Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →To catch a failed SaaS sync, monitor both the integration’s delivery status and whether the expected business records actually arrived. A healthy API endpoint does not prove that a workflow completed: records can be delayed, rejected, or silently skipped. Combine native integration logs and alerts with checks for expected data movement, then investigate and recover using the failed event or sync record as evidence.
What to monitor: the connection and the data
Use two complementary views. First, track the integration’s own state: successful or failed deliveries, last successful sync, retries, response latency, and terminal errors. Second, check whether the business data moved as expected: for example, whether the expected orders, contacts, or events appeared at the destination within the normal interval.

An API availability check can confirm that an endpoint responds while missing a partial, delayed, or stalled record-level sync. Synthetic API monitors add useful coverage for configured requests and workflows, but they are not a complete audit of record-level correctness. Where available, pair them with native integration logs and throughput or sync signals.
Set a baseline before setting alerts
Inventory each connection
Record the source and destination, connection owner, direction of data flow, expected cadence, critical records or events, and the impact of a delay. This gives the team a way to distinguish an expected quiet period from a broken sync.

- PLUG-AND-PLAY SIMPLICITY – No complex configuration required. Simply connect to your network via the Gigabit Ethernet port, power up with the included USB-C cable, and start monitoring. Multi-VLAN support with just a few clicks in the interface.
- RISK MITIGATION FOR MSPs – Domotz maintains the operating system and security updates, transferring liability concerns away from your organization. Eliminates the security risks of deploying monitoring software on customer-managed servers or domain controllers.
- UNIVERSAL CONNECTIVITY – USB-C power port (more durable and universal than previous micro USB), Gigabit Ethernet port, and USB 2.0 port for future expansion. Premium casing designed for rack mounting or standalone deployment in professional environments.
Choose signals and alert thresholds
Enable native failure notifications and track the last successful delivery or sync, failed or terminal state, retry count, response latency, and expected versus observed records or events. Add throughput or anomaly alerts when the platform exposes those signals. Set thresholds from the connection’s usual volume, cadence, and business impact rather than copying another provider’s figures.
Route alerts to a team channel or on-call destination that someone actively monitors. Assign an owner and document who investigates, what response is expected, and how to escalate. An alert that nobody receives or owns is not an operational safeguard.

Choose monitoring that matches the failure you need to catch
| Approach | What it can show | What to check before relying on it |
|---|---|---|
| Native integration logs and alerts | Provider-specific delivery or sync states, failed events, retry details, and sometimes sync or throughput signals. | Which events are logged, how quickly failures appear, whether retries and replays are visible, alert routing, and log retention. |
| API synthetic monitoring | Whether configured requests and tests run and return expected responses; scheduled or CLI-triggered monitors can provide run history and notifications. Postman documents email, Slack, and Microsoft Teams notifications. | Whether the configured check represents the workflow you care about. A successful API test alone does not confirm all expected records reached their destination. |
| Data-pipeline or integration observability | Depending on the product and configuration, integration or sync alerts, failure logs, and data movement signals. Twilio Segment documents integration and sync alerting and failure logs. | Which connections and records are covered, retry and replay visibility, alert ownership, export and retention, private or region-specific runners, and plan or usage constraints. |
These are complementary options, not a product ranking: the official documentation describes capabilities in particular products, not comparative performance across providers.
Use synthetic monitors as an additional check
Postman documents scheduled or CLI-triggered monitors, run history, retries, and notification options. Its documentation describes a minimum schedule frequency of every five minutes for a status-page monitor; minute-based schedules are limited by plan. Confirm the schedule and plan limits that apply to your monitor before using it for time-sensitive detection. Postman monitor documentation.

Diagnose a failure from the delivery evidence
- Establish the scope and start time. Identify affected connections, destinations, record types, and the earliest known missing or delayed data.
- Inspect failed syncs or deliveries. Compare timestamps, event or record IDs, endpoint, HTTP status, timeout or error details, and attempt or retry count. Asaas documents these fields in its webhook logs. Asaas webhook documentation.
- Check likely fault areas. Depending on the integration, investigate credentials and permissions, schema or payload validation, rate limits, network or firewall access, and downstream service availability. The right diagnostic path depends on the vendor and integration design.
- Determine whether data is delayed or absent. Compare expected and received records for the affected time window; a healthy endpoint response does not settle this question.
- Fix the underlying fault before replaying or re-enabling work. If retries or manual replay can redeliver events, ensure the receiving handler safely tolerates duplicates.
- Verify recovery. Confirm new events process normally, compare expected and received records, and backfill missing data from the outage window when needed.
Make retries and recovery safe
Retries can improve delivery after a temporary error, but they can also delay data, produce duplicate processing, or stop altogether. Design event handlers to be idempotent: processing the same event more than once should not create unintended duplicate business effects. Asaas specifically recommends idempotency for possible retries and asynchronous processing to reduce timeouts. It also recommends endpoint-availability alerts and checking that normal event processing resumes after a fix. Asaas webhook documentation.
Recovery is not complete just because a retry succeeds. Check whether the outage window left records missing and whether those records need to be imported or replayed. Shopify’s documentation, for example, says missing data after downtime may need to be imported. Keep any replay or backfill within the provider’s rules and your system’s duplicate-handling safeguards. Shopify webhook troubleshooting.

Provider-specific limits are not universal thresholds
Use vendor figures only for the platform and workflow they describe. Shopify’s current webhook guidance says delivery fails if an app does not respond within five seconds; it also describes a delivery failure rate over 0.5% as higher than average. Shopify says retries become less frequent after each failure and stop after eight failed delivery attempts. These are Shopify-specific operational details, not general SaaS service-level targets. Shopify webhook troubleshooting.
If Shopify removes a webhook subscription, its documentation says the subscription must be recreated. If events were missed during downtime, the missing data may need to be imported. For other providers, check their own retry, subscription, replay, and backfill behavior rather than assuming Shopify’s rules apply.

Protect the evidence you need to investigate
Log retention can constrain incident response. Asaas says its webhook logs and events are kept for up to 14 days, and that pending events can be permanently removed if a queue remains interrupted for more than 14 days. Export or preserve useful evidence according to the relevant provider’s policy, especially when an investigation or recovery could extend beyond its retention window. Asaas webhook documentation.
Keep a runbook with connection ownership, escalation expectations, investigation steps, retry and replay limits, backfill procedures, and the provider’s retention policy. That gives responders a clear path from the alert to verified data recovery.
