For a portable archive, export a PDF; keep the device’s native notebook file as well if you may want to edit the original later. Export and search features vary by device and model generation, so confirm what your specific notebook supports before relying on them.
Build a simple system you can keep using
Start with broad folders and clear notebook names
Create a small number of stable top-level folders, such as Work, Personal, Learning, and Projects. Add a subfolder only when it solves a recurring problem finding notes. Give each notebook a name that makes its purpose clear without opening it. One useful pattern is area — project or subject — date/period when a date range matters; this is a naming suggestion, not a device requirement.

For example, a project notebook might be named Work — Project X — 2026 Q4. Use dates consistently if you expect to create multiple notebooks on the same subject.
On reMarkable, the file manager can display and filter content by type, and sort by name, file size, file type, or last modified. Its search can locate folders, notebooks, PDFs, and ebooks, and search content within PDFs, ebooks, and typed text. The documentation does not establish handwriting OCR as part of that search. On Kindle Scribe models released in 2025 or later, Workspace groups books, documents, and notebooks in folders. Adding an item to a Workspace does not remove it from the Library. This is not an instruction for every Scribe generation; see Amazon’s Workspace help page.
Use tags for subjects that cross folders
Folders answer “where does this notebook belong?” Tags answer “what topic or action applies here?” A tag such as Follow up, Client, or Research can connect pages from different projects. Keep the vocabulary small and consistent; several spellings of the same idea make filtering less useful.

reMarkable supports tags on pages, files, and folders, and a page can have more than one. Its support article states, “You can apply multiple tags to a single page.” The Tags overview filters content by a selected tag; tags can be renamed or deleted, and deleting one removes it from associated files and pages. Details are in reMarkable’s Tags guide.
BOOX Help Center search excerpts describe tagging handwritten notes and searching tags in the Notes app. The excerpts say the tag system has been available since firmware V3.3, but the linked help pages were not available to inspect. Treat this as model- and firmware-dependent, and check the guide for your exact BOOX device before building a workflow around it: Handwritten Notes and Tag System.

Add an index to notebooks that keep growing
For a long-running notebook, use its first page or a recurring section to note its purpose, date range, and any abbreviations you use. If the device offers page names, page movement, or page-level tags, use those tools to surface important entries. These are workflow ideas, not features available on every E Ink notebook.

Choose an export format for what you need to do next
- PDF: A practical choice for sharing a page-faithful copy or keeping an archive that opens on common computers and phones. A PDF is not automatically an editable notebook or a searchable text document.
- PNG or another image export: Useful when you need an image of a page. Images can be less convenient than a document for whole notebooks or text search.
- Plain or converted text: Useful when you need words outside the notebook, but text conversion may not preserve handwritten layout, diagrams, or drawings. Check the result on your device.
- Vendor-native file: Keep this when future editing within the same ecosystem matters. BOOX identifies
.noteas its Notes app format. reMarkable listsrmdocas a USB transfer type. These are different formats, not interchangeable ones.
Do not assume that a PDF contains searchable handwriting, that every notebook can be exported in a batch, or that cloud sync works automatically. Confirm each capability for the specific model, software, and export route you use.

Export and archive with a repeatable routine
Use a consistent destination and filename
Mirror your broad device folders in the archive destination so you can find exported files in the same way. If you keep multiple versions, include a stable notebook title and export date, for example Work — Project X — 2026-10-07.pdf. This is a recommended convention, not a vendor rule.

Check the available route on your device
Export options can change with the device and the method used. On reMarkable, the desktop app can export selected files as PDF, PNG, or SVG. Its support documentation also lists exporting and emailing as PDF, PNG, SVG, or plain text for purely typed documents. USB transfer supports PDF, EPUB, and rmdoc; the supported types depend on the transfer method. The reMarkable article reports a 100 MB limit for USB and web-app transfer and recommends companion apps for larger files. Check reMarkable’s importing and exporting guide for current steps and limits.
reMarkable can export full documents from My files to Google Drive, Dropbox, or OneDrive, with exports saved as PDFs. Its integration documentation says up to five accounts may be integrated. Import support and conversion to editable notebooks depend on file type; some Word or Google Docs paths require a Connect subscription. See reMarkable’s integrations guide.
For Kindle Scribe models released in 2025 or later, Amazon documents sharing whole notebooks or selected pages to Google Drive or OneDrive as a handwriting PDF, converted text, or searchable PDF. OneNote options include PNG images, converted text, or both; Amazon also documents a searchable-PDF sharing route by email. The cited routes require an Amazon account and an internet connection. Verify the copy before relying on it
- Export the notebook or pages using a route supported by your device.
- Open the exported file on another device or in the intended cloud folder.
- Check that all expected pages are present and that handwriting, diagrams, and page layout are legible.
- If searchable text matters, search for a word you can see on the page and confirm that it is found.
- Keep the original notebook until the exported copy has passed those checks.

Before planning around a feature, check the device generation, firmware, account state, and connection requirements. The table below summarizes the documented scope for the devices covered here; it is not a universal feature list for E Ink notebooks.
