How to Prepare Guests for a Live Stream

A clear invitation, realistic A/V test, and short full-show rehearsal help remote guests join a live stream with fewer avoidable problems.

Send your guest the right link, start time and time zone, a short rundown, and a simple camera-and-microphone checklist. Then test the guest’s actual connection and audio/video before the broadcast. Most guests do not need new equipment: a quiet room, headphones, decent light, and a working webcam and microphone are often enough.

What to send your guest before the show

Put the essentials in one message so the guest does not have to search through separate notes. Include:

  • The date, start time, and time zone.
  • The expected duration and a brief description of the show flow.
  • The guest join link and the platform’s current browser or device guidance.
  • Whether they will share slides or their screen, and whether they should have anything ready.
  • A contact method in case they cannot join.
  • A request to join early for an audio and video check.

Explain how you will cue the guest, handle audience questions, and hand the conversation back and forth. Agree on a fallback: first try reconnecting through the same link; if video is the problem, switch to audio if the platform allows it. These are practical contingencies, not guarantees that every platform offers the same controls.

Help the guest get connected

Use the right link, device, and permissions

For a StreamYard guest workflow, the host sends a link in advance; the guest opens it, grants camera and microphone access, and selects the intended camera and microphone. A laptop or desktop with a webcam and microphone is a straightforward starting point. StreamYard also allows mobile participation, subject to its platform-specific instructions. Test the real internet connection

Ask the guest to use the same room, device, and network they expect to use on air. Where available, Ethernet can be more dependable than Wi-Fi. Riverside recommends a connection faster than 10 Mbps download and 5 Mbps upload for a smooth live conversation with other participants on Riverside. That is Riverside’s service-specific recommendation, not a universal minimum for all platforms or broadcasts. Its connection-check guidance explains how to check before a call.

If the guest will present slides or share a screen, ask them to close unrelated downloads, demanding apps, and excess browser tabs during the test. Keep the test realistic: a connection that works for ordinary browsing may still reveal problems when camera, microphone, and screen sharing are active together.

Make the guest easy to hear and see

Audio: intelligibility before equipment

Have the guest select the microphone they will use and speak at their normal volume for a few sentences. Listen for low volume, clipping, room echo, fan noise, or sound coming from the wrong input. Ask them to wear headphones or earbuds to reduce the chance that speaker audio feeds back into the microphone; StreamYard explicitly recommends them to help prevent echo. If the built-in microphone does not sound clear in rehearsal, a headset or external microphone closer to the mouth may help, but do not require a purchase before testing what they already own. Zoom’s May 2020 setup guide also discusses microphone placement and headset audio; its dated hardware examples should not be treated as current endorsements.

Video: face the light and simplify the background

  • Raise the camera to approximately eye level and frame the guest comfortably.
  • Place a light source in front of the guest, ideally near the camera. Avoid a bright window or lamp behind them that leaves their face dark.
  • Choose a quiet, uncluttered setting that does not distract from what they are saying.
  • Check the framing and lighting in the actual call or recording, not only by looking at the camera preview.

Zoom’s dated guide supports front lighting and warns about backlighting; Google’s YouTube Live Streaming Guide advises choosing a setting that does not distract from the message.

Rehearse the whole show, not just the guest call

Before the event, run a private or unlisted test where possible. Google recommends testing the internet connection, camera framing, audio capture, and lighting. A complete rehearsal also gives the host a chance to confirm the guest link and access, show flow, scenes, destinations, and chat plan. StreamYard’s First Stream Checklist recommends testing camera and microphone, checking the internet, closing unnecessary applications and tabs, and sending invitations.

  1. Join as the guest. Confirm the link opens on the intended device, permissions are granted, and the correct camera and microphone are selected.
  2. Listen and look. Check speaking volume, echo, background noise, framing, and light. Make one adjustment at a time and retest.
  3. Run the show flow. Practice introductions, transitions, screen sharing if needed, and how the host will signal questions or wrap up.
  4. Check production controls. Verify the intended broadcast destination and any scenes or layouts. In StreamYard, guests cannot start or stop the broadcast or control layouts and graphics, so the host should retain those responsibilities.
  5. Assign chat coverage. Decide who will monitor questions. Google advises using moderators or turning chat off if moderation resources are unavailable.

For a Riverside workflow, its live-streaming guidance recommends sending the guest checklist, making a test recording, preparing scenes, and checking destination status on show day. Riverside notes that video may take around 30 seconds to appear on destination sites; do not treat the first few seconds alone as proof that the connection failed.

Day-of checklist for the host

  • Confirm the guest has the correct time and join link.
  • Open the destination and verify its status before the scheduled start.
  • Check the guest’s camera, microphone, framing, lighting, and connection again.
  • Close unnecessary applications and browser tabs on the production machine.
  • Have the run of show and any screen-share materials ready.
  • Confirm who is watching chat and how questions will be routed.
  • Keep the agreed fallback contact method available.
