Choose the method based on where your PDF is now: export a Word document with an opening password, protect an existing PDF in a PDF app, or use your organization’s managed protection if the file is governed by Microsoft Purview. Windows’ built-in file encryption is a separate feature; it does not add a portable PDF password prompt.
Choose the right kind of PDF protection
First decide whether you are creating a PDF from an Office document or securing a PDF that already exists. Then decide what the recipient should be prevented from doing:

- Require a password to open: The recipient must enter the password before viewing the document. This is the usual choice for a privately shared PDF.
- Limit actions: Acrobat can set permissions related to editing, printing, or copying. These controls are distinct from an opening password and should not be treated as a guarantee against every way of copying or redistributing content.
- Apply workplace policy: A Microsoft Purview label can tie access to organizational identities and permissions instead of a shared password.
Create a password-protected PDF from Word
If you have the source document in the Word desktop app, you can encrypt the PDF as you export it. Microsoft documents this option for Office desktop apps; do not assume Word for the web presents the same setting. Microsoft’s Office PDF export instructions describe the password option.

- In Word, select File > Save As or File > Save a Copy, then choose PDF as the file type.
- Open More Options > Options to see the PDF export settings.
- Select Encrypt the document with a password.
- Enter and confirm the password when prompted, then save or publish the PDF.
The export setting restricts opening the PDF to people who have the password. Use a unique, hard-to-guess password, and send it separately from the PDF through a secure channel.

Protect a PDF that already exists in desktop Acrobat
For an existing PDF, Adobe documents password protection in the desktop Acrobat app. Open the file and follow these steps:
- Select All tools > Protect a PDF.
- In the left pane, select Protect with password.
- Choose Viewing to require a password to open the PDF, or Editing to set an editing-permissions password.
- Enter and re-enter the password, then select Apply.
- Save the PDF so the protection is applied to the saved file.
Adobe describes opening and permissions passwords as separate security functions. If your aim is to stop people from opening the document, choose Viewing. Permissions settings address actions such as printing or editing; they do not ensure that content cannot be copied or shared in every PDF reader. When Windows file encryption is—and is not—the answer
Windows can encrypt a file or folder through Properties > Advanced > Encrypt contents to secure data. Microsoft says this built-in file-encryption feature is unavailable in Windows Home. More importantly, it is not the same as adding a shared document-open password inside a PDF: it protects a Windows file through Windows’ encryption mechanism, rather than giving recipients a portable PDF password prompt. Follow Microsoft’s file and folder encryption instructions only if that is the protection you need.

If your employer or school manages documents with Microsoft Purview Information Protection, use its labeling and permissions workflow rather than substituting a shared password. Microsoft lists PDF as a supported file type for the File Labeler, which can apply labels and protection from File Explorer. Depending on the file and assigned permissions, recipients may have roles such as viewer, reviewer, co-author, co-owner, or “Only me.” The label and protection can remain with the file when it is moved or emailed. Microsoft also says that when an appropriately labeled Office document is saved as a PDF, the source file’s label and encryption are automatically applied to the exported PDF. Details are in Microsoft’s guidance on creating protected PDFs from Office files. This route depends on organizational policy and identity, not simply on giving any recipient a password.
Check that the recipient can open it
Microsoft Edge on Windows 11 supports viewing protected PDFs when the user signs in to Edge with work or school credentials. Support can depend on the protected PDF format; some older formats may require another compatible reader. If the recipient sees an unexpected access prompt or cannot open the file, ask your organization’s IT administrator which account and reader are supported. Be careful with Acrobat on the web
Adobe’s browser-based protection workflow is not identical to the desktop workflow: Adobe says a protected copy made with Acrobat on the web is saved to Adobe cloud storage. Consider that data handling before using the web route for a sensitive document. See Adobe’s Acrobat on the web instructions.
