-checking.
